Should I password-protect my CV before emailing it?

No. A password-protected CV is inconvenient for recruiters and may not open in applicant tracking systems at all. Most employers will simply move on to the next applicant rather than ask for a password.

If you are worried about privacy:

  • Leave out sensitive details your CV does not need, such as ID numbers, full home address or date of birth.
  • Send only to genuine employers and recruiters.
  • Share identity documents later in the process, when requested by a verified employer.

A plain, text-based PDF is the standard for applications. ResumeBuilder.ae also cannot import password-protected files, which is another reason to keep your master files unlocked.

Can I send my application documents as a zip file?

Avoid it. Many email systems block or quarantine zip files, and recruiters may not open them for security reasons. Separate PDF attachments are safer and easier to review.

If you have many files:

  • Combine related documents into one PDF, such as all certificates together.
  • Share large portfolios or videos through a viewable link.
  • Keep the email to two or three attachments.

Only use a zip file if the employer specifically asks for one, and even then, mention clearly in the email what it contains.

The employer asked for a Word CV but I built mine as a PDF. What can I do?

Create a Word version by copying your text into a word processor, format it simply and save it as .docx. Check it carefully before sending.

Steps:

  • Open the resume in the builder or your PDF and copy each section's text.
  • Paste into a new document, using simple headings and standard fonts.
  • Re-create bullet points and check dates line up.
  • Save as "Your-Name-CV.docx" and open it once more to check.

ResumeBuilder.ae exports PDF only, with no Word export, so copying the text from the builder is the quickest route. Some PDF readers can also convert to Word, but the result often needs tidying.

If the employer has no strong reason, you could politely ask whether a PDF is acceptable, but if they insist, send the Word file.

Should I reply in the same email thread or start a new email?

Reply in the same thread when continuing a conversation, such as answering a recruiter or following up on your application. Start a new email only for a new topic or a different vacancy.

Why it matters:

  • The recruiter sees the full history and your earlier attachments.
  • The subject line stays consistent, so it is easy to find.

When to start fresh:

  • Applying for a different role at the same company.
  • The thread is very old or has become confusing.
  • You are contacting a different person who was not in the original conversation.

When you reply, check that the quoted earlier messages do not contain anything you would not want forwarded, and remove "Fwd" or unrelated text.

How do I ask a contact to forward my CV to their company?

Ask politely, make it easy for them and give them a short message they can forward. A contact is doing you a favour, so reduce their effort.

Example:
"Hi Kavya,

I hope you are well. I noticed your company is hiring a Supply Chain Analyst. Would you be comfortable forwarding my CV to the hiring team, or letting me know who to contact?

I have attached my CV and a short summary below, in case it helps:
'Supply chain analyst with four years in demand planning for an FMCG distributor in Dubai.'

No pressure at all if it is not possible. Thank you!

Best regards,
Ahmed"

Thank them whatever the outcome, and let them know if you get an interview.

How do I email someone I met at a job fair or networking event?

Email within a day or two, remind them where you met, mention something from your conversation and attach your CV if they invited it. A specific reminder helps them place you among many conversations.

Example:
"Subject: Great to meet you at the Careers Fair – Noor Abbas

Dear Mr Wong,

Thank you for speaking with me at the university careers fair on Tuesday about your graduate engineering programme. I enjoyed hearing about your water treatment projects. As you suggested, I have attached my CV and will apply online before the 30 November deadline.

Kind regards,
Noor Abbas"

Keep it short and do not ask for a job directly; follow the steps they suggested.

Should I mention my notice period and availability in my application email?

Yes, if the advert asks for it or if you can start soon; otherwise it is optional. In many Gulf and South Asian job markets, recruiters ask about notice period early, so including it can save time.

How to phrase it:

  • "I am available to join immediately."
  • "My notice period is one month."
  • "I can join two weeks after receiving an offer."

Put it near the end of the email, after your main selling points. If your notice period is long, you can still mention it honestly; employers often plan around it. Some people also list notice period in their CV's personal details, which ResumeBuilder.ae supports as an optional field.

Should I mention my visa status in my application email?

Mention it when it helps or when the advert asks, and always describe it accurately. For roles in the UAE and wider GCC, many employers want to know quickly whether you are already in the country with a visa that allows you to change employers, or will need a new visa.

Ways to phrase it:

  • "I am based in Dubai on a residence visa."
  • "I am currently in Abu Dhabi on a visit visa and available for interviews."
  • "I am based in Mumbai and would require employment visa sponsorship."

Visa rules and procedures change and differ by country, so check official government sources rather than relying on advice from forums. Do not attach visa copies unless asked by a verified employer.

Can I use bullet points in a job application email?

Yes, a short list of two to four bullets can make your key points easier to scan, especially on a phone. Keep them simple and use them only where they help.

Example:
"In my current role as a payroll officer, I:

  • Process monthly payroll for 600 employees in SAP.
  • Prepare end-of-service calculations and WPS files.
  • Handle staff queries in English and Arabic."

Tips:

  • Use plain hyphens or your email app's standard bullets.
  • Avoid tables, columns or coloured text.
  • Do not turn the whole email into bullets; keep a normal greeting, short introduction and closing.

Should I attach a cover letter even if the advert doesn't ask for one?

It is usually a good idea when you have a reason to explain your fit, such as a career change, relocation or a strong match to the role. If the advert clearly says "CV only", follow that instruction.

Benefits of attaching one:

  • It shows effort and genuine interest.
  • It lets you explain anything your CV cannot, such as a move or gap.
  • It may be read by a hiring manager even if a recruiter skips it.

If you prefer not to attach a full letter, write a short, tailored email body instead; it does the same job in fewer words.

