ATS Resumes and Formatting

ATS myths and misconceptions – Page 3

If my resume works in one ATS, will it work in all of them?

Not with certainty, because systems and their settings differ. But a resume built on simple principles (single column, standard headings, real text, no important details in headers or images) tends to read well across most of them.

Keep a few habits:

  • Check auto-filled fields every time you apply through a portal.
  • Do the copy-paste test after any design change.
  • Follow each employer's file format instructions.

Consistent, simple structure is the closest thing to a universal approach.

Do keywords in my summary count more than keywords in my job history?

Nobody outside each employer can say how a particular system weighs different sections, so be wary of anyone who claims to know. What is clear is that both places help human readers in different ways.

A balanced approach:

  • Summary: your target title and three or four core skills.
  • Experience: the same skills shown in action with results.
  • Skills: a tidy list of tools and technical terms.

When a recruiter reads your summary and then sees the same skills proven in your bullets, your resume feels consistent and credible.

Do I need to include every single keyword from the job advert?

No. Include the important ones you genuinely have. Adverts often list many "nice to have" items, and no candidate matches all of them.

How to prioritise:

  • Must-have skills and qualifications, usually listed first or marked "required".
  • Words repeated several times in the advert.
  • The main tools and methods of the role.

Skip skills you do not have, even if it lowers a checker's match. Claiming them can fail you in a technical test or interview. Strong evidence for the core requirements matters more than ticking every box.

Resume Keywords and Job Descriptions

Does adding keywords in tiny font help me pass the ATS without the recruiter noticing?

No. It is the same trick as white text and carries the same risk. Text in tiny font is still text, and it shows up clearly when a recruiter views the plain-text version or copies your resume.

Why it backfires:

  • It looks like an attempt to deceive.
  • It may appear as a jumbled block of words in the employer's system.
  • It adds nothing a recruiter can believe.

Put your effort into writing two or three honest bullets that naturally include the skills the job needs.

Will my application be rejected if I apply from my phone?

There is no general reason to think so. The device you use is not normally part of how employers assess applications. Problems with phone applications are practical: uploading the wrong file, missing a field or rushing answers.

Tips for applying on a phone:

  • Keep your latest resume PDF saved where your phone can find it, with a clear file name.
  • Check which file you selected before submitting.
  • Review auto-filled fields carefully on the small screen.
  • For long portal forms, consider finishing on a computer if possible.

A careful application from a phone is as good as one from a laptop.

If I update my resume after applying, does the employer see the new version?

Usually not. The file you submitted with an application normally stays attached to that application. Some portals let you update your profile, but that may not replace the resume already sent for a specific job.

What to do:

  • Before submitting, make sure the resume is final.
  • If you spot a serious error afterwards, check whether the portal allows you to withdraw and reapply, or contact the recruiter politely with the corrected file.
  • For minor improvements, use the new version for future applications.

Will the ATS reject me automatically if I do not attach a cover letter?

Only if the employer made the cover letter a required field, in which case the form usually will not let you submit without it. Where it is optional, a missing cover letter is not generally an automatic rejection.

Guidelines:

  • Required: always include a tailored letter.
  • Optional: a short letter is often worth it, especially for career changes, relocation or competitive roles.
  • Not mentioned at all: the resume usually stands alone, though some people still attach a brief letter.

Do not upload a blank or generic file just to fill the field.

Can an ATS judge my personality from my resume?

Not in any way you should worry about or try to game. Applicant tracking systems mainly organise and search applications. Some employers use separate assessments, such as questionnaires or tests, and those are clearly presented as part of the process.

What actually shapes impressions of your personality:

  • How you describe teamwork, leadership and problem solving in your bullets.
  • Your cover letter tone.
  • Interviews and assessments.

Write honestly. If you are asked to take an assessment, read the instructions and answer as yourself.

Is a two-page CV too long for jobs in the Gulf?

No, two pages is common and generally accepted for experienced candidates in the UAE and the wider Gulf. Some roles and senior candidates use more. Length is a human preference, not a software limit.

