PDF or Word: which format to send – Page 3

Can I change my mind and send Word after I already uploaded a PDF to a portal?

Often yes, if the portal lets you replace your resume before the application is submitted or while your profile is open. After submission, some systems lock the file to that application.

Options:

  • Check your profile or application page for "replace" or "update resume".
  • If it is locked, do not worry; a readable PDF is accepted by the portal you used.
  • If the employer later asks for Word, email it or upload it where they say.

Only change formats when there is a reason, such as an instruction or a poor parsing preview, not just to resubmit.

Does PDF version or Word version number matter to employers?

Rarely. Any modern PDF or .docx opens in current software. You do not need a special PDF standard or a particular Word version for a normal job application.

Exceptions:

  • The employer specifically asks for .doc (Word 97-2003) or a particular format.
  • A government or academic system lists strict technical requirements.

What matters more is that the file opens, contains real text and uses the requested type. If you are unsure, open your file on a different device or a free viewer to confirm it displays correctly.

Which format is best when I hand my resume over on a USB stick?

PDF, ideally with a Word copy alongside if the person may need to edit it. A PDF opens on any computer and looks the same, which is helpful when you do not know what software the other person has.

Tips:

  • Put only the files you mean to share on the stick.
  • Use clear file names with your full name.
  • Check the stick for other personal files before handing it over.

Today, emailing or uploading is more common, so use a USB stick only when someone asks for it, for example at certain walk-in interviews.

The recruiter wants my CV in Word because "PDFs are not accepted by the client." Should I believe it?

It is probably true for that client's process, and it costs you little to comply. Some employers and agency systems are set up to receive or process Word files, and recruiters need to follow their client's rules.

Do it well:

  • Send a clean .docx with simple formatting and common fonts.
  • Make sure it matches your PDF in every detail.
  • Ask to see the final version that will be sent, if they reformat it.

If the recruiter asks for anything beyond a CV, such as passport copies or bank details before an interview, be cautious and confirm who they are.

How do I decide between PDF and Word for each application without overthinking it?

Use a simple rule: follow the instruction; if there is none, send PDF; if a recruiter or agency asks, send Word.

A quick decision list:

  • Advert or portal names a format: use it.
  • Portal accepts both: upload your text-based PDF.
  • Direct email to a hiring manager: attach PDF.
  • Recruitment agency asks for editable CV: send Word.
  • Form asks you to paste text: use plain text.

Keep all three versions ready (PDF, Word, plain text) during an active job search, and keep their content identical. That way each choice takes seconds.

Two final checks apply whatever you choose. Open the file once on your own device to confirm it is complete, and make sure the file name includes your full name, such as "Daniel-Okafor-CV.pdf". If you later learn that a particular employer or agency prefers a format, note it so you get it right next time.

My PDF shows a security warning when opened. Should I switch to Word?

First find the cause. A warning can come from the PDF itself (for example, it contains forms, scripts or restrictions), from the email system, or from the reader's PDF app being cautious about files from the internet.

Things to try:

  • Recreate the PDF directly from your source, rather than through a converter website.
  • Remove any password or editing restriction.
  • Test it on another device and in a browser.

If the warning only appears on the employer's side and their security settings are strict, sending a Word copy as an alternative is reasonable. Mention politely that you can provide either format.

Is it OK to send a PDF from my phone's "Save as PDF" feature?

Yes, if it produces a text-based PDF of a real document. Saving a document or web page as PDF on a phone usually keeps the text, which is good. Photographing or scanning a printed resume does not; it creates an image.

Check the phone-made PDF:

  • Open it and try to select a word.
  • Look at the page size (A4 or Letter) and margins.
  • Make sure nothing is cut off at the edges.

If it fails these checks, make the PDF on a computer or in a resume builder instead.

Does ATS software read Word files more accurately than PDFs?

Not reliably either way. It depends on the system and on how the file was made. A simple, single-column Word file and a simple, text-based PDF are both generally readable. Problems come from layout choices, such as text boxes, tables, headers and image-based content, more than from the file type.

So:

  • Follow the portal's accepted formats.
  • Keep the layout simple and use standard section headings.
  • Avoid putting key details, such as your name or phone, only in a header or footer.

Claims that one format always reads better are unverified; employer systems differ.

I'm applying to jobs in several countries. Do I need different file formats for each?

The format rarely changes by country; the employer's instructions matter more. A text-based PDF is widely accepted internationally, and Word is common wherever recruitment agencies are involved. What often does change between countries is page size and content.

Adjust these for each market:

  • Page size: US Letter for the USA and Canada, A4 for most other countries.
  • Personal details: for example, many UK, US and Canadian employers do not expect a date of birth or photo, while some Gulf employers ask for nationality or visa status.
  • Spelling and terms: "CV" or "resume", British or American spelling.

Keep a master version and save a separate copy for each market, with the country in your own folder name so you do not mix them up. ResumeBuilder.ae lets you choose A4 or US Letter for each PDF, and you can save up to 10 resumes for different versions. Whatever the country, open the final file and check the page size and that everything fits before you send it.

Why does my PDF look fine but the recruiter says the formatting is "broken" in their system?

They are probably looking at their system's copy of your resume, not your original file. Many applicant tracking systems pull the text out of your PDF and show it in their own format, which loses your design.

What you can do:

  • Ask whether they can open the original attachment; most systems keep it.
  • Offer a Word version if their system works better with it.
  • For future applications, use a simpler single-column layout with standard headings, so the extracted text stays in order.

To see roughly what a system extracts, copy all the text from your PDF into a plain text editor. If sections appear out of order there, they may appear out of order in the system too.

Should I choose PDF or Word for a resume that will be both printed and uploaded?

Use a PDF for both, unless the upload portal requires Word. A single text-based PDF prints exactly as it looks on screen and uploads cleanly to most portals.

Things to watch:

  • Choose the right page size for the country, so printing does not scale or crop your resume.
  • Use dark text on a white background so it prints clearly in black and white.
  • Keep a simple layout so the uploaded copy reads well in software.

If a portal requires Word, make a Word version for that portal only, and keep printing from the PDF. Printing from Word can produce different page breaks on another computer.

How do I explain to a recruiter that I can only provide a PDF right now?

Be honest and practical: say you have a PDF ready and offer a timeframe for a Word version. Recruiters mainly want to know when they will have what they need.

Example: "Attached is my CV as a PDF. I'm away from my computer today, but I can send a Word version by tomorrow morning if you need one for formatting."

Then follow through on time. Do not send an automatic conversion without checking it, because a broken Word file creates a worse impression than a short wait. If you build your resume online in a builder that exports PDF only, you will need to copy the text into a word processor and format it yourself.
