ATS Resumes and Formatting

Tricky situations: promotions, contracts and multiple roles

Not every career fits the neat pattern of one job after another. This topic shows how to present the situations that confuse readers and application systems alike: several roles or promotions at one company, rehires, agency and contract work, manpower supply arrangements, overlapping jobs, freelance clients, secondments, locum and seasonal work, and companies that closed or trade under another name. Each answer gives a clear format that keeps titles, employers and dates together, so both software and recruiters can follow your history. It helps anyone whose work history needs a little explaining.

How do I show several roles at the same company on an ATS-friendly resume?

List the company once, then list each job title underneath with its own dates, most recent first. This shows your progression clearly and keeps each title and date together, which helps both software and recruiters.

Example:
"Gulf Logistics LLC, Dubai, UAE
Operations Manager | Jan 2024 – Present

  • Led a team of 25 across two warehouses.

Operations Supervisor | Mar 2021 – Dec 2023

  • Introduced daily dispatch checks that cut late deliveries."

Tips:

  • Put the date range on the same line as each title, not only at company level.
  • Give each title its own bullets, focusing on what changed with the new role.
  • Keep older roles at the same company shorter.

Some parsers read each title-and-date pair as a separate job, which is fine: it still shows the correct sequence. If an online portal asks you to enter jobs separately, create one entry per title with the same employer name, so your promotions are clear in the structured fields as well.

Should I list each promotion as a separate job or combine them under one company?

Combine them under one company heading with each title and its dates listed separately. This "stacked" format shows loyalty and growth at a glance and avoids repeating the company name and location several times.

When separate entries make sense:

  • An online portal asks for one entry per position.
  • The roles were in different locations or very different departments.

Avoid merging all titles into one line like "Analyst / Senior Analyst / Manager, 2019 – Present". It hides when you were promoted and can confuse both readers and parsers.

I moved sideways to a different department in the same company. How do I show it?

Show it like a promotion: one company heading, then each title with its own dates and bullets. A lateral move is a normal part of many careers and often shows broader experience.

Example:
"National Bank, Riyadh
Credit Analyst, Corporate Banking | Feb 2024 – Present
Relationship Officer, Retail Banking | Jun 2021 – Jan 2024"

Use your bullets to show what each department added to your skills. If the move was part of a structured programme, you can say so in a short line under the company name.

I took a lower title at the same company after a restructure. How do I show that honestly?

List both titles with their real dates, newest first, and let your bullets show the value you added. You do not need to label it as a step down, and you should not hide it by merging titles.

Example:
"Senior Support Specialist | Jul 2024 – Present
Team Lead, Customer Support | Jan 2022 – Jun 2024"

Listing by date, newest first, keeps the timeline accurate without drawing attention to the change. If someone asks about it, a short explanation works: "The team was restructured and I chose to stay in a specialist role." Many recruiters understand restructures.

I transferred between my company's offices in different countries. How should I list that?

Keep the company as the main heading and show each location with its own title and dates. This makes your international experience easy to see.

Example:
"Atlas Engineering Group
Project Engineer, Doha, Qatar | Apr 2023 – Present
Site Engineer, Pune, India | Jul 2020 – Mar 2023"

If the legal employer name changed between countries (for example, a local subsidiary), you can write "Atlas Engineering Group (Atlas Qatar WLL)". In portals, enter each location as a separate job with the correct country.

I left a company and was rehired a few years later. How do I show both periods?

List them as two separate entries in the correct date order, or group them under one company heading with two clear date ranges. Either way, the gap or the job in between must be visible, because your timeline needs to be accurate.

