ATS Resumes and Formatting

Layouts, columns and ATS

The way your resume is laid out decides the order in which software reads it. This topic explains reading order and why single-column layouts are the safest default, and shows how sidebars, text boxes, tables, floating objects and design-app exports can scramble your text. It covers practical fixes in Word, Google Docs, Pages and other tools, simple checks you can run on your own PDF, and when a more designed layout is still reasonable. It helps anyone who wants a resume that looks good to a recruiter and still reads correctly in an applicant tracking system.

Why is a single-column resume considered the safest layout for ATS?

Because its reading order is obvious. In a single-column resume, text runs from top to bottom in one stream, so the order it is stored in the file matches the order a person reads it. Parsers then see each section heading followed by its content, and each job's title, employer and dates together, which makes it easier to fill fields correctly.

A single column also helps human readers:

  • It works well on phone screens and in portal previews.
  • It prints cleanly.
  • It keeps the most important information, your recent experience, in the centre of attention.

Single-column does not have to look plain. You can use a strong name header, a coloured heading style, clear spacing and bold job titles. Many people use a full-width header with name and contact details, followed by a one-column body; this combines a modern look with low risk.

If you are unsure what layout to use for online applications, single-column is the reliable default. You can still test any design with the copy-and-paste test before applying.

What does "reading order" mean for a resume?

Reading order is the sequence in which software reads the text in your file. It is set by how the document was built, not by how it looks. In a simple document, reading order matches what you see: top to bottom. In layouts with columns, sidebars, text boxes or floating elements, the stored order may differ, so software may read your sidebar before your name, or mix lines from two columns.

Why it matters:

  • Parsers use order to decide which details belong together.
  • Screen readers used by people with visual impairments follow the same order.

Check it by selecting all the text in your PDF and pasting it into a plain text editor. The result shows roughly the order software will see.

My Word template is built with text boxes. How do I convert it?

Move the content into the main body, section by section:

  • Turn on Show/Hide (¶) and click around the page. Text boxes show a border or handles when selected.
  • Start a new blank document, or add space at the top of the current one.
  • Cut the text from each box and paste it into the main body in reading order: name and contact details first, then summary, experience, education, skills and others.
  • Delete the empty text boxes.
  • Re-apply simple formatting: heading styles, bullets and tab stops for dates.

Then save a copy as plain text, or export to PDF and run the copy-and-paste test. Starting fresh in a simple template is often quicker than repairing a complex one.

Where on the page should my most important information go?

At the top and on the left. Readers start at the top of the first page, and your name, target title, summary and most recent role should be visible there without scrolling or turning the page.

Practical layout:

  • Top: name, professional title, contact details.
  • Next: a short summary aimed at the job.
  • Then: key skills (optional) and your most recent, relevant experience.
  • Within each job: put the strongest, most relevant bullet first.

In a single-column layout, this order is also the order software reads, so both audiences see your best material first.

Simple Resume Templates

Is it OK to centre my section headings?

Yes. Centred headings are a style choice and do not usually affect how software reads them, as long as they are normal text in the main body. Many resumes centre the name and contact block while keeping the rest left-aligned.

Keep it consistent:

  • If you centre one heading, centre them all.
  • Keep body text and bullets left-aligned for easy reading.
  • Avoid centring long paragraphs or job details; it makes them harder to scan.

Simple Resume Templates

Are boxes or borders around resume sections a problem?

They can be, depending on how they are made. A border applied to a paragraph is usually fine. A box drawn as a shape, or a section placed inside a text box or table to get a border, is more likely to confuse reading order or be skipped.

Safer options:

  • Use paragraph borders or shading on headings only.
  • Use spacing and bold headings instead of boxes.
  • If you want a boxed summary, use a paragraph border, not a text box.

Test with the copy-and-paste method to confirm boxed content appears in the right place.

What should I do about a page break that splits a job in half?

Move the break so each job's title, employer and dates stay together with at least the first bullet. A job title alone at the bottom of a page looks untidy and can confuse parsers that read page by page.

In Word:

  • Select the job title and employer lines, open Paragraph settings, and tick "Keep with next".
  • Or insert a page break before the job.

Then check the second page starts cleanly. If several jobs split awkwardly, trim content slightly so the breaks fall between jobs.

Should I use landscape orientation for my resume?

No. Resumes are expected in portrait orientation. Landscape pages are awkward to read on screen and print, can display strangely in portal previews, and usually push designers toward multi-column layouts.

Use portrait, A4 or US Letter depending on the country, with a simple layout. If you need to show wide content, such as a project portfolio, put it in a separate document or a link.

