Downloads, File Formats and Troubleshooting

Uploading to job portals

Job portals and careers sites ask you to upload your resume, then often read it and fill in a form for you. This topic helps when that process goes wrong: upload buttons that do nothing, unsupported file types, size limits, protected files, blank previews and jumbled parsing. It also covers re-uploading after you edit your resume, checking which file an employer has, combining documents into one file and preparing a clean file before every upload. It is useful for anyone applying through online application systems on a computer or phone.

The upload button does nothing when I click it. What can I try?

Usually the problem is the browser, not your file. Try these steps in order:

  • Reload the page and try again, after saving any form text you typed.
  • Allow pop-ups and file access for the site if your browser shows a blocked icon in the address bar.
  • Turn off ad blockers or privacy extensions for that site, as they sometimes block upload scripts.
  • Try a different browser, such as Chrome, Edge, Firefox or Safari.
  • Try a computer instead of a phone, or the other way round.

If none of this works, the portal may be having technical problems. Note the time and what you saw, and contact the employer through the help or contact link on the portal, especially if the closing date is near.

The portal says "unsupported file type" for my resume. What does that mean?

The portal does not accept the type of file you chose. Look at the list of accepted formats near the upload button, which is often PDF, DOC and DOCX, and convert your resume to one of them.

Common causes:

  • You selected a .pages, .odt, image or zip file.
  • The file has no extension or a wrong one after renaming.
  • You picked a shortcut or link instead of the real file.

Fix it by exporting your resume from its source as PDF or Word, checking that the name ends in ".pdf" or ".docx", and uploading again. Never just rename the extension, because that does not change the file's real format.

Resume File Format: PDF or Word?

The upload keeps failing halfway through. Is it my internet?

Very likely. Uploads that stop partway are often caused by an unstable connection, a slow mobile network or the page timing out.

Try:

  • Moving to a stronger Wi-Fi signal or a wired connection.
  • Closing other tabs and downloads that use bandwidth.
  • Making sure the file is small; a text-based resume PDF should upload quickly.
  • Turning off a VPN temporarily if you use one, since some sites react badly to VPN connections.
  • Uploading from a different device.

If the file is large because of images or scans, reduce it first. A small file is less likely to time out.

After uploading, the portal filled in my details wrongly. Should I fix them manually?

Yes, always correct the auto-filled fields. Many portals read your resume and copy what they find into their form, and that step often makes mistakes, such as putting a company name in the job title field or mixing up dates.

Check each section:

  • Name, email and phone number with country code.
  • Job titles, employers and start and end dates for every role.
  • Education: degree, institution and dates.
  • Skills: remove odd fragments the portal created.

Recruiters often search and filter using these form fields, so accurate fields matter as much as the attached file. Take your time and compare against your resume line by line.

If the same mistakes appear on several portals, your file layout may be the cause. Single-column layouts with standard headings, and each job's title, employer and dates kept together, tend to be read more reliably. Some portals let you skip the automatic reading and type the details yourself; that is fine too, and sometimes faster than fixing a badly parsed form.

Why does the parsing preview show my work history in the wrong order?

The software probably read your file in an unexpected order. This often happens with two-column layouts, text boxes, tables or dates placed far from the job title.

What to do now: reorder or correct the entries in the form by hand.

For next time:

  • Use a single-column layout with standard headings like "Work Experience".
  • Keep each job's title, employer and dates together on consecutive lines.
  • List roles with the most recent first.

You can test how your file reads by copying all the text from the PDF into a plain text editor and checking the order.

The portal preview shows strange symbols instead of my bullets. Does the employer see that?

Possibly in the parsed version. Unusual bullet characters, icons or decorative symbols sometimes become boxes, question marks or letters when software extracts the text. The original attached file usually still looks correct when opened.

To reduce the risk:

  • Use simple round bullets or dashes.
  • Avoid icon fonts for phone, email and location symbols; write "Phone:" and "Email:" as words instead.
  • If the portal lets you edit the parsed text, remove the stray symbols.

Check your file by copying its text into a plain text editor. Whatever looks odd there may look odd in the portal too.

I updated my resume after applying. Should I upload the new version?

Only if the change is important and the portal allows it. Small fixes, such as a better wording, are not worth resubmitting; an important correction, like a wrong phone number or a missing qualification the job requires, may be.

