ATS Resumes and Formatting

How ATS parsing reads your resume – Page 2

Can a parser handle a three-page resume?

Yes. Length is not a technical problem for parsing; the system reads all pages. Whether three pages is appropriate depends on your field, seniority and country: academic CVs and some senior or technical roles run longer, while many employers expect one or two pages.

If your resume is long:

  • Make sure each page break does not split a job title from its dates.
  • Keep the same layout on every page so the structure stays consistent.
  • Put your name on each page, but in the body or a simple footer line that does not confuse parsing.
  • Cut older or less relevant detail if it makes the resume harder for a human to read.

Do watermarks or background images affect parsing?

They can. A background image or pattern is usually ignored, but it can make OCR fail if the system ever needs it, and it adds file size. A text watermark, such as "CONFIDENTIAL" or a website name, may be stored as real text and get mixed into your extracted content.

Best practice:

  • Remove watermarks from your resume, including any left by a free template or editing app.
  • Keep the background plain white or very light.
  • Run the copy-and-paste test; stray words like a template brand name appearing in the text are a sign of hidden content.

When I paste my resume, lines break in the middle of sentences. Is that a problem?

Usually not. A PDF stores text line by line as it appears on the page, so when you paste it, each visual line often becomes a separate line in the text editor. Parsers are used to this and generally join lines within a paragraph or bullet.

It becomes a problem only if:

  • A word is split across lines with a hyphen ("manage-ment").
  • Lines from different sections or columns are mixed together.
  • A date or job title is separated from its entry by unrelated text.

If the only issue is that each sentence wraps at the same place as on your page, you can ignore it.

If parsing misses my skills, can recruiters still find me in a search?

Possibly not. Recruiter searches usually run on the text and fields the system extracted. If a skill was in an image, a chart or a part of the layout that was not read, it may not exist as far as search is concerned, even though a person opening your file would see it.

To protect your visibility:

  • Put every important skill, tool and certification in plain text.
  • Mention key skills where they belong: in the skills section and, where natural, in the job bullets that show you using them.
  • Use the full name and the common abbreviation once. Example: "Building Information Modelling (BIM)".

Test by copying your PDF text and searching it for each key skill with Ctrl+F.

Does a parser read sections with my own custom heading?

The text is usually extracted, but the system may not know which field it belongs to. A section called "Professional Training" or "Publications" might be kept in the general resume text or an "other" field rather than a dedicated one.

That is fine for extra information. Problems arise only when core information is under an unusual heading, such as work history under "My Journey", because the system may not recognise it as experience.

So:

  • Use standard headings for core sections: Work Experience, Education, Skills.
  • Use custom headings for genuinely extra content, and keep them clear and descriptive. Example: "Volunteer Work" or "Professional Memberships".

How is the copy-and-paste test different from an ATS checker score?

They check different things. The copy-and-paste test shows you the raw text that can be extracted from your file and its order. It answers: "Can software read my resume at all, and in what sequence?"

An ATS checker tool usually goes further, estimating structure and completeness (for example, whether you have contact details, standard sections and dates) and sometimes comparing your wording with a job description. Its score reflects that tool's own rules, not any employer's system.

Use both:

  • Copy-and-paste test first, to confirm the file is readable.
  • A checker next, to catch missing sections or terms.
  • A human read-through last, for clarity and impact.

If a portal parses my resume badly, is it my file's fault or the system's?

It can be either, and often a bit of both. Some systems handle common layouts poorly, and you cannot change that. But many parsing errors come from features in the file, such as columns, text boxes, images, unusual headings or inconsistent dates.

A practical way to tell:

  • If the copy-and-paste test on your file gives clean, ordered text, and only one portal makes mistakes, it is likely that system. Correct the fields by hand and move on.
  • If several portals make the same mistake, or the test text is messy, the file is the likely cause. Simplify the part that goes wrong.

Either way, check and fix auto-filled fields before submitting.

Why did the application form miss my education completely?

Typical reasons are an unrecognised heading, education placed in a sidebar or table, or details written in an unusual order. Some parsers also miss education when it appears in a "Qualifications" section mixed with certifications.

Make it easy to find:

  • Use the heading "Education".
  • For each entry, write the qualification, institution, location and year in a consistent pattern. Example: "Bachelor of Engineering, Mechanical | Anna University, Chennai | 2018".
  • Keep education in the main column, not a sidebar.
  • List certifications separately under "Certifications".

Then fill in or correct the education fields in the form yourself.

What Is an ATS and How Does It Read a Resume?

The parser put my certifications under education. Does it matter?

