Cover Letters and Job Applications
Middle paragraphs and evidence – Page 2
How do I describe a team project so the reader knows what I did?
Name the team result, then state your own role and actions clearly with "I". Readers want to know what you would personally bring.
Example:
"Our team of five rolled out a new inventory system across eight stores. I was responsible for training the store staff: I wrote a short user guide, ran on-site sessions at each store and answered questions during the first month. All stores were using the system within the planned timeline."
Tips:
- Use "we" only for the overall result.
- Use specific verbs for your part: designed, trained, analysed, coordinated, tested.
- Do not claim credit for parts you did not do.
How can I mention an achievement that is confidential?
Describe the type of work and the result without naming confidential details such as clients, figures or product names. You can still show the scale and impact in general terms.
Examples:
- "I led the due diligence for the acquisition of a regional logistics business by my employer."
- "I designed the security review process for a new mobile banking product before its launch."
- "I helped a major telecom client move its customer records to a new system with no service interruption."
Use phrases like "a leading retailer" or "a large government client". Never share information your employer or client has asked you to keep private.
How should I mention an award or recognition in my cover letter?
Mention it briefly and explain what you did to earn it. An award is more meaningful when the reader understands the reason behind it.
Examples:
- "I was named Employee of the Quarter for reorganising our returns process, which reduced the time customers waited for refunds."
- "Our team received the hospital's patient safety award after I led the introduction of a new handover checklist."
- "My final-year project won the department's best design prize for a low-cost water filter."
One award is usually enough in a letter. List others in the awards section of your resume.
How do I mention my language skills in the body of a cover letter?
Mention languages when the role uses them, and give an example of using them at work. A short example is more convincing than a list of languages.
Examples:
- "I use Arabic and English daily to support customers and to translate product information for our website."
- "I handle calls from Hindi and Urdu speaking customers, which has helped our team serve more of our community."
- "My French has helped me coordinate shipments with suppliers in Morocco and Tunisia."
State your level honestly, for example "fluent", "professional working proficiency" or "conversational". Your resume can list all your languages with levels.
How should I mention a certification in the body of my cover letter?
Mention it where it supports a requirement, and show how you use what you learned. A certification on its own is a credential; applied knowledge is evidence.
Examples:
- "My PMP training helped me introduce a formal risk register on our last project, which my director now uses across all projects."
- "Since completing my Google Analytics certification, I have built monthly traffic reports for our marketing team."
- "As a certified forklift operator, I handle loading and unloading for our evening shift."
If the advert lists a required certification, mention it clearly, along with any details such as the issuing body, and list it fully on your resume.
How do I connect my values to the company's values in a cover letter?
Pick one value the company actually highlights, and give an example of how you already act on it. Repeating their values back without evidence sounds empty.
Example:
"Your commitment to sustainability stood out on your website. In my current role, I proposed switching our office printing to double-sided by default and setting up recycling bins, which the facilities team adopted across all floors."
Another:
"You describe teamwork as central to your clinic. I regularly cover colleagues' patients during busy periods and share notes so that care continues smoothly."
Keep it to one value and one or two sentences. The evidence is what makes it believable.
How do I show that I understand the challenges of the role?
Mention a challenge the role clearly involves, based on the advert or public information, and give an example of handling something similar. This shows you know what the job really requires.
Examples:
- "Managing a busy outpatient pharmacy means balancing speed with safety. In my current role, I introduced a second-check for high-risk medicines without slowing down the queue."
- "Retail store openings often bring staffing pressure. When I helped open our Al Ain branch, I recruited and trained 15 staff in four weeks."
- "Night-shift security can be quiet for hours and then require fast decisions; I have handled two medical emergencies on night duty by following site procedures."
Base the challenge on facts, not assumptions about problems the company has not mentioned.
What is the difference between the "why me" and "why you" parts of a cover letter?
"Why me" explains why you are a good fit for the job, using evidence from your experience. "Why you" explains why you want this particular employer. A strong letter includes both.
"Why me" example:
"I have three years of experience coordinating events for corporate clients, including conferences with up to 400 guests."
"Why you" example:
"Your focus on sustainable events, such as reducing single-use plastics at venues, matches the changes I introduced at my current company."
Most letters spend more space on "why me", usually one or two paragraphs, and a shorter paragraph or a few sentences on "why you". Leaving out "why you" makes a letter feel generic.
How long should each example in a cover letter be?
Usually two to four sentences for your main example, and one sentence for a supporting example. That is enough to give context, action and result without overloading the reader.