Does an ATS read the sidebar first or last?

It varies. Depending on how the file was built and how the system reads it, sidebar content may come first, last or mixed in with the main column. There is no single rule, and the same file might be read differently by different systems.

That is why the practical advice is:

  • Do not put essential information only in the sidebar.
  • Keep the sidebar content short and self-contained.
  • Test with the copy-and-paste method to see what your file does.

If your sidebar comes out as one clean block, either at the start or end, most systems should cope.

Is it better to use tables or text boxes to make columns in Google Docs?

Google Docs does not have true text boxes, so people often use tables or drawings to create columns. Both carry risks: table cells may be read row by row, and drawings may be treated as images. Docs also has a basic "Columns" option that flows text like a newspaper.

For an application resume:

  • Prefer a single-column document with clear headings.
  • If you need two columns for a short skills list, use the Columns option for that section only.
  • Avoid putting important text in drawings.

Download as PDF and run the copy-and-paste test before using it.

A single column leaves a lot of empty space on the right. How do I use it better?

Short lines in a single column often mean content can be combined, not that you need a sidebar. Try:

  • Putting employer, location and dates on one line, with dates aligned right.
  • Grouping skills on lines by category. Example: "Tools: Excel, Power BI, SAP, Tableau".
  • Combining small sections into single lines, such as languages or certifications.
  • Using the space for clear, complete bullets that show results.

Some white space is good; it makes the page easier to read. Fill gaps with useful content only.

Do two-column templates in ResumeBuilder.ae still produce a text-based PDF?

Yes. The PDF from ResumeBuilder.ae is text-based in every template, so the text can be selected and copied. The difference with two-column templates is reading order: text in two columns can be read in a different order by some systems, which is why those layouts are labelled as more complex.

If you choose a two-column template:

  • Preview it carefully and keep your work history in the main column.
  • After downloading, run the copy-and-paste test.
  • For applications through large online portals, consider a single-column template such as ATS Classic or ATS Professional.

Which layout features most often cause ATS reading problems?

The features that cause the most trouble are those that separate text from the normal top-to-bottom flow of the page. In rough order of risk:

  • Text boxes and shapes holding important text, such as your name, contact details or a whole section.
  • Sidebars and multi-column layouts, which can be read out of order or line by line across columns.
  • Tables used to position content, where cells may be read across rows rather than down columns.
  • Text placed in images, banners, icons or charts, which software cannot reliably read.
  • Content in Word's page header or footer, which some systems handle poorly.
  • Design-app PDFs that store each word or line as a separate positioned piece.

None of these automatically ruins a resume, and some systems cope with them well. But each one adds a chance that your information is misread, and you cannot know in advance which system an employer uses.

The practical answer is to keep your core content (name, contact details, work history, education and skills) in a single column of normal text, and to check your final file with the copy-and-paste test: select all the text in your PDF, paste it into a plain text editor, and confirm everything appears in a sensible order.

Which layout elements are generally safe on an ATS-friendly resume?

Elements that live in the normal flow of text are generally safe:

  • A single column of content from top to bottom.
  • Your name in a larger, bold font as ordinary text.
  • Section headings styled with bold, colour or a paragraph border line.
  • Built-in bullet lists.
  • Dates aligned right with a tab stop.
  • Paragraph spacing between sections and jobs.
  • Light shading behind a heading, applied as paragraph shading.
  • A short skills list split into a few columns using the word processor's column feature, if tested.

These let you create a clean, modern-looking resume without relying on text boxes, tables or images. As always, confirm with the copy-and-paste test.

What is a "floating" object in Word, and why can it scramble my resume?

A floating object is an image, shape or text box that is positioned freely on the page rather than sitting in a line of text. You can drag it anywhere, and text can wrap around it. Its content is stored separately from the main text, attached to an anchor point that may be nowhere near where it appears.

Software extracting your text may read a floating text box at its anchor point, at the end of the document, or not at all. So a floating box with your contact details might be read after your work history, or skipped.

Keep text in the main body. If you use a decorative image, set it to "In line with text" and make sure it contains no important words.

Simple Resume Templates

How do I find hidden or floating objects in my Word resume?

Use Word's Selection Pane, which lists every shape, text box, picture and other object on the page, including ones hidden behind others or placed off the page.

Steps:

  • Go to Home, then Select, then Selection Pane (or Layout, then Selection Pane).
  • Click each item in the list to see where it is on the page.
  • Use the eye icon to hide items temporarily and see what changes.
  • Delete leftovers, and move important text from text boxes into the main body.