Option 1, separate entries (common when another job came in between):
"Marina Hotels, Dubai | Front Office Manager | Mar 2024 – Present
Coastline Resorts, Abu Dhabi | Assistant Front Office Manager | Jan 2021 – Feb 2024
Marina Hotels, Dubai | Front Desk Supervisor | Jun 2018 – Dec 2020"

Option 2, grouped (works when the break was short or for study):
"Marina Hotels, Dubai
Front Office Manager | Mar 2024 – Present
Front Desk Supervisor | Jun 2018 – Dec 2020"

Being rehired is a positive signal: the employer wanted you back. You can mention it in your summary or cover letter ("rehired in 2024 to lead the front office team"). In application portals, create two separate entries with their own dates so the structured fields are correct.

Open this answer on its own page: I left a company and was rehired a few years later. How do I show both periods?

Is being rehired by a former employer something to highlight?

Yes, briefly. A rehire suggests the employer valued your work, and that is reassuring to a new employer. You do not need to make a big point of it.

Ways to mention it:

  • In a bullet under the newer role: "Rehired to lead the expansion of the Riyadh branch."
  • In a cover letter: "After two years in a regional role elsewhere, I returned to Al Noor Trading as Sales Manager."

Make sure your dates show both periods correctly, and keep the explanation short.

I worked through a staffing agency at a client company. Whose name goes on my resume?

Show both: the agency as your employer and the client as where you worked. This is accurate and gives the recruiter the context they need, since the client's name often carries more weight and the agency is who can confirm your employment.

Common formats:

  • "Data Entry Specialist (Contract), PrimeStaff Recruitment, placed at Emirates Retail Group, Dubai | Feb 2024 – Jan 2025"
  • Or with the client as the heading: "Emirates Retail Group (via PrimeStaff Recruitment), Dubai"

Tips:

  • Use whichever format keeps the title, organisation and dates on clear lines.
  • Be consistent across all agency roles on your resume.
  • In application portals, the employer field usually means your legal employer, so enter the agency there and mention the client in the description.

Never present an agency placement as direct employment with the client if a reference or background check would show otherwise. Being clear avoids awkward questions later.

I did several short assignments through one temp agency. Should I list each one?

Group them under the agency with one overall date range, then list the main assignments as bullets or short sub-entries. This avoids a long list of short jobs that could look like job-hopping.

Example:
"Temporary Administrative Assistant, Swift Staffing, London | Mar 2023 – Aug 2024

  • Assignments included a law firm, a housing association and a university finance office.
  • Managed diaries, data entry and reception for teams of up to 40 people."

Name a client only if it helps and is not confidential. Keep the most relevant assignments and drop the very short ones.

Should I label contract roles as "Contract" on my resume?

Yes, it helps. Labelling a short role as a contract tells the recruiter it ended as planned, which prevents them from assuming you left quickly.

Ways to show it:

  • In the title: "Project Accountant (Contract)".
  • In the date line: "Jan 2024 – Jun 2024 (6-month contract)".

Choose one style and use it for every contract role. In application portals, look for an employment type field, such as "Contract" or "Temporary", and select it.

Do I need to say whether each job was permanent or fixed-term?

Not for permanent jobs, but it helps for fixed-term or temporary roles, especially short ones. It explains why a job ended without you needing to write a reason.

Example:
"Teacher of Mathematics (Maternity Cover), Riverside Academy | Sep 2024 – Jul 2025"

Permanent roles need no label; readers assume them. Where fixed-term contracts are the usual arrangement, as with many jobs in the Gulf, you only need to mention it when a role was shorter than usual or ended early by plan.

My visa was with a manpower supply company, but I worked full time at a client site. How do I show it?

Show the client where you worked and mention the supply company as your employer, because both facts may come up in checks. This setup is common in the Gulf, and recruiters there are familiar with it.

Example:
"Maintenance Technician, Al Waha Hospital, Abu Dhabi (employed by Pioneer Manpower Services) | May 2022 – Present"

Tips:

  • Use the client name first if your daily work and supervision were there.
  • Keep dates and title consistent with your employment documents.
  • In portals, enter your legal employer and mention the client in the description.

