ATS Resumes and Formatting

File formats for ATS (PDF, Word, text) – Page 3

Does changing the file extension convert my resume to a different format?

No. Renaming "resume.pages" to "resume.pdf", or "resume.docx" to "resume.pdf", does not change the content; it only changes the label. The file will either fail to open or be rejected by the portal.

To change format, open the file in its original program and use Save As, Export or Download to create a genuine file of the new type. Then open the new file to check it works and, for a PDF, run the copy-and-paste test.

How should I manage my editable resume file and the PDFs I send?

Keep one editable master file and create a fresh PDF from it whenever you apply. This avoids editing PDFs directly, which can damage text and fonts, and keeps all versions consistent.

A simple routine:

  • Keep the master in a word processor or resume builder, with all your experience.
  • Save tailored versions as copies, not by overwriting the master.
  • Export a new PDF for each application and run a quick copy-and-paste check.
  • Store sent PDFs in a folder by date and employer, so you know exactly what each employer received.

Can I edit my resume PDF directly in a PDF editor?

You can for small fixes, but it is risky. PDF editors often replace fonts, break lines into separate pieces, or add text that does not flow with the rest of the line. The page may look right while the copied text comes out jumbled or with the wrong characters.

Better approach:

  • Make changes in the original document or resume builder and export a new PDF.
  • If you only have the PDF, copy its text into a new document and rebuild it.
  • If you must edit the PDF, run the copy-and-paste test afterwards and search for the edited words.

How do I make a Word resume that applicant tracking systems can read easily?

Build it simply, with Word's own structure tools rather than visual tricks. A checklist:

  • Start from a blank document or a simple single-column template without text boxes or tables.
  • Type your name and contact details in the main body at the top, not in the page header.
  • Use built-in heading styles for section names such as "Work Experience" and "Education".
  • Use Word's bullet list feature for achievements.
  • Set a right-aligned tab stop for dates instead of pressing the space bar.
  • Choose a common font such as Calibri, Arial or Cambria.
  • Keep images, icons and charts out, or make sure nothing important is inside them.
  • Remove comments, tracked changes and hidden text with Inspect Document.
  • Save as .docx.

Then test it: save a copy as plain text and read it, and export a PDF to run the copy-and-paste test. If both show complete text in a sensible order, you have a Word resume that should handle most systems well, and you can also export it to PDF when an employer prefers that.

Is a resume PDF made with LaTeX ATS-friendly?

Usually, if the template is simple. LaTeX produces text-based PDFs, so the basic requirement is met. Issues can arise from the template rather than LaTeX itself: two-column designs, dates in a left margin column, icon fonts for contact details, and ligatures (such as "fi" joined into one character) that may not copy correctly.

To check yours:

  • Run the copy-and-paste test and look for missing letters in words like "office" or "certified".
  • Search the PDF for your key skills with Ctrl+F.
  • If problems appear, choose a single-column template and disable ligatures or icon fonts.

If an employer asks for Word, you will need to rebuild the content in a word processor.

The portal lets me upload from Google Drive or Dropbox. Is that the same as uploading a file?

Usually yes: the portal copies the file from your cloud storage and attaches it to your application. The employer receives a copy of the file, not a link to it.

Points to check:

  • Choose a PDF or .docx file stored in the cloud, not a native Google Docs document, which may be converted automatically and change its formatting.
  • Make sure it is the latest version, not an old file with a similar name.
  • After uploading, check the file name and preview if the portal shows one.

Is a PDF downloaded from Google Docs text-based?

Yes. Using File, then Download, then PDF in Google Docs creates a text-based PDF where you can select and copy the words. Problems come mainly from the layout: tables used as columns, text inside drawings and unusual fonts.

Before using it:

  • Open the PDF and run the copy-and-paste test.
  • Check that text in any drawing or table appears in the right place.
  • Confirm links work if you added any.

For Word-only applications, use File, then Download, then Microsoft Word, and check the result in Word.

Could an employer's security system block my resume file?

It can happen, though rarely with a standard resume. Company email and upload systems may block or quarantine files with macros, embedded scripts, attached files, unusual formats, password protection or very large sizes.

To keep your file "boring" in a good way:

  • Use a plain PDF or .docx exported directly from your editor.
  • Avoid macro-enabled files, PDF portfolios and files with embedded attachments.
  • Remove passwords and restrictions.
  • Keep the file size small.

If an employer says they did not receive your file, ask whether it might have been filtered and offer to send it again or upload it through their portal.

My work laptop added a sensitivity label or protection to my resume file. Is that a problem?

Yes, it can be. Some company computers automatically apply labels or encryption to documents. A protected file may not open for anyone outside your organisation, and an ATS may not be able to read it at all.

What to do:

  • Create your resume on a personal device or in a personal account where possible.
  • If a label was applied, remove it if you are permitted, or recreate the file on a personal device.
  • Open the final file on another device or account to make sure it opens without asking for permission.

Also remember that job searching on an employer's equipment may be visible to them, so keeping it personal protects your privacy too.

