Career Changes and Employment Gaps

Military to civilian careers

Moving from the armed forces into a civilian job means presenting years of real experience in words that civilian recruiters understand. This topic covers translating ranks and duties into civilian titles, removing jargon and acronyms, describing unit size, deployments and sensitive work safely, and listing awards, military courses, resettlement training and education. It also explains how to mention a security clearance accurately without making claims about how it transfers, which personal details to leave off, and how to handle reserve service, long careers and interviews. It helps service leavers, reservists and veterans at every rank.

How do I translate my military rank into a civilian job title?

Describe the job you actually did in civilian terms, and keep your rank alongside it so the record stays accurate. Employers care more about your role and responsibilities than the rank itself.

A simple method:

  • Write down what you did day to day: people led, equipment managed, budgets, planning, training.
  • Find a civilian title that matches that work, using job ads or an occupation database.
  • Show both in your entry.

Examples:

  • "Sergeant (Team Leader, Vehicle Maintenance), Army, 2016 – 2024"
  • "Captain (Operations Manager, 120-person unit), Army, 2015 – 2023"
  • "Petty Officer (Electronics Technician), Navy, 2012 – 2020"

Do not claim a civilian title that suggests more than you did. "Operations Manager" fits if you planned and ran operations, budgets and people; it does not fit if you supported someone who did. The bullets underneath should prove the title you choose.

Should I keep my rank on my civilian resume?

Yes, usually include it, but do not let it replace a clear description of your role. Your rank is part of your official record and may be checked, and many employers recognise common ranks.

Ways to include it:

  • In the title line with a civilian description: "Warrant Officer Class 2 (Logistics Manager)".
  • In the first bullet: "Held the rank of Lieutenant; led a 30-person platoon."

When you might reduce its prominence:

  • If the employer is unlikely to understand it, put the civilian description first and the rank in brackets.
  • If you are applying to a defence-related employer, the rank can go first because readers will know it.

Do not add your rank to your name at the top, such as "Major Ahmed Khan". Use your plain name there.

How do I remove military jargon and acronyms from my resume?

Rewrite every acronym and term so that someone with no military background could understand it, and keep only acronyms that the target employer uses too. A civilian reader should not need a glossary.

Steps:

  • Highlight every acronym, unit name and military term in your draft.
  • Replace each with plain words. "NCOIC" becomes "supervisor in charge"; "ops tempo" becomes "workload"; "SITREP" becomes "status report".
  • Replace unit names with descriptions: "infantry battalion of 600 personnel" rather than a unit number.
  • Ask a civilian friend to read it and mark anything unclear.

Example before: "Served as S4 NCOIC for 2-12 IN, managing CL IX."
Example after: "Supervised spare-parts supply for a 600-person unit, keeping vehicles ready for daily operations."

How do I describe the size of the units I led in a way civilians understand?

Use numbers of people, value of equipment, budgets and areas covered instead of unit names. Civilian readers understand "led 40 people" much faster than "platoon".

Examples:

  • "Led a team of 35 technicians across three shifts."
  • "Responsible for vehicles and equipment worth over 2 million (in local currency) with zero loss on audit." (use the real figure and currency, if you are allowed to share it)
  • "Planned logistics for an operation supporting 800 personnel over six months."

Tips:

  • Use figures you are sure of and permitted to share.
  • Give your direct reports separately from wider responsibility: "Managed 4 supervisors overseeing 60 staff."
  • Avoid exaggerating by counting everyone in a larger unit you did not lead.

Should I mention my security clearance on my resume?

Mention it if the jobs you want are likely to value it, such as defence, government or security work, and if you are permitted to disclose it. Leave it off for roles where it is irrelevant.

How to write it:

  • In a short line under certifications or personal details: Example: "Security clearance: [level], granted 2021, status [active/inactive]."
  • Use the exact name and level used by the issuing authority, if you are allowed to share it.

Important points:

  • Clearance rules, levels and whether they transfer to a new employer differ by country and authority. Do not claim a status you do not hold or assume it will carry over.
  • Some people are told not to disclose clearance details publicly. Follow the guidance you received.
  • Do not include clearance details on public profiles if you are unsure.