Why this matters: background checks and reference requests normally go to your legal employer, and your experience certificate or salary records may come from the supply company. Showing both names prevents confusion when the new employer checks. If you worked at several client sites under the same supply company, list the supply company once as the heading and each client site as a sub-entry with its own dates and duties.

I had two jobs at the same time. How do I show overlapping dates on my resume?

List both jobs with their real dates, and order them by start date or by relevance, whichever is clearer. Overlapping dates are normal when someone works part time alongside a main job, does freelance work, or holds a board role.

Ways to make it clear:

  • Label the secondary role: "Part-time", "Weekends" or "Freelance".
  • Put your main job first if both are current.
  • Keep the less relevant role short, with one or two bullets.

Example:
"Staff Nurse, City Hospital, Kochi | Jun 2022 – Present
Nursing Tutor (Part-time, evenings), Bright Futures Institute | Jan 2023 – Present"

In online portals, enter each job as a separate entry with its own dates; most forms accept overlapping dates. If a form asks you to mark one job as "current", you can usually tick it for both. Overlap only becomes a concern if it looks like you claimed full-time hours at two places at once, so labels matter.

Open this answer on its own page: I had two jobs at the same time. How do I show overlapping dates on my resume?

Should I include a part-time job I do alongside my full-time role?

Include it if it is relevant to the jobs you want or shows useful skills. Leave it out if it adds nothing and only takes space.

Include when:

  • It builds skills for your target role, such as tutoring for a teaching job.
  • It shows leadership or customer contact that your main job lacks.
  • You are a student or early in your career.

Label it clearly, for example "Part-time" or "Weekends", so the reader understands your hours. Do not list it if it could create a conflict of interest with your main employer.

I run a small business on the side while employed. Should it go on my resume?

Include it if it shows relevant skills or results, and present it simply and professionally. Leave it out if it is unrelated and could worry an employer about your availability.

How to present it:
"Founder, Petal & Thread (online fashion accessories, part-time) | 2023 – Present

  • Built and run an online store; manage suppliers, pricing and social media marketing."

Be ready to explain how it fits with a full-time job. If your employment contract restricts outside business, check it first.

How do I list freelance work for many different clients on my resume?

Use one freelance entry with an overall date range, then show your main clients or projects as bullets. This keeps the timeline clean and stops a list of many short "jobs".

Example:
"Freelance Graphic Designer, Self-employed, Cairo | Jan 2022 – Present

  • Designed brand identities for 15 small businesses in hospitality and retail.
  • Created social media campaigns for Nile Bites Café, raising engagement on their Instagram account.
  • Produced packaging designs for an organic skincare start-up."

Tips:

  • Use a clear title that matches the work you want: "Freelance Graphic Designer", not only "Freelancer".
  • Name clients only if you have permission or the work is public.
  • Choose the projects most relevant to the job you are applying for.
  • Link to a portfolio if you have one.

In portals, enter freelance work as one job with "Self-employed" or your business name as the employer. This presents freelance work as a real, continuous role, which it is.

Open this answer on its own page: How do I list freelance work for many different clients on my resume?

My freelance clients are confidential. How can I describe the work without naming them?

Describe each client by industry, size or location instead of name. This shows the type and level of work while keeping your agreements.

Examples:

  • "Built a booking website for a boutique hotel group in Bali."
  • "Wrote product descriptions for a leading UAE electronics retailer."
  • "Prepared monthly bookkeeping for three small medical clinics."

Avoid exaggerating ("a Fortune 500 company") unless you can prove it if asked. Recruiters accept confidentiality and are more interested in what you did.

I find most of my freelance work on online platforms. How do I list that?

List yourself as a freelancer and mention the platform as where you found clients, not as your employer. The platform is a marketplace; the work is yours.

Example:
"Freelance Content Writer | Self-employed (clients via Upwork and Fiverr) | 2021 – Present

  • Wrote over 200 blog articles for technology and travel clients in the UK, USA and Australia.
  • Maintained a top-rated profile with repeat clients."

