File names and file size – Page 2

Is it a good idea to add "Final" or "Updated" to the file name?

No. Words like "final", "updated", "new" or "v2" add nothing for the employer and can suggest that older, different versions are circulating. They also become inaccurate as soon as you change the file again.

Use instead:

  • For sending: "Kofi-Mensah-CV.pdf".
  • For your own tracking: dated folders or a list of where each version went.

If you resend a corrected CV to the same employer, mention in the email that it replaces the earlier file rather than relying on the file name.

My PDF opens very slowly on my phone. Is the file too heavy?

Possibly. A slow-opening resume usually contains large images, scanned pages or heavy graphics. Recruiters often read on phones too, so a heavy file can be a nuisance for them.

Check:

  • The file size: more than a couple of megabytes for a short resume suggests images.
  • Whether text can be selected; if not, the pages may be images.

Fix it at the source: remove large graphics and export again. A text-based resume opens almost instantly.

How should I name my resume if I'm sending it to a recruitment agency?

Use your full name and "CV", the same as for an employer: "Rohan-Desai-CV.pdf" or ".docx". Agencies handle many candidates, so your name must be obvious.

Extra tips:

  • If the agency asked for a version without contact details, name your own copy clearly, such as "Rohan-Desai-CV-no-contacts.docx", but rename it to "Rohan-Desai-CV.docx" when sending if you prefer.
  • Do not include the agency's name in your file name; the file may be passed on to clients.
  • If you work with several agencies, keep a note of which version each one received.

Why does a portal reject my file even though it is under the size limit?

Size is only one check. Other common reasons:

  • File type not on the accepted list (for example .pages or .odt).
  • A password or editing restriction on the PDF.
  • Special characters or a very long file name.
  • A file that is damaged or still downloading (for example ending in ".crdownload" or ".part").
  • The portal timing out on a slow connection.

Try renaming the file simply, removing any protection, re-exporting from your source and uploading again on a stable connection. If it still fails, try another browser, then contact the employer through the help link on the portal.

Will zipping my resume make it smaller and better for sending?

No. A resume PDF is already compact, so zipping saves very little, and many employers' email systems block or quarantine zip files for security reasons. Recruiters also find zips inconvenient on phones.

Send PDFs or Word files directly. If you have many documents, such as certificates, ask the employer how they want them, or combine them into one PDF only when asked. Keep your resume as its own separate file in every case.

What's the best file naming pattern for many tailored resumes in one job search?

Use a consistent pattern for your own copies, and a clean name for the file you send. For example, store tailored files as "Company-Role-Date" inside a folder, and send them as "Your-Name-CV-Role.pdf".

Example system:

  • Folder: "Applications 2026".
  • Subfolder: "2026-10-14 Gulf Logistics - Supply Chain Coordinator".
  • Inside: "Ravi-Kumar-CV-Supply-Chain-Coordinator.pdf", the cover letter and a copy of the job advert.

Saving the advert with your files is useful because adverts are often removed after the closing date, and you will want it before an interview. A resume builder that saves several resumes (ResumeBuilder.ae saves up to 10) helps you keep each tailored version editable too.

Is it unprofessional to send a file called "My CV.pdf"?

It is not a disaster, but it is a missed chance. The recruiter receives many files called "CV.pdf" or "My CV.pdf", and when saved together they can overwrite each other or get mixed up.

Rename it before sending: "Laila-Ahmed-CV.pdf". It takes seconds and makes your file easy to find later, for example when the hiring manager searches their downloads before your interview.

Should my file name include my professional title?

It can, if it helps the recruiter and stays short. "Elena-Popescu-CV-Data-Analyst.pdf" tells the reader at a glance which role it is for, which is useful if you apply for different kinds of jobs.

Leave the title out if:

  • You are applying to one kind of role everywhere.
  • The title is long, such as "Senior Regional Health, Safety and Environment Manager".
  • The employer asked for a specific naming format.

Make sure the title in the file name matches the role you applied for, not a previous application.

Can I name my PDF and Word versions the same?

