ATS Resumes and Formatting
What an ATS is and what it does – Page 4
Why does the same job seem to stay open or get reposted again and again?
There are several ordinary reasons. Some employers keep "evergreen" or pipeline postings open all year for roles they hire often, such as sales staff, nurses or drivers, and review applications whenever a vacancy arises. Others repost when the first round did not produce the right candidate, when the job is reopened after a pause, or when the same role is needed in another team or location.
What to do:
- If you have already applied, check whether the reposted job has a new reference number. If it does, it may be a new opening you can apply for.
- If it is the same posting, there is usually no need to apply again; update your candidate profile instead.
- For evergreen roles, expect longer waits before anyone contacts you.
Why did I receive a rejection email months after I applied?
Usually because the employer closed the job in its ATS and the system sent a standard message to everyone still marked as active. This often happens long after the position was filled, when a recruiter tidies up old requisitions. It rarely means your application was reviewed again at that moment.
Take it as closure for that role rather than feedback on your resume. If you are still interested in the company, look for current openings, update your candidate profile and set up job alerts.
Can I reply to the automatic emails I get from an applicant tracking system?
Usually not. Many system emails come from "no-reply" addresses that nobody reads, so a reply may be lost. Check the email for a named contact, a link to your candidate portal or a separate address for questions.
If you need to contact the employer:
- Use the recruiter's direct email if one was given at any stage.
- Use the contact or help option in the candidate portal.
- Quote the job title and reference number so they can find your application.
Interview invitations sent through the system often include a scheduling link or a named recruiter; reply in the way the message asks.
If a company rejected me before, will its ATS hold that against me next time?
Not automatically in most cases. Recruiters may be able to see your previous applications and their outcomes, but a past rejection for a different role, or a role you were not ready for, does not usually stop you being considered again. Many people are hired by companies that turned them down earlier.
Improve your chances on the next attempt:
- Apply for roles that match your current experience.
- Update your resume and candidate profile with new skills, qualifications and achievements.
- Avoid applying for many roles at once without a clear fit.
Each employer sets its own approach, so there is no single rule, but reapplying with a stronger match is normal.
Is the chatbot on a careers site part of the applicant tracking system?
Often it is connected to it. Some employers use chat-style assistants to answer questions, collect basic details, ask screening questions or book interviews, and the answers are saved to your candidate record in the ATS. Others are just help tools that point you to job listings.
Treat a chatbot conversation like an application form:
- Answer screening questions accurately and completely.
- Use the same name, email and phone number as on your resume.
- Keep a note or screenshot of important answers, such as availability or notice period.
- If the bot cannot help, look for a human contact or email address on the careers page.