Main example (three sentences):
"Last year our warehouse often missed same-day dispatch targets. I reorganised picking routes so the fastest-moving items were closest to packing. Within two months, we were meeting the target almost every day."
Supporting example (one sentence):
"I also trained four new pickers on the handheld scanners in their first week."
If an example needs more than five sentences to make sense, it may be too complex for a letter; save it for the interview.
Should I use the same examples in my cover letter that I plan to use in the interview?
Yes, it is fine and often useful. Interviewers may ask you to expand on something from your letter, so choose examples you can explain in more depth.
Plan ahead:
- Use your strongest examples in the letter in a short form.
- Prepare the full story for the interview: the situation, your steps, any difficulties and the result.
- Have a few additional examples ready, so you are not repeating only what is in the letter.
Before the interview, re-read your letter. If you mentioned a result, be ready to explain how you achieved it and how it was measured.
How do I move smoothly from one paragraph to the next in a cover letter?
Start each paragraph with a short sentence that introduces its point and links to the job. This guides the reader without needing headings.
Useful transition patterns:
- "Your advert also mentions..." to introduce a second requirement.
- "Beyond my technical experience..." to move to soft skills or motivation.
- "What draws me to [company] in particular is..." to start the motivation paragraph.
- "In addition to managing the front desk..." to add a related responsibility.
Avoid starting every paragraph with "Furthermore" or "Moreover". Simple links tied to the job's requirements read more naturally.
What does a good middle paragraph look like for a nursing cover letter?
It should show clinical skill, patient care and teamwork with a specific example. Here is a fictional example:
"In my three years on a busy surgical ward at City General Hospital, I have cared for up to six post-operative patients per shift, monitoring vital signs, managing pain and preparing patients for discharge. I noticed that patients often went home unsure about their wound care, so I created a simple illustrated leaflet with our wound care specialist. It is now given to every surgical patient on our ward. Your hospital's focus on patient education is one of the reasons I am applying for the Staff Nurse role."
Adjust the specialty, setting and example to match your own experience and the unit you are applying to.
What is a good example of a body paragraph for a software developer?
Show a real project, the technologies used and the result for users or the business. Here is a fictional example:
"At Nimbus Retail, I am one of three developers maintaining our e-commerce platform. Last year, I rebuilt the product search using Elasticsearch, which made results faster and more relevant, and customers began finding items without contacting support as often. I also introduced automated tests for our checkout process, which reduced the number of bugs reaching production. Your advert mentions improving performance at scale, and I would enjoy applying the same approach to your marketplace."
Replace the details with your own stack and project, and keep technical terms to those relevant to the role.
What is an example of a strong body paragraph for an accountant?
Focus on accuracy, systems and a clear improvement. Here is a fictional example:
"As a General Accountant at Atlas Trading, I prepare monthly management accounts for four group companies and handle intercompany reconciliations. When I joined, month-end close took over two weeks because each company used a different chart of accounts. I worked with our finance manager to align them and created a shared closing checklist, and we now close within the first week of the month. Your advert asks for experience with group reporting, and I would bring this structured approach to your team."
Adjust the systems, standards and responsibilities to match your own work and the role.
What is an example of a middle paragraph for a sales cover letter?
Show how you win and keep customers, with results. Here is a fictional example:
"In my two years as a Sales Executive for an office equipment supplier, I have built a portfolio of over 80 business clients across Sharjah and Ajman. I focus on understanding each client's printing and storage needs before recommending products, which has led to many clients upgrading their equipment with us rather than going to competitors. Last year, I won a contract to supply all branches of a regional pharmacy chain, the largest single deal in our team that year. I would bring this consultative approach to selling your medical equipment range."
Use your own figures only if they are accurate.
What is a good example of a body paragraph for a teacher?
Show your teaching approach, a classroom example and its effect on students. Here is a fictional example:
"In four years of teaching Grade 5 at Lakeside Primary School, I have focused on making mathematics practical. I introduced a weekly 'maths market', where students use play money to buy and sell items and calculate change. Students who had struggled with mental arithmetic became more confident, and several parents mentioned their children now enjoy helping with shopping. I also lead our year group's planning meetings and share resources with newer colleagues. Your school's emphasis on hands-on learning is a strong match for the way I teach."
Adapt the grade, subject and curriculum to your own experience.
What is an example body paragraph for a customer service role?
Show how you handle customers, solve problems and keep quality high. Here is a fictional example:
"At Horizon Telecom's contact centre, I handle around 60 calls a day about billing, connections and plan changes. I am often given escalated calls because I stay calm and explain options clearly. When I noticed many customers were confused by a new billing format, I suggested a short script to explain it, and my team leader shared it with the whole floor. I would bring the same patience and practical thinking to your customer support team."
