Uploading to job portals – Page 2

The upload accepted my Word file but changed the fonts in the preview. Is that a problem?

Not usually. Portals often show previews with their own default fonts because your fonts are not installed on their system. The text and order are what matter.

If you want more control over appearance, upload a PDF where the portal allows it, since a PDF carries its own fonts. If you must use Word, choose common fonts such as Arial, Calibri or Georgia, so substitutions change little.

Resume File Format: PDF or Word?

How do I upload my ResumeBuilder.ae PDF to a job portal?

Download the PDF from the builder, save it with a clear name, then choose it in the portal's upload field.

Steps:

  • Download your PDF and find it in your Downloads folder or Files app.
  • Rename it, for example "Neha-Joshi-CV.pdf".
  • On the portal, click upload and select that file.
  • Check any preview and correct auto-filled fields.

The PDF is text-based with standard headings, which suits portals that read your resume. For portals that accept Word only, there is no Word export, so you would need to copy your text into a word processor and save it as .docx yourself.

The portal wants my resume in a specific template or form. Can I still upload my own?

Follow what the portal requires. Some employers, especially government and large organisations, ask you to fill in their form instead of, or as well as, uploading your resume.

How to handle it:

  • Complete the required form fully, even if it repeats your resume.
  • Upload your own resume only if there is a field for it.
  • Copy text from your resume into the form, then check line breaks and spelling.

Treat the form as seriously as your resume; it is often what the screening team reads first.

My upload worked on a laptop but fails on my phone. Why?

Phones add extra steps that can go wrong. Common causes:

  • The file is in a cloud app that the phone's file picker cannot reach.
  • You are using a browser inside another app (such as a social media or messaging app).
  • The phone saves downloads in a folder you are not looking in.
  • Storage permissions for the browser are switched off.

Fixes: open the portal in your main browser, save the PDF into the Files or Downloads folder, and allow the browser to access files when asked. If it still fails, finish the application on a computer.

Open the resume builder

The portal says "an error occurred" with no details. What should I do?

Treat it as a general technical error and try the simple fixes first:

  • Refresh the page and try again a few minutes later.
  • Log out and back in.
  • Clear the site's cookies or use a private window.
  • Try another browser or device.
  • Rename the file simply and confirm it is an accepted type and size.

Keep a screenshot. If the error persists, use the portal's help link or email the recruitment team, attaching your resume and explaining which step failed.

Should I upload certificates in the resume field to show my qualifications?

No. Upload only your resume in the resume field. Put certificates in a separate "additional documents" field if the portal has one, or bring them later when the employer asks.

Why:

  • A resume field may only accept one file, and a certificate there replaces your resume.
  • Software reads the resume field to build your profile; certificate scans confuse it.

List your qualifications clearly in the resume itself, with names, issuing bodies and dates, so the recruiter sees them without opening extra files.

Does uploading my resume again overwrite my previous applications?

It depends on the portal. On many systems, each submitted application keeps the file attached at the time, and a new upload only changes your profile or future applications. On others, the profile resume is linked to everything.

To find out, check the portal's help or FAQ, or open a submitted application to see which file it shows. If you need a particular employer to see your new version, contact them directly instead of relying on a profile update.

The portal stripped the accents from my name. Should I worry?

Not much, but check your name is still recognisable. Some systems cannot handle accented or special characters, so "José" may become "Jos?" or "Jose".

What to do:

  • In the form's name fields, type your name the way the system accepts, for example "Jose".
  • Keep the correct spelling in your resume file.
  • If the portal turned your name into strange symbols, correct the form by hand.

The recruiter will see your proper name in the resume itself when they open it.

I can't find my downloaded resume when the portal's file window opens. Where is it?

It is usually in your Downloads folder. In the file window:

  • Windows: choose "Downloads" in the left panel, or "This PC", then "Downloads".
  • Mac: choose "Downloads" in the Finder sidebar.
  • iPhone: tap "Browse", then "Downloads" inside "On My iPhone" or iCloud Drive.
  • Android: choose "Downloads" or "Files".

