Downloads, File Formats and Troubleshooting
Emailing your resume
Sending your resume by email sounds simple, but attachments go missing, turn into links, arrive empty or are blocked by security filters. This topic focuses on the file-handling side of emailing a resume: attaching correctly in Gmail, Outlook and phone mail apps, choosing between attachments and cloud links, fixing sharing permissions, making sure the latest version is attached, and what to do when a recruiter cannot open your file. It helps anyone who applies by email, whether from a computer or a phone.
How do I attach my resume PDF to an email in Gmail on a computer?
Click the paperclip icon at the bottom of the message window and choose your PDF.
Steps:
- Click Compose and write your message.
- Click the paperclip ("Attach files") at the bottom.
- Find your resume, usually in the Downloads folder, select it and click Open.
- Wait until the file name appears under your message with no progress bar.
You can also drag the PDF from a folder straight into the message window. Before sending, click the attachment name to preview it and confirm it is the right version. If you see a Google Drive icon instead of a paperclip, Gmail has shared it as a link, not an attachment; for a resume, a normal attachment is better.
A few extra checks are worth the time. Make sure you are sending from the account you use for job applications, since Gmail may switch to another signed-in account. Check the file name before attaching; rename "resume (3).pdf" to something like "Hamza-Qureshi-CV.pdf" first. After sending, open the message in your Sent folder and click the attachment once more. If it opens and shows your latest version, the employer has received the same file.
Outlook sent my resume as a OneDrive link instead of an attachment. How do I stop that?
Choose "Attach as copy" instead of "Share link" when attaching. Outlook sometimes offers to share files stored in OneDrive as links, which means the recruiter must click through and may need permission to open it.
How to fix:
- When attaching, pick the file from your computer ("Browse this PC") rather than from OneDrive or recent cloud files.
- If Outlook shows the file with a cloud icon, click the small arrow next to it and choose "Attach as copy".
Before sending, check the attachment shows a file size (for example, "85 KB"). A link usually does not show a size.
How can I be sure my resume was actually attached to the email I sent?
Open the email in your Sent folder and check the attachment there. What is in Sent is what the recipient received.
Check:
- A paperclip or attachment name appears with a file size.
- Clicking it opens your resume, not an old version or a blank file.
- The file name is the clear one you chose, such as "Ayesha-Siddiqui-CV.pdf".
For important applications, send a test to yourself first, or to a friend, and open the attachment on a phone too. If the sent copy has no attachment, send a short follow-up with the file attached straight away.
If I edit my resume after attaching it to a draft email, does the attachment update?
No. An email attachment is a copy of the file at the moment you attached it. Later edits to the original file, or a new download from your builder, do not change it.
So:
- Remove the old attachment from the draft.
- Attach the newly saved PDF.
- Open the new attachment to confirm the change is there.
This catches many people out with drafts saved days earlier. Make "re-attach the latest file" part of your routine before sending any saved draft.
When I reply to a recruiter, is my resume still attached?
No. Replies do not include the original attachments; only forwards do. If the recruiter asks you to "reply with your CV", you must attach it again.
Also check:
- That you attach the latest version, not the one from your earlier email.
- That the subject line and thread still make sense to them.
If you are forwarding an old email that contained your resume, the old attachment travels with it. Remove it if it is out of date, and attach the current file instead.
The recruiter says my attachment arrived as "winmail.dat". What happened?
Your email program, usually Outlook, sent the message in a special Microsoft format that some other email systems cannot read. The recipient sees a "winmail.dat" file instead of your PDF.
How to fix:
- Resend the email in HTML or plain text format instead of Rich Text. In Outlook, look under Format Text and choose HTML.
- Or send from a webmail account, such as Gmail or Outlook on the web.
Then reply politely: "Apologies, my attachment did not come through correctly. Please find my CV attached again as a PDF."
Should I share my resume as a cloud link or as an attachment?
Attach it, unless the file is very large or the employer asks for a link. Attachments open with one click, work offline and show the employer exactly what you sent.
Links are useful for:
- Large portfolios or work samples.
- Employers who say "share a link" in their instructions.
If you do share a link, set it so anyone with the link can view (not edit), test it in a private browser window, and check it does not reveal other files in your folder. Remember the employer will see any later changes you make to a linked file.