Guidelines:

  • Early career: one to two pages.
  • Mid-career: around two pages.
  • Senior, medical or technical roles with many projects: longer can be fine if every part is relevant.

Keep the most relevant information on page one, and cut older, unrelated detail before adding pages.

Why is there so much conflicting advice about applicant tracking systems?

Because there are many different systems, each employer sets them up differently, and very little about their inner workings is public. People generalise from one experience or from old software, and myths spread quickly online.

How to filter advice:

  • Be sceptical of precise numbers and dramatic claims without a clear source.
  • Trust advice that helps both software and humans: clear structure, real text, honest relevant wording.
  • Prefer instructions on the employer's own application page over general tips.

When advice asks you to trick a system or a reader, skip it.

What Is an ATS and How Does It Read a Resume?

Is an "ATS-friendly" resume the same thing as a good resume?

No. "ATS-friendly" only means the file is easy for software to read. A good resume also shows a human, quickly and convincingly, why you fit the job.

ATS-friendly covers:

  • Readable file, simple layout, standard headings, real text.

A good resume adds:

  • A clear target role and summary.
  • Achievements with results, not just duties.
  • Relevant skills backed by evidence.
  • No errors and consistent formatting.

A perfectly parsed resume with weak content still struggles. Aim for both.

How to Write a Resume: Step by Step

Is the keyword match shown by a resume checker the same as the employer's match?

No. A checker's match compares your resume with the job advert using its own method. The employer may not calculate a match at all, or may use different settings and search terms.

Use the match as a prompt:

  • Look at the missing terms list.
  • Add only the ones that honestly apply, in natural places.
  • Ignore missing items that are company names, location words or skills you do not have.

In ResumeBuilder.ae, the job-description comparison shows which of the advert's most frequent terms appear in your resume. It is a helpful guide, not the employer's view.

Does applying at night or on weekends affect how the ATS ranks me?

There is no evidence that the time of day you apply changes how a system ranks you. What can matter is how soon you apply after a posting, because some recruiters begin reviewing early.

Practical advice:

  • Apply when you can do it carefully, whatever the hour.
  • Set job alerts so you see new postings quickly.
  • Do not rush an untailored application just to submit at a certain time.

Accuracy and relevance matter far more than timing.

Will a short resume rank lower because it has fewer keywords?

Not necessarily. A focused one-page resume can contain every important skill for the role. Length does not equal relevance, and padding with filler can make important points harder to find.

To keep a short resume strong:

  • Include the core skills and tools from the advert that you genuinely have.
  • Make each bullet specific.
  • Cut generic lines like "Responsible for various tasks".

If you have relevant experience that does not fit, a second page is fine. Add content because it is useful, not to raise a word count.

Is a functional resume a good way to get past the ATS?

Usually not. A functional resume groups skills and hides the timeline of jobs, and many recruiters find it harder to trust. Software also expects work history with employers, titles and dates, which a functional format often lacks.

A better option for most people is a hybrid:

  • A short skills summary at the top.
  • Then a normal reverse-chronological work history with dates.

Career changers and people with gaps can use the summary to highlight transferable skills while still showing a clear history.

Career Change Resume Guide

Is it true that an ATS rejects any resume without a skills section?

No general rule says that. But a skills section is useful for both software search and human scanning, so most resumes benefit from one.

Keep it practical:

  • List tools, technical skills, languages and certifications relevant to the role.
  • Group them if you have many: "Software: SAP, Excel, Power BI | Languages: English, Arabic, Hindi".
  • Back the most important ones with evidence in your experience.

A short, relevant skills section is better than a long list of everything you have ever used.

Are resumes designed in Canva always unreadable by an ATS?

Not always, but design-tool exports deserve a careful check. Results depend on how the design was built: text boxes, layered elements, columns and text turned into shapes can all cause problems.

How to test:

  • Open the PDF and try to select and copy all text.
  • Paste into a plain text editor. Is the order logical? Are words complete?
  • Check that contact details and job titles appear correctly.