Replace the industry, numbers and examples with your own.
What is an example body paragraph for an engineer's cover letter?
Show technical work, your role and a result tied to cost, time, quality or safety. Here is a fictional example:
"As a Mechanical Engineer at Delta MEP Contractors, I design and supervise HVAC installations for commercial buildings. On a recent 20-storey office tower, I reviewed the chilled water design and found that a revised pipe routing would avoid clashes with the structural beams. This saved several weeks of rework on site. I also prepare method statements and coordinate testing and commissioning with the client's consultants. Your advert asks for experience in design coordination, which has been central to my work."
Replace the discipline, project and details with your own.
What is an example body paragraph for an administrative role?
Show organisation, reliability and how you support others. Here is a fictional example:
"In my role as Administrative Assistant at Bayview Consultants, I support a team of 12 consultants with travel bookings, meeting schedules and client documents. When our office moved to a new building, I coordinated the move plan, labelled every box by department and set up the new meeting room booking system, so the team was working normally on the first day. Your advert asks for someone who can manage several priorities at once, which describes my typical day."
Adapt the details to the size and type of office you have supported.
What is an example body paragraph for a marketing cover letter?
Show a campaign, your role in it and what it achieved. Here is a fictional example:
"At Bloom Cosmetics, I plan and run our social media campaigns across Instagram and TikTok. For our summer skincare launch, I worked with three local influencers and created a series of short tutorial videos. The campaign brought many new followers to our page and became our most successful product launch online. I also prepare monthly performance reports for our marketing manager, which we use to plan the next month's content. I would welcome the chance to bring this hands-on experience to your growing beauty brand."
Use your own campaign details and only real results.
What is an example body paragraph for a chef or cook?
Show kitchen skills, standards and how you work under pressure. Here is a fictional example:
"As Chef de Partie at Saffron Kitchen, I run the grill section during services of up to 180 covers. I train junior cooks on our recipes and plating standards, and I introduced a prep checklist that helped the section stay ready during the busiest weekend services. I follow strict food safety procedures and our kitchen has consistently passed its hygiene inspections. Your restaurant's focus on seasonal, locally sourced menus is exactly the kind of cooking I want to develop further."
Adapt the section, cuisine and details to your own experience.
What is an example body paragraph for a fresh graduate using a university project?
Treat the project like work experience: your role, what you did and what it achieved. Here is a fictional example:
"For my final-year project in Business Information Systems, I worked in a team of four to design an inventory system for a local bakery. I was responsible for gathering requirements from the owner and building the database in MySQL. The bakery now uses our system to track daily stock, and the owner said it has helped reduce waste. This project taught me how to turn a business problem into a working solution, which is what your Graduate Business Analyst programme is about."
Choose the project that best matches the role, and be clear about your own contribution.
What is an example body paragraph for a senior manager or executive?
Show leadership at scale, strategic decisions and business results. Here is a fictional example:
"As General Manager of a regional distribution business with 400 staff, I led a three-year plan to move from paper-based operations to a fully digital warehouse system. I secured board approval, chose the technology partner and personally oversaw the change programme across four sites. The business now handles significantly higher order volumes with the same headcount, and customer complaints about delivery errors have fallen sharply. Your plans to expand your logistics network in the region are where I believe my experience would add the most value."
Keep figures accurate and focus on outcomes you directly led.
What is an example body paragraph for an HR cover letter?
Show how you supported people and the business, with a clear result. Here is a fictional example:
"As HR Officer at Summit Manufacturing, I handle recruitment, onboarding and employee records for around 300 staff. I noticed new joiners were often unsure about their first week, so I designed a simple onboarding checklist and a welcome pack in English and Arabic. Feedback from new employees improved, and line managers said new staff settled in more quickly. Your advert mentions improving the employee experience, and I would enjoy bringing this practical approach to your team."
Replace the details with your own HR experience and results.
What is an example body paragraph for a logistics or warehouse role?
Show accuracy, safety and efficiency with a practical example. Here is a fictional example:
"At Gulf Star Distribution, I work as a Warehouse Team Leader on the morning shift, supervising eight operatives who pick and pack orders for supermarkets. I introduced a daily five-minute safety briefing and a colour-coded system for urgent orders, and our team has had no lost-time injuries while keeping orders on schedule. I am trained in forklift and reach truck operation and use our warehouse management system every day. I would bring the same focus on safety and accuracy to your new fulfilment centre."
Adjust the role, equipment and systems to match your experience.