Yes, and it is a good idea, as long as the extensions differ: "Tomasz-Nowak-CV.pdf" and "Tomasz-Nowak-CV.docx". The extension shows the format, and the matching name shows they are the same document.

Be careful when both are in one folder: some systems hide extensions, so you might attach the wrong one. On Windows, turn on "File name extensions" in File Explorer's View menu, or look at the file icon and type before attaching.

The upload page says my file name is invalid. What should I change?

Simplify the name to letters, numbers and hyphens, keep it short, and make sure it ends with the right extension. For example, rename "Résumé – Ana (Final) #2.pdf" to "Ana-Silva-CV.pdf".

Also check:

  • The extension is lower case and correct (".pdf" or ".docx").
  • There are no double extensions like "CV.pdf.pdf" or "CV.docx.pdf".
  • There are no leading spaces or dots.

Then upload again. If the error continues, try another browser or device and check the portal's help notes for its naming rules.

What is a double extension like "CV.pdf.pdf", and is it a problem?

It means ".pdf" appears twice, usually because you typed it while renaming and your computer hides extensions. The file still opens, but it looks careless, and some security filters treat double extensions as suspicious.

To fix it:

  • Show file extensions (in Windows File Explorer: View, then tick "File name extensions").
  • Rename the file so it ends with only one ".pdf".

A more worrying double extension is something like "CV.pdf.exe": never open or send a file like that, as it is not a real PDF.

Does a smaller resume file look better to employers?

Employers do not judge file size, but they notice when a file is slow to open, blocked by email or fails to upload. A small, text-based PDF avoids all of those.

Signs your file is healthy:

  • It opens quickly on a phone.
  • The text can be selected.
  • It attaches to an email without warnings.

You do not need to chase the smallest possible size. A clean file made directly from your builder or word processor is already the right size.

Should I combine my resume, cover letter and certificates into one file to save space?

Only if the employer or portal asks for a single file. Separate files are usually better: the resume stays small and text-based, and each document can be opened, forwarded or stored on its own.

If you must combine them:

  • Put the resume first, then the cover letter, then certificates.
  • Check the combined file size against the portal's limit.
  • Name it clearly: "Sana-Malik-Application.pdf".

Combining does not really "save space"; the total size is about the same, and large scans are still the main cause of heavy files.

How do I check the exact size of my resume file on a phone?

Open the file's details in your Files app.

  • iPhone: open the Files app, find the PDF, press and hold it, and choose Get Info. The size appears in the details.
  • Android: open Files (or My Files), press and hold the PDF, then tap the info or details icon (often shown as an "i" or three dots).

If the size is shown as 0 bytes, the download did not complete, so download it again. If it is unusually large, the file probably contains images or scans.

Should I put my phone number or email in my file name?

No. Your contact details belong inside the resume, and a file name with phone numbers or symbols like "@" looks odd and can cause upload problems. Some systems also display file names publicly or in shared folders, so keeping personal details out of it is a small privacy plus.

Use: "Sunita-Reddy-CV.pdf". Make sure your phone number with country code and your email are clearly at the top of the resume instead.

Will renaming my ResumeBuilder.ae PDF affect anything?

No. Renaming the downloaded file only changes its name on your device. The PDF content, its selectable text and your resume saved in the builder stay exactly the same.

So it is safe to rename "resume.pdf" or similar to "Your-Name-CV.pdf" before sending. Just keep ".pdf" at the end of the name. If you later edit the resume in the builder and download again, the new file will arrive with its own name, so rename that one too and remove the older copy to avoid mixing them up.

How do I keep my resume file size small from the start?

Build it as a text document with minimal graphics and export directly to PDF.

Habits that keep files light:

  • Use a text-focused template without background images or photos.
  • Use one or two fonts, not many.
  • Export or "Save as PDF" from your source rather than scanning or photographing.
  • Keep certificates and portfolios as separate files.
  • Avoid re-saving through multiple converters.

A resume made this way is usually small enough for any portal and opens quickly on phones and laptops alike.
