Quantifying achievements – Page 3

How precise should the numbers on my resume be?

Round them to a level that is easy to read and honest. Exact figures are fine when you have them from records; rounded figures with "about" are fine when you are estimating.

Guidelines:

  • Small numbers: use the exact figure ("a team of 7").
  • Larger numbers from records: rounding is usually clearer ("around 1,200 customers" rather than "1,187 customers").
  • Estimates: round to a natural level ("about 40 calls a day", not "43").

Over-precise numbers can look made up if you cannot explain them. Very rough numbers, such as "thousands of customers", can look vague. Aim for the middle: specific but honest.

Should I round my numbers up or down?

Round down, or to the nearest natural figure, when in doubt. Rounding up makes claims bigger than the facts, and it is the kind of small exaggeration that can come out in an interview.

Examples:

  • You handled 46 to 52 orders a day: write "about 50" or "around 45 to 50", not "60".
  • Your team grew from 8 to 11: write "grew the team from 8 to 11", not "more than doubled".
  • You managed 380 accounts: write "nearly 400" or "around 380", not "over 400".

A conservative figure that you can defend is always better than a generous one you need to explain away.

When is it correct to write "more than" or "over" before a number?

Use "more than" or "over" only when the true figure is definitely higher than the number you give. It is a safe way to state a minimum when you do not know the exact total.

Correct uses:

  • You know you trained at least 50 people, possibly more: "Trained more than 50 new staff."
  • You remember at least 200 projects: "Completed over 200 small repair jobs."

Incorrect uses:

  • The real figure is 48, and you write "over 50".
  • You use "over" to make a number sound bigger when you are unsure it was reached.

"More than" is a promise that the minimum is true. If you are unsure, use "about" instead.

How many numbers is too many on a resume?

There is no exact limit, but aim for numbers where they add meaning, not in every bullet. Too many figures make a resume hard to read and can look forced.

A balanced approach:

  • One to three numbers per recent role.
  • No more than two numbers in a single bullet.
  • Some bullets with no numbers at all, describing important responsibilities clearly.

Too crowded: "Led 12 staff in 3 shifts across 2 sites to process 400 orders a day for 60 clients, cutting errors by about half in 6 months."
Clearer: "Led 12 staff across 2 sites processing around 400 orders a day." Then: "Cut picking errors by about half within 6 months by introducing barcode checks."

My numbers seem small. Should I still include them?

Usually yes, if they show something relevant. Small numbers with context are still informative and are more believable than vague claims.

Add context to make small numbers meaningful:

  • "Managed a team of 3" in a 10-person company shows a significant share of responsibility.
  • "Opened 5 new accounts in a market where the company had none" shows breakthrough work.
  • "Reduced returns from about 10 a week to 3" shows a clear improvement.

Leave out a number only if it would make a strong point look weaker, for example if "trained 2 people" sounds less impressive than "trained all new joiners in the branch". Choose the wording that is both true and most informative.

I worked for a small company. How do I make my numbers look meaningful?

Give context that shows the size of your contribution relative to the business, such as your share of the work or the range of your responsibilities.

Examples:

  • "Sole accountant for a 25-person trading company, handling all bookkeeping, VAT and payroll."
  • "Handled most of the company's customer enquiries as one of 2 customer service staff."
  • "Built the company's first website and online ordering system."

In small businesses, breadth is often more impressive than volume. Show how many different areas you covered and the trust placed in you.

My employer's numbers are confidential. What can I share?

Share scale and proportions rather than exact sensitive figures, and follow any confidentiality agreement you signed. If unsure, ask your former employer or leave the detail out.

Safer ways to quantify:

  • Proportions: "grew by about a third", "roughly halved".
  • Size bands: "a seven-figure budget", "a portfolio of mid-size clients".
  • Non-sensitive counts: team size, number of branches, number of projects.
  • Rankings or targets: "exceeded target in all four quarters".

Example: instead of revealing a client's sales, write "Helped a regional retail client grow online sales significantly within a year, measured by their own reports."

Being careful with confidential data also shows future employers that you can be trusted with theirs.

How do I quantify a result that came from my whole team?

Give the team result with your role clearly stated, or quantify your personal contribution within it.

Options:

  • Team result plus your role: "As one of 4 analysts, helped deliver a forecasting model that improved stock planning across 30 stores."
  • Your share: "Handled 2 of the 6 regions in a team project that cut overdue invoices."
  • Your leadership: "Led a team of 8 that reduced customer waiting times at the service desk."