The recruiter says they need to "request access" to my resume link. How do I fix it?
Change the sharing setting so anyone with the link can view it, or simply attach the file instead.
In Google Drive or OneDrive:
- Right-click the file and choose Share.
- Change "Restricted" or "Specific people" to "Anyone with the link".
- Set permission to "Viewer", not "Editor".
- Copy the new link and test it in a private window.
Then reply with the file attached as well, so they do not have to deal with access again. Approving their access request also works, but an attachment is quicker for everyone.
Gmail turned my attachment into a Google Drive link. Why?
Gmail does this when attachments are larger than its email attachment limit. A resume PDF should never be that large, so the file is probably heavy because of images, scans or other documents.
What to do:
- Check your resume's file size. A text-based PDF is usually small.
- Remove large items (photos, portfolios, scanned certificates) from the email.
- Recreate your resume PDF from its source if the file itself is large.
Send big portfolios separately, by link with correct sharing, and keep your resume as a normal attachment.
Can I send an email with only my resume attached and no message?
Avoid it. An empty email looks rushed and may be filtered as spam. A few lines are enough to say which job you are applying for and what is attached.
Example:
"Dear Ms Rahman,
I would like to apply for the Customer Service Supervisor position (REF CS-12). My CV is attached as a PDF.
Kind regards,
Daniel Mensah
+971 50 123 4567"
If the employer asked for a cover letter, attach it too or write it in the email body, as instructed.
My email signature image shows up as an extra attachment like "image001.png". Is that a problem?
It is not serious, but it adds clutter and can make the recruiter wonder which file is your resume. Some email systems show signature logos and icons as separate attachments.
Fix:
- Use a plain text signature for job applications: name, phone with country code, and perhaps a LinkedIn link written as text.
- Remove social media icons and images.
Then your email has only the attachments that matter, such as your CV and cover letter.
How do I paste my resume into the body of an email neatly?
Paste it as plain text and rebuild simple formatting by hand. Copying straight from a PDF or Word file often brings broken line breaks, odd spacing and strange symbols.
Steps:
- Copy your resume text into a plain text editor (Notepad, TextEdit in plain text mode) to strip formatting.
- Fix line breaks so each bullet and heading is on its own line.
- Use capital letters for headings and a dash for bullets.
- Paste into the email, then send yourself a test and read it on a phone.
Only do this when the employer asks for the resume in the body or says "no attachments".
The recruiter says my attachment won't open. What should I send back?
Reply quickly with a fresh copy, and offer an alternative format. Before resending, check your file opens on your own device.
Steps:
- Open the PDF on your computer and phone. If it fails, download or export it again.
- Rename it simply: "Jamal-Yusuf-CV.pdf".
- Reply attaching the new file, and mention you can also send Word.
Example: "Thank you for letting me know. I have attached my CV again as a PDF. If it is easier, I can also send a Word version."
Check your Sent folder afterwards to confirm the attachment shows a file size.
How do I make sure I'm attaching the latest version of my resume?
Keep one clear "current" file and check the content before attaching, not just the name.
Habits that help:
- Save the current PDF in a dedicated folder, not just Downloads.
- Delete or archive older copies with similar names.
- Sort files by "Date modified" so the newest appears first.
- After attaching, open the attachment and check a detail you recently changed, such as your latest job's end date.
A quick look at the attachment itself is the only sure way to know you have the right one.
Apple Mail shows my PDF inside the email body. Will the recruiter see it the same way?
Not necessarily. Apple Mail often displays one-page PDFs as a picture inside the message, but it is still sent as a normal attachment. The recipient's email program decides how to show it, usually as a downloadable file.
If you want it to appear as an icon for yourself, right-click the preview and choose "View as Icon". This only changes your view; the file sent is the same. To be sure, send a test to another email account and open it there.
How do I email my resume from my iPhone's Mail app?
Start a new message, then use the attachment option in the format bar.
Steps:
- Open Mail and tap the new message icon.
- Tap in the message body, then tap the arrow or "Aa" above the keyboard and choose the document icon.
- Find your PDF in "On My iPhone", iCloud Drive or Downloads, and tap it.