If the text comes out scrambled, rebuild the resume in a simpler single-column template for online applications, and keep the designed version for direct sharing.

Do I have to remove every line and divider from my resume for the ATS?

No. Simple horizontal lines between sections are generally harmless. They are graphics that software ignores, and they help human readers see the structure.

Be careful with:

  • Lines made by typing many underscores or dashes, which can appear as clutter in the extracted text.
  • Decorative shapes, borders or backgrounds that contain text.

Use the line or border feature of your editor or template rather than rows of characters, and keep the design simple.

If my job title matches the advert, is that enough to get through the ATS?

A matching title helps a recruiter find and understand you, but it is rarely enough alone. Recruiters look for the skills, experience level, tools and requirements behind the title.

Make the rest support it:

  • A summary that names the role and your main strengths.
  • Bullets showing relevant duties and results.
  • Required certifications or licences clearly listed.

Example: two candidates both titled "Sales Executive". The one whose bullets show "B2B sales, CRM use and quota achievement" matches an advert far better than the one with general duties.

Will using a resume builder make my resume look identical to others and get flagged?

No. Many people use the same templates, and recruiters are used to that. Software does not generally flag a template. What can make you blend in is copying sample text without making it your own.

To stand out:

  • Replace every example sentence with your own specific achievements.
  • Remove all [bracketed] prompts and leftover sample text.
  • Choose a clean template and let your content do the work.

ResumeBuilder.ae offers example summaries and bullets by job role as starting points to edit so they are true for you, and the checklist shown before payment flags leftover sample text and [bracketed] prompts.

Will an ATS mark me down for using a Gmail or Hotmail address?

No. There is no reason to think applicant tracking systems care which email provider you use. Free addresses from mainstream providers are normal for job seekers everywhere.

What does matter is the address itself:

  • Based on your name: "nikhil.rao@email.com" is fine.
  • Avoid nicknames or jokes: "coolboy99" looks unprofessional to a human reader.
  • Spell it correctly and keep it the same everywhere.

Some people avoid very old-style providers because they think recruiters judge them. That is a human impression at most, not a software rule, and it matters far less than the content of your resume.

Does adding my full street address help an ATS match me to local jobs?

Not in any way you need to rely on. Recruiters who search by location generally work with your city, region or country, and application forms usually ask for location details in their own fields. A full street address mostly adds private information to every copy of your resume.

What helps instead:

  • City and country in your contact line: "Al Ain, UAE".
  • Accurate answers to the location questions in the application form.
  • A note if you are relocating: "relocating to Muscat, February 2027".

If an employer specifically asks for your full address, provide it in their form.

Does writing "ATS-optimised" on my resume or in the file name help?

No. Labels such as "ATS-friendly resume" or "ATS optimised" mean nothing to software and look odd to a recruiter, who only wants to know who you are and what you can do.

Keep instead:

  • A clean file name: "Lena-Fischer-Resume.pdf".
  • A professional title under your name, not a description of the document.

Being ATS-friendly is about structure: real text, standard headings and a simple layout. The resume shows it; it does not need to say it.

Is there a word count my resume must stay under to pass the ATS?

No. There is no general word limit that applicant tracking systems enforce. Some checkers suggest ranges, and some portal text boxes have character limits, but a resume file is not rejected for its word count.

What really limits length:

  • The reader's attention.
  • Country and industry expectations.
  • Portal text boxes, which have their own limits for pasted text.

Aim for every line to be relevant. If a section is long, cut repeated duties and older details, not your strongest evidence.

Do applicant tracking systems automatically reject older applicants?

There is no good basis for saying that software generally screens out older people. In many countries, age discrimination in hiring is prohibited. In the USA, for example, hiring decisions must not be based on age for people aged 40 and over, and in the UK age is a protected characteristic at work.

What you can control:

  • Leave your date of birth off the resume unless an employer asks.
  • Focus on recent, relevant experience, and summarise older roles briefly.
  • Show current skills and tools.

If an application form asks for your age or date of birth, follow its instructions. Concern about age bias is real for many people, but it comes from human decisions, not a hidden software rule.