Avoid writing a team-wide result as if it were yours alone. Interviewers often ask "What was your part?", and an honest answer must match your resume.

Will interviewers ask about the numbers on my resume?

Often, yes. Interviewers commonly ask how you achieved a result, how you measured it or what your part was. Prepare a short explanation for every number you include.

For each figure, be ready to explain:

  • Where it came from: a report, a system, your own count or an estimate.
  • The time period it covers.
  • What you did to achieve it.
  • Who else was involved.

Example answer: "The 'around 40 calls a day' figure comes from my typical shift. Our phone system showed 35 to 45 depending on the day."

If you cannot explain a number comfortably, change it to something you can explain, or remove it.

It also helps to keep a short private note of how you worked out each figure, such as "average of 3 to 4 tenders a month over 2 years". You will not need to show it to anyone, but it keeps your answers consistent across several interviews.

What if I realise one of my estimates was wrong after sending my resume?

Correct it in your resume for future applications, and if it comes up in an interview, explain the accurate figure calmly. An honest correction is far better than defending a wrong number.

What to say: "I put about 300 accounts on my resume, but having checked, it was closer to 250."

If the error was large or important to the application, you can also contact the recruiter with an updated resume. Small, honest corrections rarely cause problems; being caught defending an inaccurate figure does.

How can I quantify soft skills like communication or teamwork?

Count the activities that use those skills: presentations given, people trained, teams worked with, audiences reached or conflicts resolved.

Examples:

  • Communication: "Presented monthly results to a leadership team of 8."
  • Teamwork: "Worked with 4 departments to launch a new customer portal."
  • Training: "Delivered 20 workshops to around 300 staff."
  • Conflict resolution: "Resolved about 10 escalated complaints a week."
  • Languages: "Supported customers in 3 languages."

Numbers turn general claims about soft skills into evidence a reader can trust.

How can I quantify leadership if I am not a manager?

Count the people you trained, mentored, supervised on shifts or coordinated on projects, and any results they achieved.

Examples:

  • "Trained 12 new joiners on the booking system."
  • "Mentored 2 junior colleagues who were later promoted."
  • "Coordinated a project group of 6 from 3 departments."
  • "Led the night shift of 5 staff when the supervisor was off."

These numbers show leadership in a factual way, which is especially useful when applying for your first supervisory role.

How do I quantify problem-solving?

Show the size of the problem, what you did and the change afterwards, even in approximate terms.

Examples:

  • "Traced recurring delivery delays to a scheduling error, cutting late deliveries from about 15 a week to 3."
  • "Fixed a reporting error that had overstated stock by several hundred units."
  • "Resolved a long-running printer network issue affecting 80 staff."
  • "Identified duplicate supplier records, preventing repeat payments."

The number makes the problem real and shows that your solution worked.

How do I quantify the volume of my work?

Count the main unit of your work over a typical period: calls, tickets, invoices, patients, orders, reports, students or inspections.

Examples:

  • "Processed around 600 expense claims a month."
  • "Inspected 8 to 10 villas a day before handover."
  • "Reviewed about 30 loan applications a week."
  • "Answered around 70 emails a day in a shared customer inbox."

Volume shows capacity and experience. Pair it with quality or speed where you can: "Processed around 600 claims a month with very few returned for correction."

How do I quantify meeting deadlines?

Show how many deadlines or deliverables you met, over what period, and any that were early or under pressure.

Examples:

  • "Submitted all 12 monthly VAT returns on time."
  • "Delivered 15 client reports a quarter, all before the agreed deadline."
  • "Completed the warehouse move in one weekend with no missed customer orders."
  • "Handed over 3 projects ahead of schedule."

"Always met deadlines" sounds like a claim. A count over a time period sounds like evidence.

Why should I add a time frame to my numbers?

Because a number without a time frame is hard to judge. "Opened 20 new accounts" could be in one month or ten years. Adding the period gives the reader context.

Examples:

  • "Opened 20 new accounts in the first 6 months."
  • "Grew social media followers from 2,000 to 10,000 over 2 years."
  • "Reduced backlog from 300 to 50 tickets in 8 weeks."

Use the period that is accurate, not the one that sounds best. If the result built up over the whole job, the job dates may provide enough context.

How do I show results against a target?

State the target and how you performed against it, over a clear period. This is common in sales, customer service and operations.