- Check the file name appears in the message.
Alternatively, open the PDF in the Files app, tap the Share icon and choose Mail; the file is attached automatically. Before sending, tap the attachment to confirm it is the right version.
How do I attach my resume in the Gmail app on Android?
Tap the paperclip at the top of the message and choose "Attach file".
Steps:
- Open Gmail and tap Compose.
- Tap the paperclip icon, then "Attach file".
- Go to Downloads (or the folder where you saved the PDF) and tap your resume.
- Check the attachment card shows your file name.
You can also open the PDF in Files, tap Share and pick Gmail. Make sure you select the PDF itself, not a screenshot from your gallery, and preview the attachment before sending.
Should I use Gmail's "confidential mode" when emailing my resume?
No. Confidential mode makes the recipient open your email through a link, may require a passcode, and can stop them downloading, forwarding or printing it. That gets in the way of normal hiring, where your resume is shared with colleagues.
Send a normal email with a normal PDF attachment. To protect privacy, leave very sensitive details, such as ID or passport numbers, off your resume entirely, and send them only when a verified employer asks at the offer stage.
In what order should I attach my CV, cover letter and other documents?
Attach the CV first, then the cover letter, then any other documents the employer asked for. Many email programs list attachments in the order you add them, and this order matches what the recruiter wants first.
Also:
- Use matching file names: "Ravi-Patel-CV.pdf", "Ravi-Patel-Cover-Letter.pdf".
- List the attachments in your message: "Attached: CV and cover letter."
- Send only what was requested; extra certificates can wait until asked.
My sent email shows the attachment as 0 KB. What should I do?
The file did not attach properly, so send it again. A 0 KB attachment is empty; the recruiter cannot open it.
Common causes:
- The file was still downloading or saving when you attached it.
- It was a cloud file that had not synced to your device.
- An app crashed during attaching.
Fix: open the original file on your device to make sure it works, attach it again, and check the size in your Sent folder. Send a short note: "My earlier attachment appears to have failed. Please find my CV attached."
Can I schedule an email with my resume to send at a better time?
Yes. Gmail, Outlook and many other email services have a "Schedule send" option. The attachment is sent exactly as it was when you scheduled the email.
Before scheduling:
- Open the attachment to confirm it is the final version.
- Check the time zone if you are applying to another country.
- Do not edit the resume afterwards expecting the scheduled email to update; it will not.
Scheduling for the start of the employer's working day is a reasonable choice, but a good application sent at any reasonable time is fine.
The email says "attachment blocked" or bounced because of the file. Why?
The receiving system's security filters probably rejected the file type or something inside it. This happens most with zip files, macro-enabled documents, unusual formats or files with double extensions.
Fix:
- Send a plain PDF or .docx only.
- Rename the file simply, with a single extension.
- Do not zip or password-protect it.
If a normal PDF is still rejected, the address may not accept attachments. Look for a portal or alternative address in the advert, or contact the employer by phone to ask how to apply.
Can I email my resume from the PDF viewer instead of opening my email?
Yes. Most PDF viewers and file apps have a Share or Send option that creates a new email with the file already attached.
Examples:
- On iPhone: open the PDF in Files, tap Share, choose Mail or Gmail.
- On Android: open the PDF, tap Share, choose your email app.
- On a computer: some PDF readers have "Share" or "Email" in their menu.
Check which email account the message is sent from, as the share option may use a default account that is not your job search address.
Should I use document-tracking services to see when an employer opens my resume?
Generally avoid them. Tracking links and view-tracking services require the employer to open your resume through a link that records their activity, and some organisations block them or find them intrusive.
Simple attachments are expected and trusted. If you want to know your application arrived, look for an automatic acknowledgement or send a polite follow-up after a reasonable time instead.
How do I send my resume through LinkedIn messages?
In a LinkedIn message, use the attachment (paperclip) icon to add your PDF, if attachments are available in that conversation. Some message types, such as certain connection requests, do not allow attachments.
Tips:
- Write a short note explaining why you are sending it.
- Use a clear file name.
- If attachments are not available, ask for an email address instead of pasting your whole resume into the chat.
Keep your LinkedIn profile consistent with the attached resume; recruiters often compare the two.