Employers who need cleared staff will normally check your status through official channels.

My security clearance has lapsed. Can I still list it?

Only if you describe it accurately, for example as "previously held" with dates. Never present a lapsed or inactive clearance as current.

Example: "Previously held [level] security clearance, 2015 – 2022 (inactive)."

Why it can still be worth including:

  • Some employers value that you were vetted before, as it may make a new check easier, though this depends on the authority and situation.
  • It shows trust placed in you during your service.

If you do not know your current status, check with the authority or your former unit's security office before you write it. Employers in this area will verify, and an inaccurate statement can end your application.

Which military awards and medals should I put on my civilian resume?

Include awards that show performance or achievement and explain them briefly; leave out routine service or campaign medals unless they help the specific employer.

Worth including:

  • Commendations for specific actions or results, with a short explanation.
  • Awards for excellence in training, instruction or leadership.

Example: "Commander's Commendation (2022) for reorganising the spare-parts store, which cut vehicle downtime."

Usually leave out or group:

  • General service medals that most personnel receive.
  • Long lists of badges or qualifications with no civilian meaning.

Use an Awards section if you have two or more relevant awards; otherwise mention one in the job entry.

How should I list military training courses on a civilian resume?

List the courses that develop skills a civilian employer wants, using a plain description, the provider and the year. Skip basic or purely military courses.

Example entries:

  • "Senior Leadership Course, Army Staff College, 2019: 8-week course in strategic planning and management."
  • "Advanced Vehicle Maintenance Course, 2017."
  • "Instructor Qualification Course, 2016: designing and delivering technical training."

Tips:

  • Put them under Professional Training or Certifications.
  • Explain any course whose name means nothing outside the military.
  • Include duration if it shows depth.
  • If a course led to a recognised civilian qualification, list that qualification as well.

Keep the list relevant; ten unrelated courses will hide the important ones.

Do my military qualifications count as civilian certifications?

Some do and some do not, and it depends on the qualification and the country. Check with the awarding body or the relevant regulator before you describe a military qualification as a civilian one.

Practical steps:

  • Look for qualifications that were awarded by a civilian body during your service, such as first aid, driving licences, IT or management qualifications. These can usually be listed as they are.
  • For purely military qualifications, describe them and their content, but do not call them a civilian licence.
  • Ask your transition or resettlement service whether there are recognised conversion routes.

Widely known civilian certifications such as PMP for project management, CompTIA for IT or Lean Six Sigma for process improvement are examples veterans sometimes take, but none is automatically required. Choose what your target jobs ask for.

How do I describe deployment or combat experience on a civilian resume?

Focus on the skills and results, such as planning, leadership under pressure, logistics and safety, and keep the description calm and factual. You do not need to describe combat itself.

Example bullets:

  • "Planned and coordinated daily logistics for a 200-person team on a six-month overseas deployment."
  • "Kept equipment and supplies available in a remote location with no local support."
  • "Trained and led a team of 12 to follow strict safety procedures under time pressure."

Tips:

  • Avoid graphic details or weapon-heavy language for civilian roles.
  • Mention locations only if you are permitted to and they add something.
  • Be ready to talk about it at interview in a measured way, focusing on what you learned.

Can I describe classified or sensitive work on my resume?

Only in general, unclassified terms that you are permitted to share. If you are unsure, leave the detail out and describe the skills instead.

How to stay safe:

  • Use general descriptions such as "analysed large volumes of data to support planning decisions" rather than naming systems, operations or targets.
  • Do not include project code names, locations or capabilities.
  • Follow any guidance you were given on what can be disclosed.

Example: "Led a team of six analysts producing daily reports for senior decision-makers on a sensitive programme."

Employers who handle sensitive work understand these limits and will not expect details. Others will judge you on the skills you describe, so make those clear.

Should I list each military posting separately or as one entry?

Usually use one entry for your whole service with your key roles listed under it, each with its own dates. This shows progression without repeating the employer many times.

Example layout:
"Royal Navy, 2010 – 2024
Logistics Officer, HMS Example, 2020 – 2024

  • Bullets...

