ATS Resumes and Formatting
Layouts, columns and ATS – Page 4
Can a recruiter tell that my layout confused their ATS?
Sometimes. If parsing went wrong, the recruiter may see a profile with jumbled text, missing details or fields in the wrong places. Many will simply open your original file and read it normally. Others, especially when reviewing many candidates, may move on if the profile is hard to read.
You cannot see their screen, so reduce the chance: keep a simple layout, check and correct pre-filled fields before submitting, and make sure your original file looks clean when opened.
My Word resume's layout falls apart when opened in Google Docs or on a phone. What does that tell me?
It usually means the layout depends on floating elements such as text boxes, shapes or anchored images. Other programs handle these differently, so they move, overlap or disappear. It is a useful warning sign: if layout breaks this easily, software extracting the text may also struggle.
Fix it by moving text out of boxes and shapes into the main body, using styles, tabs and paragraph spacing for layout. When the document looks broadly the same in Word, Google Docs and on a phone, its structure is probably simple enough for most systems.
How can I use Word's Draft view to check my resume layout?
Draft view shows only the main body text and hides floating text boxes, shapes, headers and footers. That makes it a quick way to see what lives in the normal text flow, which is what software handles best.
How to use it:
- Go to View, then Draft.
- Read through. Is your name there? Contact details? Every section and job?
- Anything missing in Draft view is probably in a text box, shape or header.
Move missing content into the main body, then switch back to Print Layout to tidy the design.
Can Word's Navigation Pane show whether my section headings are set up well?
Yes. If you use Word's heading styles for your section names, they appear in the Navigation Pane (View, then Navigation Pane) as an outline of your resume. This shows that your document has real structure, which helps accessibility and PDF tags.
If the pane is empty or shows strange items, your headings are just bold text or are inside text boxes. Apply "Heading 1" (or a custom heading style) to each section name and adjust its look once in the style settings.
Should each section of my resume start on a new page?
No. Forcing each section onto a new page leaves large empty spaces, makes the resume longer than needed, and looks unfinished to readers. Software does not need sections on separate pages; a clear heading is enough.
Let sections follow each other with consistent spacing. Only adjust page breaks so that a heading or job title does not sit alone at the bottom of a page.
How should I lay out a long list of certifications without a sidebar?
Put them in their own section in the main column, one per line, with the most relevant first. Example:
"Certifications
Project Management Professional (PMP), PMI, 2023
NEBOSH International General Certificate, 2021
Microsoft Excel Expert (Office 365), 2020"
If the list is very long, keep the ones that matter for the job and group the rest into one line, such as "Additional training: first aid, fire safety, manual handling". A narrow sidebar of badges or logos is harder for software to read and for people to scan.
Does an ATS treat page breaks or column breaks as the end of a section?
Generally not. Page breaks and column breaks are layout instructions, and parsers usually ignore them or treat them like a line break. A section that continues onto page two is still read as one section, as long as there is no new heading in between.
What can cause trouble is repeated material at a break, such as a repeated name, page number or a "continued" note in the middle of a job. Keep page two clean: carry on with the next line of content.
Is a "hanging" layout with job titles in the left margin and details on the right risky?
It carries similar risks to any two-column layout. If job titles or dates sit in a separate left area, created with a table or text box, software may read all titles first and all details afterwards, losing the link between them.
If the effect is created only with paragraph indents (the title line starts at the left margin, details indented beneath), it is usually fine. Test the PDF: each job title should be immediately followed by its own employer, dates and bullets.
Text in my sidebar is cut off at the bottom of its box. Is the hidden part a problem?
Yes. When a text box is too small, the overflowing text is hidden from view but often still stored in the file. Software may read text that recruiters cannot see, and you may not even notice it is there.
Fix it by enlarging the box or, better, moving the content into the main body. Then check the copy-and-paste result: anything you cannot see on the page should not appear in the pasted text.
What should I check after switching to a different resume template?
Check the result as if it were a new resume, because a template change can alter length, page breaks and even reading order. A quick list:
- Page count and where each page ends.
- No job title or heading left alone at the bottom of a page.
- All sections still present and in the order you want.
- Consistent dates, headings and bullets.
- A copy-and-paste test on the exported PDF.
Also re-read your content: wording that fitted one line before may now wrap awkwardly.
Can changing templates change the reading order even if my content is the same?
Yes. Reading order comes from how a template arranges content in the file, not from the content itself. The same text placed in a single-column template and in a sidebar template can be extracted in quite different orders.
That is why it is worth running the copy-and-paste test after any template change, even if you only changed the design. If one template gives a clean result and another does not, use the cleaner one for online applications.
I apply for jobs in several countries. What layout works best?
A single-column layout is the easiest to adapt. Country differences are mostly about content and page size, and a simple layout lets you change these without redesigning:
- Switch between A4 and US Letter and check page breaks.
- Add or remove personal details lines, such as nationality or visa status, as local norms suggest.
- Adjust length, for example shorter for some markets and fuller for academic or Gulf CVs.
Keep one master version and make country copies from it, so your facts stay identical everywhere.
Can I use a more designed layout for the copies I bring to an interview?
Yes, if you want to. At an interview, people read your resume directly, so a well-made two-column or more stylish design is not a software problem. Make sure it contains exactly the same information as the version you submitted, so interviewers do not see contradictions.
Many people simply bring clean printed copies of the version they applied with, which is always a safe choice.
How should I lay out a long list of publications in a single-column CV?
Use a dedicated "Publications" section in the main column, with one entry per paragraph in a consistent citation style, newest first. Example:
"Rahman, S., and Lee, J. (2024). Water reuse in arid cities. Journal of Urban Engineering, 12(3), 45–60."
Tips:
- Group by type if helpful: journal articles, conference papers, book chapters.
- Use hanging indents (paragraph settings), not tabs or tables.
- For very long lists, include selected publications and link to a full list online.
My long job title wraps onto two lines in a narrow column. Is that a problem?
It can be. In a narrow column, a long title like "Senior Health, Safety and Environment Coordinator" may wrap, and a parser might read the second line as a separate item, such as an employer name. Recruiters also scan wrapped titles less easily.
Solutions:
- Put job details in the full-width main column, where titles fit on one line.
- Keep the official title, but use the common short form where it is accurate. Example: "Senior HSE Coordinator".
- Check the pre-filled job title field in application forms.