Templates often contain more objects than you expect. Clearing them makes the file cleaner for both software and editing.

Simple Resume Templates

Should images and shapes in my Word resume be set to "In line with text"?

Yes, if you keep any at all. "In line with text" makes an object behave like a large character in the text flow, so it stays in the correct position in the reading order. Wrapping options such as "Square", "Tight" or "In front of text" make the object float, which can disturb how text around it is ordered.

To change it: click the object, open Layout Options (the small icon beside it) or Picture Format, then Wrap Text, and choose "In line with text".

Even then, do not put important words inside images or shapes. Text in the main body is still the safest place.

Simple Resume Templates

Can text that wraps around a shape or image end up out of order?

It can. When text wraps around a floating object, Word or a design tool positions lines in pieces around it. The text itself usually stays in order, but the object's content, if it has any, may be read at the wrong point, and some PDF exports split wrapped lines in odd ways.

If your layout has text wrapping around an image or a decorative shape:

  • Remove the shape, or move it to a position where no text wraps around it.
  • Never put text inside the shape.
  • Run the copy-and-paste test to check sentences next to the shape read correctly.

Simple Resume Templates

Is it risky to put my summary and key skills side by side under the header?

It adds some risk, because it creates a two-column area at the most important part of your resume. Software might read the first line of the summary, then the first skill, then the second line of the summary, and so on, producing confusing text.

Safer options:

  • Put the summary first as a short paragraph, then the skills directly below it as a compact list.
  • If you want a two-part look, test it carefully with the copy-and-paste test and keep the skills list short.

Stacking them takes a few more lines but reads reliably for software and people.

Simple Resume Templates

Can I put small sections like Languages and Certifications side by side at the bottom?

Usually this is a lower-risk place for a side-by-side layout, because the content is short and less critical than your work history. Still, if the two blocks are built with a table or text boxes, software may read across them line by line and mix items together, for example a language followed by a certification.

To reduce risk:

  • Use the word processor's column feature for that area rather than text boxes.
  • Or write each section as one line. Example: "Languages: English (fluent), Tagalog (native)".
  • Check the copy-and-paste result for mixed lines.

Simple Resume Templates

Can I place two short jobs side by side to save space?

Better not. Each job needs its title, employer, dates and bullets to stay together in the reading order. Side by side, software may mix lines from both jobs, pairing the wrong dates or employers, and recruiters may find it confusing.

Ways to save space instead:

  • Give older or short jobs just one line each. Example: "Sales Assistant, City Mall Stores, Dubai | 2016 – 2017".
  • Group early roles under a heading such as "Earlier Experience" with one line per role.
  • Cut bullets that do not support the job you are applying for.

Simple Resume Templates

Is a "card" layout, with each job in its own box, ATS-safe?

It depends on how the boxes are made. If each card is a text box or shape containing the job details, software may read the cards out of order or miss some. If the "card" is just a paragraph border or light shading around normal text, the risk is much lower.

To check:

  • Click inside a card in your editor. If you can drag the whole box around, it is a text box or shape.
  • Run the copy-and-paste test to confirm each job appears complete and in order.

For applications through portals, a simple list of jobs separated by spacing is the reliable option.

Simple Resume Templates

Can I put text on top of an image or coloured shape?

It is risky. Text over an image is often in a text box or part of the image itself. If it is part of the image, software cannot read it. If it is in a text box, it may be read out of order or skipped. Text over busy backgrounds is also harder for people to read and may disappear when printed in black and white.

For headings or your name, use normal text with paragraph shading behind it instead. Keep images, if any, purely decorative and separate from the text.

Why does my sidebar text appear before my name when I paste my resume?

Because the file stores the sidebar first. In many two-column templates the sidebar is created before the main content, or sits in a text box or table cell that comes earlier in the file. Software reading the file may do the same, so your skills or languages might be read before your name and contact details.

Fixes:

  • Move your name and contact details to a full-width block at the very top of the main body.
  • Move sidebar content into the main column as normal sections, or switch to a single-column template.
  • Re-export and retest: your name should be the first line of pasted text.

Simple Resume Templates · Two-Column Resume Templates

My pasted text lists all my job titles first and all the bullets afterwards. What happened?

Your job titles and their descriptions are stored in different places. This usually happens when the layout uses a table or two columns, with titles and employers in one column and bullets in another, or when titles are in separate text boxes. Software reads one column, then the other, so it cannot tell which bullets belong to which job.

Fix it by putting each job in a simple stacked block in one column:
"Job title
Employer, Location | Dates

  • Bullet
  • Bullet"

Then export again and check that each title is immediately followed by its own bullets.