Supply Supervisor, Naval Base, 2016 – 2020

  • Bullets...

Earlier roles: Supply Assistant, 2010 – 2016"

Tips:

  • Give the most detail to recent and relevant roles.
  • Group early or short postings in one line.
  • Only list postings separately if they were long and very different, such as a secondment to another organisation.

This layout also helps applicant tracking systems and recruiters read your service as one continuous period of employment, rather than a series of short jobs that might look like job hopping. Use the same structure on LinkedIn so the two match.

What dates should I use for military service while I am on terminal or resettlement leave?

Use your official service dates and show "Present" until your service actually ends, then update to the real end month. Many employers check dates against service records.

Options while on leave:

  • "Army, 2012 – Present (leaving service June 2027)"
  • Or in your summary: "Leaving the Army in June 2027 after 15 years in logistics and supply."

This helps employers plan your start date. If you have permission to start a civilian job before your official end date, follow the rules you were given and be open with the new employer.

After your service ends, change "Present" to the month and year your service officially ended.

What personal details should a veteran leave off a civilian resume?

Leave off your service number, date of birth, blood group, next-of-kin details, discharge papers and military email addresses. Use only the contact details any civilian applicant would use.

Keep:

  • Full name (without rank in front).
  • Personal phone number and personal email.
  • City and country.
  • LinkedIn profile, if up to date.

Also leave out:

  • Photos in uniform.
  • Detailed medical or fitness classifications.
  • Weapons qualifications, unless directly relevant to a security role.

Some countries and sectors have their own norms for personal details, so check what is expected in the country you are applying in.

Should I list the type of discharge on my resume?

No. A resume does not normally include discharge type, reasons for leaving or service record details. Keep the entry to your service, roles, dates and achievements.

Employers who need this information, such as some government or security employers, will usually ask on an application form or through official checks. Answer honestly when asked.

If your discharge was for medical reasons, you do not need to explain it on your resume. Health information is private, and you can decide how much to share at interview. A simple phrase such as "I completed 12 years of service and am now moving into a civilian career" is enough unless you are asked directly.

How long should a resume be after a long military career?

Usually two pages for most civilian roles, even after 20 years of service. Focus on the last 10 to 15 years in detail and summarise earlier service.

How to fit it in:

  • One service entry with your two or three most relevant roles in detail.
  • Group early roles into one line.
  • A short Professional Training section with only the most relevant courses.
  • Skills and certifications that match the target job.

Some employers, such as certain government bodies, ask for longer or differently structured resumes. Follow the instructions on the application page in those cases.

How can I find civilian job titles that match my military role?

Use job ads, occupation databases and transition services to see which civilian roles describe the same tasks. Then choose titles that genuinely fit your experience.

Useful sources:

  • O*NET OnLine, a US government database of occupations with tasks, skills and tools, which helps you find civilian wording for your duties.
  • Job ads for roles you are interested in, comparing their duties with yours.
  • Your military transition or resettlement service, which may have guides for your trade.
  • Veterans already working in civilian jobs, through LinkedIn or associations.

Example: a military supply specialist might find matches such as "inventory controller", "warehouse supervisor" or "procurement coordinator", depending on what they actually did.

Should my resume look different when applying to a defence contractor?

Yes, a little. A defence contractor's recruiters often understand military terms, ranks and systems, so you can use more specific language there, while keeping the resume readable for HR staff.

Adjustments:

  • Put your rank and unit type more prominently.
  • Name systems, platforms or standards the employer uses, if you are permitted to.
  • Include clearance status if relevant and allowed.
  • Still explain acronyms on first use.

For civilian employers outside defence, keep a second version with plain-language descriptions. Keeping two versions is normal and saves rewriting each time.

I was an officer. How do I present my experience to corporate employers?

Present it as management experience with clear scope: people, budgets, operations and decisions. Corporate readers want to see the scale of your responsibility and your results.

Example bullets:

  • "Commanded a 120-person engineering unit, responsible for planning, training and welfare."
  • "Managed an annual operating budget and equipment inventory, passing all audits."
  • "Led planning for a multinational exercise involving four countries and 1,500 personnel."