Examples:

  • "Exceeded monthly sales targets in 10 of 12 months."
  • "Met the call quality target every month for a year."
  • "Delivered all 4 quarterly projects within the target budget."
  • "Hit the team's productivity target while training 2 new staff."

If you missed targets sometimes, you do not need to say so, but do not claim "always" if it was not true. "In 10 of 12 months" is honest and still strong.

Can I quantify problems I prevented, like risks or losses avoided?

Yes, but be careful, because prevented losses are harder to prove. Describe what you caught or stopped, and avoid guessing large imaginary savings.

Safer examples:

  • "Identified 12 duplicate supplier invoices before payment."
  • "Spotted a structural drawing error before concrete was poured."
  • "Flagged a supplier licence that had expired, preventing a non-compliant delivery."

Riskier example: "Saved the company millions by preventing fraud." Unless an official report says this, describe the facts instead: "Detected and reported a supplier fraud attempt, which was confirmed by internal audit."

How do I quantify a safety record?

Use incident-free periods, inspections, training sessions and the number of people or sites covered.

Examples:

  • "Zero lost-time injuries across 18 months on a site of 200 workers."
  • "Conducted around 20 site safety inspections a week."
  • "Delivered toolbox talks to 150 workers each month."
  • "Reduced near-miss incidents after introducing daily safety briefings."

Safety records depend on many people, so describe your role: "as site safety officer" or "as shift supervisor".

How do I show the size of a project?

Use physical size, value band, number of users, duration, team size or locations.

Examples:

  • Construction: "a 30-storey tower with 350 apartments".
  • IT: "a CRM roll-out for 600 users in 4 countries".
  • Events: "a 3-day conference for 1,200 delegates".
  • Marketing: "a campaign across 5 GCC markets".
  • Research: "a survey of 500 households".

Choose the measure that the reader in your field would understand best. If the project value is confidential, describe it with a size band or leave it out.

How should I write large numbers on my resume?

Use the format that is easiest to read and consistent across your resume. Commas for thousands and short forms for millions work well.

Common formats:

  • Thousands: "1,500 customers" or "15,000 followers".
  • Millions: "2 million users" or "2.5 million transactions a month".
  • Short forms such as "15k" are fine in tech and marketing but less formal; use them consistently if at all.

Tips:

  • Do not mix formats, such as "15,000" in one bullet and "15k" in another.
  • Round large numbers to keep them readable: "about 2.3 million" rather than "2,312,457".

I was only in a role for a few months. Can I still quantify my work?

Yes. Use numbers from the period you were there, and give the time frame so the reader can see what you achieved in a short time.

Examples:

  • "In 4 months, onboarded 30 new clients onto the billing platform."
  • "Cleared a backlog of about 150 unpaid invoices within my first 6 weeks."
  • "Trained 10 store staff on the new POS system during a 3-month contract."

Short time frames can actually make achievements look stronger, because they show speed and impact.

How do I quantify work where results take years to show, like research or teaching?

Quantify your activity and outputs instead of long-term outcomes: projects, publications, students taught, programmes designed, grants supported or data collected.

Examples:

  • "Ran 3 field studies with around 400 participants."
  • "Co-authored 4 peer-reviewed papers."
  • "Designed a new Year 9 science curriculum taught to 6 classes."
  • "Supported a research grant application that was successfully funded."

If interim results exist, such as better test results or early findings, mention them honestly and note the period.

Open the resume builder

How do I quantify reach or audience size?

Use followers, subscribers, attendees, views, readers or listeners, with the platform and time period.

Examples:

  • "Grew the company LinkedIn page to around 12,000 followers."
  • "Wrote a monthly newsletter sent to 8,000 subscribers."
  • "Hosted webinars with an average of 150 live attendees."
  • "Produced videos with more than 500,000 total views on YouTube."

Reach is useful, but results such as leads, enquiries or sales tell an even stronger story if you know them.

When is it honest to use "up to" with a number?

Use "up to" when the number was the real maximum you handled, and it happened regularly enough to matter. Do not use it to present a one-off peak as typical.

Honest uses:

  • "Supervised up to 15 staff during peak season." (this happened every summer)
  • "Served up to 400 guests at banquet events." (regular event size)

Misleading uses:

  • "Handled up to 200 calls a day" when that happened once during a system outage.

If you use "up to", consider adding the typical figure too: "Served 150 to 200 guests at a typical banquet, and up to 400 at larger events."