Usually not much. Recruiters reading your profile will still see the certification, and many systems treat training and education loosely. It matters more if an application asks specifically about a certification and the recruiter checks a particular field.

To reduce confusion:

  • Use a separate "Certifications" or "Licences and Certifications" heading.
  • Write each certification with its full name, issuing body and date. Example: "Certified Supply Chain Professional (CSCP), APICS, 2023".
  • If the form has a separate certifications field, add them there manually.

Should I write degree names in full or as abbreviations for parsing?

Use the full name, and add the common abbreviation if it is widely used. Recruiters may search for either, and parsers recognise standard degree names more reliably than local short forms.

Examples:

  • "Bachelor of Technology (B.Tech), Computer Science"
  • "Master of Business Administration (MBA)"
  • "Bachelor of Science in Nursing (BSN)"

Avoid only using internal or informal abbreviations, such as "BCom (H)" without explanation, if you are applying internationally. Keep the same wording in application form fields so your records match.

Why did the portal create two job entries for one job?

The parser probably saw two lines that each looked like the start of a new job. This often happens when a job title wraps onto two lines, when you list a promotion inside one employer without a clear structure, or when a sub-heading like "Key projects" looks like a title.

Fixes:

  • Keep each job title on a single line where possible.
  • Use the same title-employer-dates pattern for every role.
  • If you held several titles at one employer, format them consistently, each with its own dates.
  • Avoid bold sub-headings inside a job that look like job titles.

Then delete the duplicate entry in the form before submitting.

What Is an ATS and How Does It Read a Resume?

Why did the portal merge two of my jobs into one?

The parser did not spot the start of the second job. Common causes are a missing date range, the second job title formatted differently, very little space between entries, or the employer and dates sitting in a separate column.

Fixes:

  • Give every job its own date range in the same format.
  • Use identical formatting for every job title, such as bold on its own line.
  • Leave a small gap between jobs.
  • Put title, employer and dates together in the main column.

Example:
"Sales Associate
Al Noor Electronics, Sharjah | Jun 2019 – Dec 2020"
Then correct the form so each job has its own entry.

The portal filled in my referee's phone number instead of mine. Why?

Parsers look for patterns like phone numbers and emails, and if your resume contains more than one, they may pick the wrong one. Referees' contact details, a company phone number or an email in a job description can all be mistaken for yours.

How to avoid it:

  • Put your own phone and email at the very top in the main body.
  • Leave referee details off your resume unless the employer asks; "References available on request" or nothing at all is common.
  • If you must include references, put them at the end under a clear "References" heading.
  • Always check the contact fields in the form before submitting.

I'm a teacher and the portal listed my school as my education. How do I prevent that?

Parsers sometimes see words like "School", "College" or "University" and assume the line is education. For people who work in schools and universities, this can push a job into the education section.

Ways to help:

  • Keep your job title first and clearly visible. Example: "Mathematics Teacher" on its own line, then "Greenfield International School, Dubai | Sep 2019 – Present".
  • Keep work entries under a clear "Work Experience" heading and education under "Education".
  • Use the same format for every job so the pattern is obvious.

After uploading, check that each school appears in the right section of the form and move it if needed.

Will a long web address that breaks across two lines cause problems?

Yes, it can. When a URL wraps, the extracted text may contain a line break or space in the middle, so both the parser and anyone copying it get a broken link.

Fixes:

  • Use a short form of the address, without the "https" or "www" part at the start. Example: "linkedin.com/in/omar-haddad".
  • Create a custom short username on sites that allow it.
  • Put the link on its own line if the contact line is crowded.
  • Avoid long tracking links or link shorteners that look suspicious.

Check the copy-and-paste result: each link should appear unbroken on one line.

Should I combine my resume and portfolio into one PDF?

Usually not for an ATS upload. If the system parses one long PDF, it may treat portfolio text as part of your resume, mix project descriptions with work history, or struggle with image-heavy pages. File size limits can also be a problem.

Better options:

  • Upload the resume as its own file in the resume field.
  • If there is a field for additional documents, upload the portfolio there.
  • Otherwise, add a short portfolio link in your contact line.

If an employer specifically asks for one combined file, put the resume first, keep it text-based, and follow their instructions.

Does an ATS read the hidden title and author details inside my PDF?

Some systems may store or display file properties such as the document title and author, though what each one does with them is not public. Recruiters can also see these properties if they open the file information.

It costs nothing to keep them clean:

  • Check the properties (File, then Properties in most PDF viewers and in Word).
  • Set the title to something like "Maria Lopez – Resume" and the author to your name.
  • Remove leftover details from a template, a previous employer's computer or someone else's name.

