Keeping several versions for different jobs

How do I keep track of which resume I sent to which company?

Keep a simple application log, and save a copy of the exact file you sent. Memory is not reliable once you have more than a few applications going.

A spreadsheet or notes file with these columns works well:

  • Date applied and employer name.
  • Job title and reference number from the advert.
  • Resume version name and file name sent.
  • Whether you sent a cover letter.
  • Contact person, and status (applied, interview, rejected, offer).

Store the sent PDF in a folder named by employer, so you can re-read it before an interview. Update the status column whenever you hear back, and add follow-up dates so you know when it is reasonable to check in. Interviewers often ask about something in your resume, and you want to be looking at the same version they have.