ResumeBuilder.ae lets you write a matching cover letter for free in the builder, and download it as a PDF in the same 7-day window as the resume you paid for.

How do I email my CV for an internship as a student?

Use a clear subject, mention your course and year, say what kind of internship and dates you want, and attach your CV as a PDF. Keep it short and show genuine interest.

Example:
"Subject: Summer Internship Application – Marketing – Hana Yousef

Dear Ms Grant,

I am a second-year business student and would like to apply for a summer marketing internship with your agency from June to August. I have managed social media for our student entrepreneurship club and grown its followers steadily over the year.

My CV is attached. Thank you for considering my application.

Kind regards,
Hana Yousef

Use your university email or a professional personal address, and check your university careers office for any internship rules.

How do I email to ask whether a vacancy is still open?

Send a short, polite question with the role and where you saw it, and attach your CV so they can consider you straight away if it is. This saves a second email.

Example:
"Subject: Enquiry – Pharmacy Assistant vacancy – Karim Mansour

Dear Recruitment Team,

I saw your Pharmacy Assistant vacancy on a job board last month and wanted to check whether it is still open. If so, I would like to apply and have attached my CV.

Kind regards,
Karim Mansour"

If the advert has a clear closing date that has passed, it is usually better to apply for similar current roles or send a speculative email instead.

Can I email a recruiter with questions before I apply?

Yes, if a contact is given and your question is genuinely useful and not answered in the advert. Good questions show interest; questions already answered in the advert suggest you did not read it.

Good questions:

  • Whether the role is open to candidates outside the country.
  • Whether a specific certificate is essential or preferred.
  • Whether the role is permanent or fixed-term, if unclear.

Example: "Before applying, I wanted to check whether the Logistics Coordinator role is open to candidates currently in Muscat who could relocate within a month."

Keep it to one or two questions and attach your CV in case they want to consider you right away.

How do I address an email when I am not sure if the recipient is a man or a woman?

Use their full name without a title, such as "Dear Sam Taylor" or "Dear Nur Aziz". This is polite and avoids guessing wrong.

Other options:

  • Check their professional profile or company page, where people sometimes list a title or pronouns.
  • Use a role-based greeting if you have no name: "Dear Hiring Manager".

Avoid:

  • "Dear Sir" as a default.
  • "Dear Mr/Ms Taylor", which looks unfinished.

Once they reply, follow their lead: if they sign "Sam", you can write "Dear Sam" next time if the tone is relaxed, or keep the full name if it is formal.

A recruiter asked me to send my updated CV. What should I include in the reply?

Reply quickly with your latest CV attached as a PDF, a short note and anything else they asked for. Make sure the CV really is updated and tailored to the role they mentioned.

Example:
"Dear Mr Siddiqui,

Thank you for your message. Please find attached my updated CV. Since we last spoke, I have completed my PMP certification and finished the handover of the Al Wasl project.

I am available for a call any weekday after 16:00.

Kind regards,
Elena Petrova"

Check the date of your most recent role, contact details and any new achievements before sending. If they asked for other details, such as notice period or availability, include them in the email.

Can I resend my application if I have updated my CV?

Only if the change is meaningful, such as a new qualification, and the recruiter has not yet replied or the portal allows updates. Resending for small edits can look disorganised.

How to do it:

  • Reply in your original thread.
  • Explain briefly what changed: "I have since completed my CIMA Certificate and attached my updated CV."
  • Ask them to use the new version.

If you applied through a portal, check whether you can update your profile there instead. Avoid resending more than once; instead, bring new information up at interview.

How do I email my ResumeBuilder.ae PDF to an employer?

Download the PDF after paying the US$1.00 export fee, save it with a clear file name, and attach it to your email like any other file. The PDF is text-based, so the recruiter can open, search and copy from it.

Steps:

  • Finish your resume and preview it in the builder.
  • Download the PDF (A4 or US Letter).
  • Rename the file, for example "Mariam-Saleh-CV.pdf".
  • Attach it to your email and open the attachment once to check it.

If you edit the resume after paying, you can download again within 7 days, up to 10 attempts, at no extra cost. If you wrote a matching cover letter in the builder, you can download that as a PDF in the same window and attach it too.

How quickly should I reply to emails from employers?

Aim to reply within one working day, and the same day for interview invitations or time-sensitive requests. Quick replies show interest and reliability, and some employers move on if candidates are slow.

Tips:

  • Turn on email notifications on your phone during your job search.
  • Check your spam folder regularly, as replies from portals sometimes land there.
  • If you need time to decide or gather documents, send a short holding reply: "Thank you, I will send the requested documents by Thursday."

Do not rush and send a reply full of mistakes, though. A careful reply within hours is better than a sloppy one in minutes.

How do I email a documents request after a phone interview?

Send exactly what was asked, clearly named, in one email, with a brief note listing the attachments. This makes it easy for the recruiter to process and forward.

Example:
"Subject: Documents for Staff Nurse role – Grace Thomas

Dear Ms Abdulla,

Thank you for speaking with me this morning. As requested, please find attached:

  • My updated CV
  • My nursing licence and BLS certificate
  • Two reference contacts

Please let me know if you need anything else.

Kind regards,
Grace Thomas"

Check each file opens and is legible, especially scanned documents. If one document is not ready, say when you will send it.

What display name should show when I send job emails?

Your full name, written as it appears on your CV. The display name appears in the recruiter's inbox before they open anything, so it should match your application.

Check it:

  • In your email account settings, under name or profile.
  • By sending a test email to yourself or a friend.

Avoid nicknames, all lower-case names, names with emojis or the email username shown instead of a name. If you use a shortened form of your name professionally, use it consistently on your CV, email and professional profiles so recruiters do not get confused.
