ATS Resumes and Formatting
Contact details, headers and footers – Page 3
My name is on the left and my phone number on the right of the same line. Can that confuse an ATS?
Yes, it can. When a name and contact details share one line using tabs or right alignment, extracted text often joins them into a single line, such as "Ravi Kumar +91 98450 12345". A parser may then record your name with digits attached, or miss your phone number.
Safer layout:
- Line 1: your name on its own.
- Line 2: your professional title (optional).
- Line 3: email, phone, city and links, separated by vertical bars.
You can still centre or left-align the block for style. If you like a split look, use it on a designed copy for networking, and keep the simple version for online applications.
Check by copying the PDF text into a plain text editor. If your name and phone run together, separate them onto different lines.
I put my job title on the same line as my name. Is that a problem for parsing?
It can be. A line like "Aisha Rahman – HR Officer" may be read as your full name, so your profile ends up with "Aisha Rahman HR Officer" in the name field.
Better:
"Aisha Rahman
HR Officer"
Put the title on its own line under your name, in a smaller size. It looks just as good and keeps your name clean for any system that reads the first line as the candidate's name.
Can I add my pronouns next to my name on my resume?
Yes, if you want to. Some people add pronouns to help recruiters address them correctly. It is optional and not expected in most countries.
How to add them without confusing a parser:
- Put them on the title line or contact line, not on the same line as your name: "Pronouns: she/her".
- Keep the format simple, in plain text.
If you use them on your resume, consider using them on LinkedIn and in your email signature too, for consistency. If you are unsure how they will be received, you can leave them off the resume and share them later.
Should I add my time zone to my contact line when applying abroad?
It can help when you apply for remote roles or to employers in a very different time zone, because it makes scheduling calls easier. For local applications, it is unnecessary.
Examples:
- "Manila, Philippines (GMT+8)"
- "Dubai, UAE (GST, UTC+4)"
Keep it short and in brackets after your location. You can also mention your available hours for calls in your cover letter.
A recruitment agency asked me to send a version without contact details. Is that normal?
Yes, it is common. Some agencies send candidates' resumes to clients without contact details, so the client goes through the agency. Others remove them themselves.
What to do:
- Create a copy with your name and contact block removed, or with only your name, as the agency asks.
- Keep the layout otherwise identical.
- Name the file clearly, for example "Priya-Menon-Resume-Agency.pdf".
Ask the agency to tell you before they send your resume to any employer, so you do not end up submitted twice to the same company.
Should I use a virtual or internet phone number on my resume when applying abroad?
You can, if it is reliable and you answer it. Some people use an internet calling number in the target country so recruiters can call locally. Make sure it works for both calls and messages and that you will not miss calls.
Before using one:
- Test it with a friend in that country.
- Check that it does not cost you a lot to receive calls.
- Make sure the number is in your name and will stay active through your job search.
Your normal mobile in international format is always acceptable. Recruiters hiring from abroad are used to calling international numbers.
Should I include the country in my location when I am applying locally?
It is a good habit. "Pune, India" or "Riyadh, Saudi Arabia" costs only a few characters, and it helps if your resume is forwarded to a recruiter in another country or a regional team.
When you could skip it:
- Applying in a large country where the state or region is more useful, such as "Austin, Texas".
Many application portals also have a separate country field. Fill it in carefully, because recruiters may search by location.
I am in Dubai on a visit visa looking for work. What location should I put?
Put your current city honestly, such as "Dubai, UAE", and be ready to explain your visa status if asked. Many people job hunt in the Gulf this way, and recruiters usually ask about visa status directly.
Tips:
- If you include a personal details line, describe your status accurately: "Visa: visit visa, valid until 30 December 2026".
- Do not imply that you already hold a residence or employment visa.
- Use a UAE mobile number if you have one, so local recruiters can reach you easily.
Rules on working and visas are set by the authorities, so check official sources for your situation.
Can I write a contact preference, like "Email preferred", on my resume?
Yes. If you are hard to reach by phone during working hours, or if you prefer written contact for any reason, a short note is acceptable.
Examples:
- "Email preferred during working hours"
- "Text or email preferred"
Keep it brief and polite, and still include a phone number if you can, since some recruiters only call. Check your email and messages often, and reply promptly to make up for missed calls.
Can I write my email as "name [at] email [dot] com" to avoid spam?
No, write it normally. Disguised addresses are a habit from public websites, but on a resume they stop parsers from recognising your email and force recruiters to retype it, which invites mistakes.
Write it in full:
"leila.haddad@email.com"
If you worry about spam, use a separate email address just for job applications, and only share your resume with employers and recruiters you trust. That protects your main inbox without making you harder to reach.
Should I add a Skype, Teams or Zoom ID to my contact details?
Usually not. Recruiters normally send a meeting link for video interviews, so a calling ID adds clutter to your contact line without much benefit.
Exceptions:
- An advert asks for it.
- You are a freelancer or remote worker whose clients usually contact you that way.
If you include it, label it clearly and keep it professional: "Teams: maria.lopez.work". Make sure the profile name and photo on that account are suitable for an employer to see.