Options:

  • If the application is still open for editing, replace the file there.
  • If it is locked, contact the recruiter politely and offer the updated version.
  • Update your general portal profile so future applications use the new file.

Keep a copy of the version you originally submitted, so you know what the employer has in front of them if they call you.

How do I check which resume file a portal currently has for me?

Look in your profile or "My documents" area of the portal, and in each submitted application if the portal shows them. Many portals keep a default resume on your profile plus the file attached to each application.

Steps:

  • Open your profile and look for a documents or resume section.
  • Download or preview the file listed there and check the content.
  • In "My applications", open each one to see what was attached, if available.

If you find an old version as your default, replace it, so future applications use the right file.

The portal asks me to upload from Google Drive, Dropbox or my computer. Which is best?

Uploading from your device is usually the most reliable. Cloud options work, but they depend on you signing in to the cloud account inside the portal and granting it access to your files.

If you use a cloud option:

  • Make sure you pick the final PDF, not an editable Google Docs file.
  • Review what permissions the portal asks for before allowing access.
  • Check the uploaded file name and preview afterwards.

On a phone, saving the PDF to your Files app first and then choosing "Browse" or "Files" is often simplest.

My uploaded resume shows as blank in the portal preview. What happened?

The file may be image-based, damaged or protected, or the portal's preview may simply not support it.

Check your file:

  • Open it on your device. Is the text visible and selectable?
  • Is the size more than 0 KB?
  • Does it have a password or editing restriction?

If the text is not selectable, the PDF is a scan or image; recreate it from your source. If it is protected, save a copy without protection. If the file is fine, try uploading the other accepted format (Word or PDF) and see if the preview improves.

Can I upload my resume from my phone to a job portal?

Yes, most portals accept uploads from phone browsers and many job apps. Save the PDF to your phone first, then choose it from the Files or Documents option when you tap upload.

Tips for smooth phone uploads:

  • Use the phone's main browser rather than an in-app browser inside social media apps.
  • Make sure you choose the PDF file, not a photo of it from your gallery.
  • Fill in long form fields carefully; zoom in to check autofilled data.

If a portal page does not work well on a phone, use a computer, especially for applications with many required fields. If the upload fails, check the portal's file size and format rules.

Open the resume builder

The portal says "file is password protected". But I never set a password. Why?

The PDF may have an editing restriction or security setting added by the software that created or converted it, or by a work device that applies protection automatically. Some portals may report any restriction as "password protected".

How to fix:

  • Recreate the PDF from your source (builder, Word or Google Docs) on a personal device.
  • Avoid online converters and "secure PDF" options.
  • Check the document properties in your PDF reader for "Security" settings.

If your work laptop adds labels or protection to files, make the resume on a personal device instead.

Resume File Format: PDF or Word?

The portal has a separate "paste your resume" text box. Should I use it as well as uploading?

If the portal offers both and marks the text box as optional, uploading the file is usually enough. If it is required, paste a clean plain-text version.

When pasting:

  • Copy from your resume and paste into a plain text editor first to remove odd formatting.
  • Use simple dashes for bullets and capitals for headings.
  • Check line breaks, because some forms join lines together.

Read the result in the box before submitting. Recruiters may read the pasted version, so it should be tidy.

Do I need to create a new account on every company's careers portal?

Often yes, because many employers use their own application systems. It is tedious but normal.

To make it easier:

  • Use the same email address for all job portals, ideally one used only for job searching.
  • Use a password manager instead of reusing one password everywhere.
  • Keep a list of portals you have registered on and the jobs applied for.
  • Keep your PDF, a Word version and a plain text version ready to save time.

Be cautious of sites that ask for payment or passport and bank details just to register; genuine employer portals do not normally charge applicants.

The portal accepted my file but the application wasn't submitted. How do I know?

Uploading a file is usually just one step; the application is only complete after you press a final "Submit" or "Apply" button. Look for a confirmation screen, a confirmation email, or the job appearing in "My applications".

If you are unsure:

  • Log in and check your application list.
  • Look in your email, including spam, for a confirmation.
  • Do not start a duplicate application straight away; first check whether the first one went through.

If there is no record, return to the job and complete the remaining steps.

Should I upload a cover letter where the portal says "optional"?

If you have a tailored letter, yes. An optional cover letter gives you room to explain why you fit, which helps if your background needs context, such as a career change or relocation.

