Resume Writing and Summaries

Tailoring your resume to a job – Page 3

Should I change everyday words to match a new sector, such as "customers" to "patients"?

Yes, where it is accurate. Using the target sector's vocabulary makes your experience easier to relate to, as long as you do not misdescribe what you did.

Examples:

  • Retail to hospitality: "customers" can become "guests" when describing service skills generally, but keep "customers" when describing your retail job specifically.
  • Hospitality to healthcare: show "front-desk service" in terms of "patient registration" only if you actually did patient work.
  • Corporate to non-profit: "clients" may become "beneficiaries" or "donors" depending on the role.

Use the new terms mostly in your summary and skills, and keep your past job descriptions faithful to what really happened.

Which part of my resume matters most when I tailor it?

The top of the first page: your headline, summary and the first few bullets of your most recent relevant role. That is where most readers form their first impression.

Focus your effort there:

  • Headline that matches the role honestly.
  • Summary with two or three points that match the posting's priorities.
  • Key skills near the top, in the posting's terms.
  • The first bullets of your recent role showing your most relevant results.

If you have limited time for an application, tailor this top section well and leave the rest of your base resume as it is. A strong start makes the reader more likely to continue.

Should I change my resume template or layout for each job?

Usually not. Content tailoring makes much more difference than design changes. Keep one clear, readable template and change the words.

Change the design only when:

  • Moving between very different sectors, for example from a law firm to a design studio.
  • The employer specifies a format.
  • An online application system struggles with your current layout, in which case a simpler single-column template is safer.

Single-column templates are the safest default for applicant tracking systems. Whatever template you choose, check that tailoring changes have not pushed content awkwardly across page breaks. Spend your tailoring time on the summary, bullets and skills.

How do I tailor my resume for a part-time or temporary job?

Highlight availability, reliability and the specific skills the role needs, and keep the resume short. Employers filling part-time or temporary roles often need people who can start quickly and fit set hours.

Tips:

  • Mention your availability clearly, for example "Available weekday evenings and weekends".
  • Lead with directly relevant experience, even if short.
  • Show reliability through examples such as long-term roles or regular volunteering.
  • Keep unrelated detail to a minimum.

If you are a student, include your course and expected graduation date so the employer understands your schedule.

Can I use volunteer or study experience to meet a requirement in the posting?

Yes, as long as you label it honestly. Many skills, such as event planning, data analysis or leading a team, can be shown through volunteering, clubs or academic projects.

How to present it:

  • Put it in a clearly labelled section: "Volunteer Experience" or "Projects".
  • Describe what you did with the same detail as a paid job.
  • Use the posting's terms where they fit.

Example for a posting requiring event coordination: "Organised a three-day university careers fair with 40 employers and 600 visitors (student society role)."

Do not present volunteer or student work as paid employment. Employers value the skills either way, and accuracy protects your credibility.

I am applying for different types of jobs at the same time. How do I manage tailoring?

Build one base resume for each job type, then tailor each application from the right base. Trying to make one resume fit very different roles usually makes it weaker for all of them.

Example:

  • Base A: customer service roles, leading with client handling and problem-solving.
  • Base B: administrative roles, leading with scheduling, records and software.

Each base uses the same facts, but a different summary, skills order and bullet selection. When you apply, choose the closer base and make small adjustments for the posting. Keep the versions clearly named so you know which one went to each employer.

Should I include the job reference number on my resume?

Not on the resume itself. Put the reference number where the employer asks for it: in the application form, the email subject line or the cover letter. The resume is a document about you and may be shared for other roles.

Examples:

  • Email subject: "Application: Finance Officer, Ref. FO-2291 – Rania Saleh"
  • Cover letter opening: "I am applying for the Finance Officer position (reference FO-2291)."

Following the employer's instructions on references helps your application reach the right person, especially at larger organisations with many open roles.

As a fresh graduate with little experience, how do I tailor my resume?

Tailor your education, projects, internships and skills to the posting, because these are your main evidence. Even with little work experience, you can choose and order material to match each role.

Steps:

  • Write a summary naming the role and two matching strengths.
  • Add the modules, projects or thesis topic most relevant to the job.
  • Describe internships and part-time work using the posting's terms where accurate.
  • Put matching technical and language skills first.

Example: for a junior accountant role, lead with "Internship at a mid-sized audit firm" and "Modules in Financial Accounting and Taxation", ahead of unrelated part-time work.

Resume With No Experience: A Guide for Freshers

Can I send an updated, better-tailored resume after I have already applied?

Sometimes, but do it rarely and for a good reason. If you notice a serious error, or you gain an important new qualification relevant to the role, a short message with the updated version can be appropriate.

Good reasons:

  • You discover a mistake in your contact details or dates.
  • You have just received a certification the posting asked for.

Weak reasons:

  • Small wording changes.
  • Wanting to resubmit after a rejection with the same content.

Many application systems let you update a profile or upload a new document; follow their process. When writing to a recruiter, keep the message brief and explain the update in one line.

How do I show I can solve the main problem the role exists for?

Find the problem in the posting, then lead with the closest example from your past where you solved something similar. Many postings describe the role's purpose in the first paragraph, such as "to reduce customer churn" or "to set up our new warehouse".

Steps:

  • Write down the problem in one sentence.
  • Find two or three times you handled something similar.
  • Put the strongest one in your summary and the first bullet of the relevant role.

Example: the posting says the company is opening its first Saudi branch. Your bullet: "Set up a new branch in Jeddah, from hiring to first sales, within four months." Concrete similar experience is the clearest proof of fit.
