Emailing your resume – Page 2
Can I recall an email if I attached the wrong resume?
Rarely in a reliable way. Outlook's recall feature only works in limited situations within the same organisation, and Gmail's "Undo send" only works for a few seconds after sending. For an email to an employer, assume it has been received.
Instead, send a short correction:
"Apologies, I attached an earlier version of my CV. Please find the correct version attached."
Do not send several follow-ups. One clear correction is enough, and most recruiters understand. To prevent it next time, turn on Gmail's longer "Undo send" delay in settings.
How do I email my resume and cover letter from ResumeBuilder.ae?
Download each as a PDF, then attach them to an email in your usual email app. The builder creates the files; the sending happens in your email.
Steps:
- Download your resume PDF.
- Download the cover letter you wrote for that resume; it is available as a PDF in the same 7 days and 10 attempts, at no extra cost.
- Rename both clearly, such as "Leila-Nasser-CV.pdf" and "Leila-Nasser-Cover-Letter.pdf".
- Attach both, write a short message and send.
Open each attachment before sending to confirm they are the right versions.
The employer's address rejects attachments. How else can I send my resume?
Ask the employer how they prefer to receive it, and offer a secure link only if they agree. Some organisations block external attachments for security.
Options:
- Look for an online application form or portal on their website.
- Reply or call to ask: "Your system seems to block attachments. Could you advise how I should send my CV?"
- If they accept links, share a view-only link to the PDF and test it first.
Do not try to get around their filters with zip files or renamed files; that looks suspicious.
The recruiter replied "no attachment received" but I can see it in my Sent folder. What now?
The file may have been removed by their security system, or they may have missed it. Resend it in a simple form and check for any warnings.
Try:
- Resending the PDF alone, with a simple file name and no other attachments.
- Sending from a different email account if you have one.
- Offering a view-only link as a backup: "In case the attachment is blocked again, here is a view-only link."
Stay polite; this happens often with corporate filters and is not anyone's fault.
Is it OK to forward an old application email to a new employer?
Better not. A forwarded email shows "Fwd:", the earlier recipient's details and your old message, which looks careless and may reveal where else you applied.
Start a new email instead:
- Write a fresh message addressed to the new employer.
- Attach the latest resume file from your folder.
- Use a clear subject naming the role.
If you want to reuse wording, copy the parts you need into the new email, then edit names, job titles and company details carefully.
Should my email to an employer be HTML or plain text?
Either works. Most email apps send HTML by default, which is fine for job applications as long as you keep it simple: one font, normal size, no colours or backgrounds.
Plain text can be helpful when:
- You paste your resume into the body.
- You suspect formatting is being mangled by the recipient's system.
Avoid fancy templates, images and coloured stationery. The attachment and your short message should do the work.
What should I check in the email preview before sending my resume?
Check the recipient, subject, message and attachment, in that order. A short final review catches most mistakes.
Quick checklist:
- Recipient: correct address, no typos, no extra people.
- Subject: names the role and, if given, the reference.
- Message: correct company and person's name; no leftover text from another application.
- Attachment: the right file, opened once, with a clear name and visible size.
- Sender: the job search email account you intended.
On a phone, scroll to the bottom to make sure the attachment is really there before tapping Send.
Can I email my resume from a shared or family email account?
You can, but a personal account in your own name is better. Recruiters reply to the address you used, and a shared account risks others reading or deleting messages, or you missing interview invitations.
If you must use a shared account:
- Make sure the display name shows your full name.
- Check it daily, including spam.
- Ask family members not to delete unfamiliar emails.
Setting up a free personal email account takes a few minutes and keeps your job search organised.
Why does my attachment name look strange to the recipient?
Special characters, accents, emojis or non-Latin letters in the file name can be changed by email systems into codes like "=?UTF-8?" or question marks. Very long names may also be cut short.
Fix it by renaming the file before attaching, using only English letters, numbers and hyphens:
"Zeynep-Yilmaz-CV.pdf" instead of "Zeynep Yılmaz – Özgeçmiş (yeni).pdf".
The text inside the PDF is not affected, so you can keep your name's correct spelling in the resume itself.
How do I send my resume by email when the job advert only gives an online form?
Use the form. When an employer provides an online form or portal, that is their preferred channel, and emailing instead may mean your application is not recorded.
Email only if:
- The advert also gives an email address for applications.
- The form is broken and you have tried another browser; then email the contact in the advert with your resume attached and explain the problem.
Following the requested route shows you read the instructions.
My email app converted my resume into a link because of "large file" settings. How do I attach it normally?
Your app is set to send files above a certain size as cloud links, such as iCloud Mail Drop or OneDrive links. A normal resume should be small enough to attach directly.
What to do:
- Check the PDF's size; if it is large, recreate it without images.
- In your email app's settings, look for options about large attachments or sharing files as links.
- Attach the file from your device's storage rather than from cloud storage.
Confirm in your Sent folder that the attachment shows as a file with a size.
Should I send my resume to several people at the same company in one email?
Usually send to the one person or address named in the advert. If you have a reason to include a second person, such as a referral, put them in CC with their agreement rather than sending separate copies to many people.
Sending the same resume to several managers individually can look like spamming and may create duplicate records. If you are unsure who to contact, ask the recruiter or HR team which address to use.
What's the difference between attaching a file and inserting it "inline"?
An attached file is sent as a separate item the recipient can download. An inline item is placed inside the message body, which is used for images rather than documents.
For a resume, always attach it as a file. If your email app offers "Insert inline" for a PDF or picture, avoid it: inline content may not display properly in other email apps, and the recruiter needs a downloadable file to save or upload to their system.
Do I need to send my resume again if I already sent it to the same recruiter last month?
If you are applying for a new role or your resume has changed, yes, send the current version. Recruiters may not search old emails, and your earlier file might be outdated.
Example: "I sent my CV in September for a sales role. I am now applying for the Key Account Manager position and have attached my updated CV."
If nothing has changed and they are simply checking, a short reply pointing to your previous email is fine, but attaching it again saves them searching.
How do I check how my attached resume looks to the recipient before applying?
Send a test email to yourself or a friend on a different email service, then open the attachment on both a phone and a computer.
What to look at:
- Does the file open without warnings?
- Are fonts, bullets and page breaks correct?
- Is the file name clear in the list of attachments?
- On a phone, can you read it when zoomed out to page width?
This test catches broken files, wrong versions and formatting surprises before a recruiter sees them. It is especially worth doing for your first application with a new file or format, such as after making a Word version from your PDF by copying text into a word processor.
Keep the test email in a folder: it is also a handy backup of your resume.
My email provider warns that my resume PDF "may be harmful". Why?
The warning usually comes from automated scanning that does not like something about the file: an unusual creator program, embedded scripts, form fields or an odd file name. It can also happen with PDFs made through unknown online converters.
Fix:
- Export a fresh PDF directly from your builder or word processor.
- Use a simple file name with one ".pdf" extension.
- Avoid adding forms, passwords or interactive features.
Send the new file to yourself to check the warning has gone before sending it to an employer.