File tips:

  • Use the same format and name style as your resume.
  • Keep it to one page.
  • Upload it in the cover letter slot, not in "additional documents", so it is labelled correctly.

Do not upload a generic letter addressed to another company; it does more harm than leaving the slot empty.

The portal only accepts files under 1 MB. My resume is 3 MB. What do I do?

Make a lighter version by removing images and exporting again. A text-based resume of one or two pages normally fits easily under 1 MB.

Steps:

  • Remove photos, logos and background graphics.
  • Export directly to PDF from your source, not by scanning or printing to an image.
  • Check the new size before uploading.

If you cannot change the design, upload a simpler version to this portal. A clean text file is better for the portal's software anyway.

The portal cut my resume to the first page. Did it lose page two?

Probably not. Many portals show only a preview, sometimes just the first page or a thumbnail, while the full file is stored. Some portals do convert your file, though, so it is worth checking.

How to check:

  • Download or open the stored file from your profile, if available.
  • Look for page numbers or a "View full document" option.

If the stored file really is incomplete, upload again, ideally in the other accepted format, and confirm both pages are there.

What should I do if the portal crashes just before the deadline?

Keep evidence and contact the employer quickly. A technical failure is not your fault, but you need to show you tried.

Steps:

  • Take screenshots of the error with the time visible.
  • Try another browser or device immediately.
  • Email the recruitment contact or the address in the advert, explaining the problem and attaching your resume.

Example: "I tried to apply for the Accounts Assistant role (REF 4471) today at 4:40 pm, but the portal showed an error at the upload step. I have attached my CV and would be grateful if you could advise how to complete my application."

Can I upload the same resume to several jobs on one employer's portal?

Yes, but consider tailoring when the roles are different. Many portals keep one default resume and attach it to each application unless you choose another file.

Before applying to several roles:

  • Check that the default resume suits each role, or upload a tailored file for each.
  • Look at whether the portal lets you attach a different resume per application.
  • Avoid applying to too many unrelated roles at once, which can make your focus unclear to the recruiter.

Keep a record of which file you used for which job.

Open the resume builder

The portal asks me to choose a "primary" resume. What does that mean?

It is the file the portal will use by default for new applications and, on some job boards, the one recruiters can see when they search candidates. You may have several resumes stored, but only one is primary.

Choose as primary:

  • Your most up-to-date, general version.
  • A file with clear contact details and a good professional title.

Change the primary resume when you update your CV, and delete old versions if you no longer want them visible or used.

The portal removed formatting from my resume. Will the recruiter see the plain version?

It depends on the system. Many recruiters can open your original file, while the plain or reformatted version is what the system uses for searching. Some show both.

Assume both may be seen:

  • Make sure your original file is clean and readable.
  • Make sure the parsed text is in a logical order and correct any mistakes in the form.
  • Use standard headings so sections are recognised.

There is nothing wrong with the portal stripping formatting. It is the content that needs to survive.

Check your resume with the ATS checker

Should I upload a scanned copy of my signed resume?

No. Upload the original text-based file. Scans are images, so the portal's software cannot read them, and resumes do not normally need signatures.

If an employer has asked for a signed declaration or form, upload that as a separate document in the field they specify, and keep your resume as a normal text-based PDF or Word file.

Some application forms include a tick box or typed declaration confirming your information is true. Completing that box is the usual way to "sign" an online application, so there is no need to add a handwritten signature to the resume itself.

Resume File Format: PDF or Word?

Why does the portal say my email or phone is invalid when it is correct?

The form may expect a particular format. Phone fields often need the country code in a specific style or digits only, and email fields can reject spaces or certain characters copied from your resume.

Try:

  • Typing the details by hand instead of pasting them.
  • Entering the phone with or without "+" and spaces, as the field's hint suggests, for example "+971501234567".
  • Checking for a space at the end of the email.

If it still fails, try another browser. Use the same details as in your resume so the recruiter sees consistent contact information.

I uploaded the wrong resume to an application. Can I fix it?

Often yes. First check whether the portal allows you to edit or withdraw and resubmit the application before the closing date. If not, contact the recruiter.

Steps:

  • Look in "My applications" for an edit, update or withdraw option.
  • If it is locked, email the recruiter or the contact in the advert.

Example: "I applied for the Logistics Coordinator role yesterday and attached an earlier version of my CV by mistake. Please find the correct version attached."

Keep it short and avoid over-apologising. Then update your portal profile so it does not happen again.