Tips:

  • Use titles such as "Operations Manager" or "Department Head" in brackets if they match what you did.
  • Show staff college or leadership education in Education or Training.
  • Keep the tone collaborative; corporate roles often rely on influence rather than orders.

I served as an enlisted member or non-commissioned officer. How do I show my value?

Show the hands-on skills, supervision and reliability you brought, with numbers wherever possible. Supervisors and technicians from the military are often valued for discipline, safety awareness and technical skill.

Example bullets:

  • "Supervised 10 technicians maintaining 25 vehicles, keeping fleet availability high during exercises."
  • "Trained 40 new recruits a year in safety procedures and equipment use."
  • "Managed a stores inventory with zero discrepancies at annual audit."

Tips:

  • Use civilian titles such as "Team Leader", "Supervisor" or "Technician" alongside your rank.
  • List practical certifications, such as driving licences, first aid or trade qualifications.
  • Highlight responsibility for equipment, people and safety.

How do I list military education such as staff college or academy training?

List it in your Education section if it was a formal degree or long course, or in Professional Training if it was shorter. Add a short description of what you studied in civilian terms.

Examples:

  • "Bachelor of Science in Engineering, National Military Academy, 2012."
  • "Command and Staff Course, Defence Staff College, 2021: one-year programme in strategy, planning and leadership."

Tips:

  • If the course gave a recognised academic degree, name the degree first.
  • If not, describe its content and length so civilians understand its level.
  • Do not claim a degree equivalence unless an official body has confirmed it.

I am a reservist with a civilian job. How do I show both on my resume?

List your civilian job and your reserve service as separate entries, each with its own dates. Reserve service is part-time work and can show leadership and commitment.

Example:
"Project Coordinator, Coastal Utilities, 2021 – Present
Army Reserve, Logistics Section Leader (part-time), 2018 – Present"

Tips:

  • Mark the reserve role as part-time so the dates do not look like two full-time jobs.
  • Add one or two bullets with achievements relevant to your target role.
  • If reserve duties require some time away, discuss this with employers at the right stage.

If reserve commitments could affect your hours, check the official reserve guidance in your country and be open with employers at the offer stage.

Should I list resettlement or transition training on my resume?

Yes, list the courses and qualifications you gained, but not the programme itself. Employers care about the skills and certificates, not how the training was arranged.

Example:
"Professional Training

  • Project Management Professional (PMP) certification, 2025
  • NEBOSH General Certificate in Occupational Health and Safety, 2025"

Tips:

  • List the official name of each qualification and the awarding body.
  • Add courses in progress with an expected completion date.
  • Use them to support your new target role in your summary.

Choose training linked to the jobs you want, and list only what you completed or are completing.

Should I create a separate "Military Service" section or include it in Work Experience?

Include it in Work Experience if it is your main career. Use a separate "Military Service" section if it was short, compulsory or unrelated to your current work.

Guidelines:

  • Career service of several years: put it in Work Experience with your roles and achievements.
  • National or compulsory service: a separate short section, or one line, is often enough.
  • Reserve service: either section, marked as part-time.

ResumeBuilder.ae lets you add a Custom Section with your own heading, such as "Military Service", and reorder sections so the most relevant comes first.

I am a retired Indian Army officer. How should my resume present my service to companies?

Present it as management experience with clear civilian descriptions, and keep your rank and service dates accurate. Many Indian companies hire former officers for operations, administration, security, facilities and logistics roles.

Tips:

  • Title line: "Colonel (Retd) – Head of Operations, 900-person unit" style, followed by bullets showing scope.
  • Translate appointments into business terms: planning, budgets, procurement, people management.
  • Add civilian qualifications earned during or after service, such as an MBA or certification.
  • Keep the resume to two pages and focus on the last 10 to 15 years.

Avoid listing every posting with full details. Group early postings and highlight the roles most relevant to the job.

In interviews, corporate managers may ask how you will adapt to a flatter, less formal structure. Prepare one or two examples of leading through persuasion, working with civilians or managing budgets and vendors, so they can picture you in their organisation.