Sort by date to see the newest file at the top. If you saved it somewhere else, search by part of the name, such as "CV". Next time, save your resume into a dedicated folder like "Job Applications".

The portal accepted a two-column resume, but the parsed fields are a mess. What now?

Fix the fields by hand for this application, and consider a single-column version for future portals. Two-column layouts are more complex for software, which may read across both columns line by line and mix the content.

Practical steps:

  • Correct each job, date and skill in the form.
  • Keep your two-column design for printed copies or direct emails, where people read it.
  • Upload a single-column version to portals.

In ResumeBuilder.ae, single-column templates such as ATS Classic or ATS Professional are the safest default for applicant tracking systems, so you can keep a single-column version for portals alongside your two-column design.

Do I need to fill in the portal's skills field if my resume already lists skills?

Yes, fill it in. Recruiters often search and filter candidates using the portal's own fields, and an empty skills field may mean you do not show up.

Tips:

  • Use the same skill names as in your resume and the job advert, where they truly apply.
  • Choose from the portal's suggestions if it offers a list, as these may match how recruiters search.
  • Do not add skills you cannot discuss in an interview.

It takes a few minutes and makes your profile consistent with your resume.

The upload worked but now the portal shows "processing" for a long time. Should I wait?

Wait a few minutes, then refresh. Some portals take time to read your file and fill in the form. If it stays on "processing" for a long time:

  • Refresh the page or log out and in.
  • Check whether your profile now shows the file.
  • Try uploading again with a simpler file name.

If the portal never finishes, complete the application manually if it allows that, or contact the employer with your resume attached. Note the time in case you need to explain a missed deadline.

Should I upload my resume on job boards in the UAE and Gulf if I'm abroad?

Yes, if you are seriously looking, but make the file clear about your situation. Recruiters in the region often want to know your location, availability and visa status.

In the file you upload:

  • Include your current city and country, and whether you can relocate.
  • Add your phone with country code and a reachable email.
  • Consider adding your notice period, and visa status if relevant.

Name the file clearly and keep it a text-based PDF. Update your uploaded resume whenever your availability or location changes.

UAE and GCC Resume Format Guide

The portal asks if I want my resume "searchable" by recruiters. Should I agree?

It depends on your situation. A searchable resume lets recruiters find you even if you have not applied, which can bring more opportunities. But it also means more people see your details.

Consider:

  • If you are openly job hunting, it can be useful.
  • If you are employed and want privacy, check whether the portal lets you hide your profile from your current employer or show it anonymously.
  • Remove details you would not want widely visible, such as your full home address.

You can usually change this setting later.

The portal's character limit cut off my pasted summary. What should I do?

Shorten the text to fit; the field will not accept more. Count how many characters the limit allows and edit your summary down.

How to shorten:

  • Remove filler words and repeated adjectives.
  • Keep the role, years of experience and two or three key strengths.
  • Move detail into the uploaded resume, where you have more space.

Example: "Mechanical engineer with 6 years in HVAC design and site supervision. Skilled in AutoCAD, Revit and commissioning. Seeking a project engineering role in Abu Dhabi."

Is it safe to upload my resume to job portals I've never heard of?

Be careful. Upload only to employer careers pages and well-known job boards you can verify. Your resume contains personal details that scammers can misuse.

Warning signs:

  • The site asks for payment to apply.
  • It requests passport, bank or ID numbers at the start.
  • The address looks slightly wrong or there is no clear company information.

When unsure, go to the employer's official website and find the careers page from there, rather than following a link from a message.

The portal accepted my file but my name shows as my email address. Why?

The software probably could not find your name at the top of your file and used another detail instead. This can happen when your name is in a header, a text box, an image or an unusual font.

Fix it now by editing your profile name. For future uploads:

  • Put your name as plain text on the first line of the resume body.
  • Avoid placing contact details only in the page header or footer.
  • Do not use images or decorative fonts for your name.

Check the parsed result after your next upload.

Can I upload a resume with Arabic text to an English job portal?

Yes, if the employer accepts Arabic, but check whether the portal reads it well. Some systems handle right-to-left text poorly in their parsing, even if the file itself is fine.