My merged resume PDF has pages of different sizes. Does that matter?

It can look untidy and cause printing problems. If you combined pages from different sources, for example an A4 first page and a US Letter second page, viewers may show them at different widths, and some systems may handle the file oddly.

Fix it by exporting the whole resume from one source document with one page size, A4 for most countries and US Letter for the US and Canada. Avoid stitching pages together from different files. Check the page size in your PDF viewer's document properties.

Why does the recruiter see a "Protected View" warning on my Word resume?

Word shows Protected View for files downloaded from the internet or email attachments, as a standard safety feature. It is normal and does not mean anything is wrong with your file. The reader clicks "Enable Editing" if they want to change it.

You do not need to do anything. Just make sure your file is a standard .docx without macros, so it does not trigger stronger warnings. If you prefer the reader to see a fixed layout without prompts, send a PDF where the employer accepts it.

My resume PDF has crop marks or printer's marks around the edges. Is that a problem?

Yes, remove them. Crop marks, bleed areas and colour bars come from "print-ready" export settings meant for professional printers. They make the page look odd on screen, can change the page size, and may add stray marks or text that software reads.

Export again with standard settings: in most design tools, choose a normal PDF or "PDF Standard" preset, with no marks and no bleed, at A4 or US Letter size. Then open the file and check it looks like an ordinary document.

Word offers "Strict Open XML Document" when saving. Should I use it?

No. Choose the normal "Word Document (.docx)" option. The Strict format uses the same .docx extension but some programs and systems cannot open or read it properly, which could make your resume unreadable on a portal.

If you are not sure which you saved, use File, then Save As, and pick "Word Document (.docx)" explicitly, then upload that copy and open it once on another device to confirm it works.

Which file format should my CV be on job boards in India or the Gulf?

Use whatever formats the job board accepts, usually PDF or Word, and make sure the file is text-based. Many job boards parse your uploaded CV to fill your profile and let recruiters search it, so the same rules apply as for company portals.

Tips:

  • Keep the stored CV up to date; recruiters may download it months later.
  • Fill in the profile fields too, since recruiters often search those.
  • Use a simple, single-column layout so parsing works.
  • If recruiters on that board often ask for Word, keep a clean .docx ready.

My scanner app makes a "searchable PDF". Is that the same as a text-based resume?

Not quite. A searchable PDF from a scanner app is a picture of the page with an OCR text layer added. The OCR text may contain mistakes, such as "0" for "O" or merged words, and it may be in an odd order. The page looks fine, but software reads the error-prone hidden text.

For applications, use a PDF exported directly from a document or resume builder. If you only have a printed resume, retype it or use OCR to get the text, correct it carefully in a new document, and export a fresh PDF.

How should I back up my resume files?

Keep both an editable version and your latest PDFs in at least two places, such as your computer and a cloud drive or email to yourself. Losing the editable file means rebuilding from a PDF, which takes time and can introduce errors.

What to keep:

  • The editable master file (Word, Google Docs or your builder's saved data).
  • The most recent PDF for each type of role.
  • A plain text copy of your work history for quick form filling.

If you use ResumeBuilder.ae as a guest, your resumes are saved in that browser only. Use "Download all my resumes (JSON)" in the My resumes tab as a backup, or log in, because clearing site data or switching device loses access otherwise.

Should I embed fonts in my Word resume file?

Usually it is better to use a common font than to embed one. Word can embed fonts (File, Options, Save, "Embed fonts in the file"), which helps the document display correctly on other computers, but it increases file size, some fonts cannot be embedded, and not every program honours embedded fonts.

Using a widely installed font such as Arial, Calibri, Cambria or Georgia avoids the issue. If you really want a special font, send a PDF instead, where fonts are embedded automatically when exported correctly.

I saved my resume as a Word template (.dotx). Can I upload that?

No, save it as a normal document first. A .dotx file is a template used to create new documents; many portals will not accept it, and when someone opens it, Word creates a new untitled document rather than showing your file.

Open the template, choose File, then Save As, select "Word Document (.docx)", and give it a clear name. Then upload the .docx, or export a PDF from it.

How can I quickly check a PDF's page size, fonts and other properties?

Open the PDF and look at its document properties. In most viewers, use File, then Properties (or Document Properties). You will usually see:

  • Page size, which should be A4 or US Letter.
  • Fonts used, and whether they are embedded.
  • Title and author, which should show your name rather than a template or someone else.
  • Security settings, which should show no restrictions.
  • The program that created it.

A one-minute check here catches many problems that the copy-and-paste test does not show.

Resume File Format: PDF or Word?

Can I use the same resume file for printing and for uploading?

Yes. A text-based PDF at A4 or US Letter size works for both. You do not need special print settings such as bleed or high-resolution images for a resume, and those settings can make an upload file worse.

If you print, check that colours and any light text still read well in black and white. If you upload, check the file size and run the copy-and-paste test. One clean PDF usually serves both purposes.