A platform rating or the number of completed projects can work as evidence, as long as it is accurate and you can show it if asked.

What job title should I use for my freelance work?

Use a title that describes the work you did and matches the kind of role you want, with "Freelance" or "Independent" to show the arrangement.

Good examples:

  • "Freelance Web Developer"
  • "Independent HR Consultant"
  • "Freelance Translator (Arabic–English)"

Avoid vague titles like "Freelancer" or inflated ones like "CEO" for a one-person business, unless you genuinely run a company with staff. A clear title helps a recruiter searching for that skill find you.

I owned my own business. Should I call myself "Founder" or "Owner" on my resume?

Use the title that is accurate and helps the reader: "Founder" or "Owner" is fine, but consider adding a functional title that shows what you did day to day.

Examples:

  • "Owner and Head Chef, Spice Route Kitchen"
  • "Founder and Operations Manager, QuickFix Mobile Repairs"

If you are applying for an employee role, emphasise skills the employer needs, such as managing staff, budgeting and customer service. Some recruiters worry business owners will leave to start again, so a cover letter explaining your move can help.

Use your bullets to show the business side of your work with real outcomes, for example: "Hired and trained a team of six", "Managed supplier relationships and monthly budgets", or "Grew repeat customers through a loyalty scheme". If the business closed or was sold, say so briefly. Listing the business with a clear title and dates also avoids a gap that might otherwise make a recruiter wonder what you were doing.

I worked in my family's business. How do I present that on my resume?

Present it like any other job: a real title, the business name, dates and specific achievements. Family business experience is valid, especially if you had genuine responsibilities.

Example:
"Sales and Inventory Manager, Rahman Textiles, Karachi | 2020 – 2024

  • Managed stock for two shops and negotiated with five suppliers.
  • Introduced a simple sales tracking spreadsheet."

Choose references outside the family where possible, such as suppliers or major clients, because recruiters may give less weight to a reference from a relative.

I work for an IT services company but spend all my time on one client's project. Which company do I list?

List your employer, the IT services company, as the main company, and name the client in your description if you are allowed to. This is very common in India and elsewhere, and recruiters understand it.

Example:
"Senior Software Engineer, NovaTech Solutions, Bengaluru | Aug 2021 – Present
Client: a European retail bank (core payments platform)

  • Built REST APIs in Java and Spring Boot for card payment processing."

If you worked for several clients, add a short "Client:" line for each with its own bullets. Check your contract before naming clients; if unsure, describe them by industry.

Software Engineer resume builder

My internship turned into a full-time job at the same company. How do I show that?

List the company once, with your full-time title on top and the internship below it, each with its own dates. This shows that the employer chose to hire you after seeing your work.

Example:
"Brightline Marketing, Bengaluru
Marketing Executive | Jul 2025 – Present
Marketing Intern | Jan 2025 – Jun 2025"

Give most bullets to the full-time role. One bullet for the internship is often enough unless it was particularly relevant.

Fresh Graduate resume builder

I was seconded to another organisation for a year. How do I show a secondment?

Show it under your main employer as a separate line with its own dates, and name the host organisation. This shows it was part of your employment, not a job change.

Example:
"Ministry Advisory Group
Policy Adviser | Jan 2022 – Present
Secondment: Programme Lead, National Health Authority | Mar 2024 – Feb 2025"

Use bullets to show what you achieved during the secondment. In portals, you can enter it as a separate job with your employer named and a note that it was a secondment.

I do the same seasonal job every year. How do I list it without repeating it many times?

Combine the seasons into one entry with a clear note about the pattern. This shows reliability without filling the page with repeated jobs.

Example:
"Ski Instructor (Seasonal, December–March), Alpine Peaks Resort | 2019 – 2025

  • Returned for six winter seasons; taught groups of beginners and intermediate skiers."

If your other work happens in the off-season, list that as a separate entry. In portals that insist on exact dates, use the first start and last end date and explain the seasonal pattern in the description.