Safer approach:

  • Upload an English resume when the portal and advert are in English.
  • Add an Arabic version in an additional documents field if the employer values it.
  • Check the parsed preview carefully for reversed or jumbled text.

ResumeBuilder.ae can produce Arabic resumes laid out right to left, so you can keep separate English and Arabic versions for different portals.

The portal says my file "contains macros" or is unsafe. What should I do?

Save the resume as a normal file with no macros or embedded content. This message usually appears with .docm files, or with documents that contain embedded objects or scripts.

How to fix:

  • In Word, choose File, Save As, and pick "Word Document (.docx)" rather than macro-enabled.
  • Or export a fresh PDF from your source.
  • Avoid templates downloaded from unknown sites, which sometimes include hidden extras.

Then upload the clean file. If the error continues, try the other accepted format.

How often should I refresh the resume on my job board profile?

Whenever something important changes, such as a new job, qualification, location or availability, and review it at least every few months while you are searching.

Also check:

  • That old resumes you no longer use are deleted.
  • That your profile summary and headline match the new file.
  • That contact details are still correct.

Some job boards show recently updated profiles more prominently, but this varies and is not guaranteed; keep your file current because it is accurate, not just to be noticed.

The portal wants my resume and cover letter in one file. How do I combine them?

Merge them into one PDF, with the cover letter first unless the instructions say otherwise.

Ways to combine:

  • In a word processor: paste the cover letter as page one and the resume after it, then save as PDF.
  • On Mac: open the first PDF in Preview, show thumbnails and drag the second PDF into the sidebar, then save.
  • With PDF software that offers "Combine" or "Merge".

Check that both page sizes match, the text is still selectable and the file name is clear, such as "Arjun-Nair-Cover-Letter-and-CV.pdf". Avoid uploading to unknown merging websites if you can do it on your own device.

Cover Letter Guide

After uploading, the portal asks for my "years of experience". How should I count?

Count the years of relevant, paid work unless the form says otherwise, and be consistent with your resume dates. Do not round up generously; recruiters compare this with your work history.

Tips:

  • If you had overlapping jobs, count the time span once.
  • If the field asks for total experience, include all professional work.
  • If it asks for experience in a specific skill, count only the time you actually used it.

If the field forces whole numbers, round to the nearest year honestly, and explain detail in your resume.

What's the safest way to prepare my resume file before any portal upload?

Run a short pre-upload check every time. It takes two minutes and prevents most problems.

Checklist:

  • Format: PDF or Word, as the portal accepts.
  • Text: open the file and select a line to confirm it is real text, not an image.
  • Name: "Firstname-Lastname-CV.pdf", without symbols.
  • Size: small, ideally well under the stated limit.
  • Protection: no password or editing restrictions.
  • Content: latest version, correct phone with country code, no leftover template text.

After uploading, review the parsed fields and correct anything wrong. Keep a copy of the exact file you submitted with the job advert, so you can prepare for the interview later.

In ResumeBuilder.ae, the checklist before payment flags missing contact details, leftover sample text and bracket prompts, which helps with the content part of this list.

Will the portal tell me if the employer opened my resume?

Some portals show statuses such as "received", "under review" or "viewed", but many do not, and status labels are not always updated promptly. Treat them as rough signals, not exact information.

If there is no update:

  • Wait until a reasonable time after the closing date.
  • Follow up politely by email if a contact was given.
  • Keep applying elsewhere rather than waiting on one status.

A status change does not always reflect a decision; some systems update automatically.

The portal's file picker shows my PDF greyed out. Why can't I select it?

The portal is probably filtering files by accepted type, and it does not recognise your file as allowed. That can happen if the file has the wrong extension, is a shortcut, is stored only in the cloud and not downloaded, or the portal accepts only Word.

Try:

  • Checking the accepted formats near the upload button.
  • Making sure the file name ends in ".pdf" or ".docx".
  • Downloading cloud files to your device first.
  • Switching the file picker's filter from "Custom files" to "All files" to see if it is a filter issue.