This is a small detail, but an unexpected name in the properties can look careless.

Some letters copy out wrong from my PDF, like "Office" or missing "fi". Why?

Some fonts join certain letter pairs, such as "fi", "fl" and "ff", into a single special character called a ligature. When the text is copied or parsed, that character may come out as an unusual symbol or disappear, so "Office" might be read as "Ofce" and fail a keyword search.

How to fix it:

  • Use a common font that exports cleanly. Many standard fonts are fine.
  • In Word, check Font, then Advanced, and set Ligatures to "None".
  • Re-export the PDF and run the copy-and-paste test, searching for words containing "fi" and "fl".

It is a small issue, but worth fixing because it affects real words like "certified" and "financial".

Why does my Arabic text come out reversed or with broken letters when I paste it?

Right-to-left scripts like Arabic are stored and displayed in special ways, and some PDF exports or fonts store the letters in visual order rather than reading order, or as separate letter shapes. When copied, the text may appear reversed or with unjoined letters, and a parser may read it the same way.

What to try:

  • Export from a tool that supports Arabic text properly, with right-to-left layout set for the document.
  • Use a font designed for Arabic.
  • Test by pasting into a text editor that supports Arabic; words should read correctly.
  • If you only need English for the job, use an English resume for the application.

If the problem remains, ask the employer which format they prefer.

How should I format a projects section so it parses clearly?

Treat each project like a small job entry: a name, your role, the context and dates, followed by bullets. Consistent structure helps parsers and readers understand what you did.

Example:
"Inventory Dashboard – Final Year Project | University of Sharjah | 2024

  • Built a Power BI dashboard tracking stock levels for a campus shop.
  • Cleaned and merged three sales spreadsheets using Excel and SQL."

Tips:

  • Use the heading "Projects".
  • Put tools used in the bullets, as plain text.
  • Keep project links short and visible.

Some systems store projects as general text rather than as a separate field; that is fine.

Can I submit a fillable PDF resume template with form fields?

It is better not to. Text typed into PDF form fields is stored separately from the normal page text, and some systems may not extract it, or may read it out of order. Fields can also look different on another person's viewer.

What to do instead:

  • Copy your content into a normal document or resume builder and export a standard PDF.
  • If you must use the fillable template, use your PDF tool's "flatten" or "print to PDF" option so the field contents become normal page text, then check that the text can still be selected and copied.

Run the copy-and-paste test: everything you typed should appear.

What Is an ATS and How Does It Read a Resume? · Resume File Format: PDF or Word?

My resume has been converted from PDF to Word and back several times. Could that hurt parsing?

Yes. Each conversion rebuilds the layout and can add hidden text boxes, odd spacing, broken lines, wrong fonts and invisible characters. After several rounds, a resume may look acceptable but extract badly.

Better approach:

  • Rebuild from clean text. Copy the content into a new document or resume builder, using one simple template.
  • Re-apply formatting with built-in styles (headings, bullets) instead of manual spacing.
  • Export once to PDF and run the copy-and-paste test.

Keep the editable source file and export a new PDF each time, rather than editing PDFs repeatedly.

Why is my email address parsed with a missing letter or a space?

Usually because it was split across lines, placed next to an icon, or written in a decorative font. A space or line break in the middle of an email makes it invalid, and the system may store only part of it.

Fixes:

  • Put your email on one line, in a standard font.
  • Remove envelope icons directly touching the text, or add a clear space after them.
  • Avoid underscores at the very edge of a box where they may be hidden.
  • Copy the email from the pasted text into a new message and check it works.

In the form, always type or check the email field yourself; a wrong email means you never hear back.

Does text that is rotated or written sideways get parsed?

Often badly or not at all. Rotated text, such as a vertical name along the side of the page or a sideways section label, is usually placed in a text box or drawn at an angle. It may be extracted in an odd position, letter by letter, or skipped.

Keep all text horizontal and in the main flow of the page. If you like a vertical design element, use a simple coloured line or bar without any words in it, and put your name and headings as normal horizontal text.

What Is an ATS and How Does It Read a Resume?

How often should I run the copy-and-paste test?

Every time you export a new version that changes the layout, template or font, and at least once before a batch of applications. Small text edits within the same template rarely change how the file extracts, but layout changes can.

A quick routine:

  • Export the PDF.
  • Select all, copy, paste into a plain text editor.
  • Scan the top (name and contact), one job entry, and the skills section.
  • Search for two or three key terms with Ctrl+F.

It takes about a minute and catches problems before an employer sees them.
