PDF or Word: which format to send – Page 2

A hiring manager said my PDF didn't open. Should I switch to Word for good?

Not necessarily. Find out what happened first, because one failed file does not mean PDFs are a problem. Often the cause is a corrupted download, a file attached before it finished saving, an unusual PDF from a converter site, or the reader's own app.

What to do:

  • Resend the PDF after opening it yourself on another device to confirm it works.
  • Offer a Word version in the same reply, in case their system prefers it.
  • Check the file size is not zero and that the name ends in ".pdf".

If several employers report the same problem, then recreate the PDF with different software.

Should I use PDF or Word when applying for government jobs?

Use exactly what the application system or advert specifies. Government recruitment often uses its own online forms and strict file rules, such as allowed types, maximum sizes or a required template.

General tips:

  • Read the applicant guidance notes before preparing your file.
  • If a template is provided, use it rather than your own design.
  • If PDF is allowed, make sure it is text-based, not a scan.
  • Keep a copy of the exact file you submitted.

Rules differ by country and department, so if the instructions are unclear, contact the recruitment team named in the advert before the closing date.

Is it OK to send a PDF to a recruitment agency?

Yes, as a first step. Many agencies accept PDFs, especially for initial screening. If they need Word to edit or reformat your CV, they will usually ask, and you can send it then.

To save time:

  • Mention in your message that a Word version is available on request.
  • Keep a clean Word version ready so you can reply the same day.

Example: "Please find my CV attached as a PDF. I can also send it in Word if that is easier for your team."

This shows flexibility without cluttering the first email with duplicate files.

Why does the employer's portal turn my PDF into strange form fields?

Many portals read your file and try to fill their form automatically, and this step does not always work well with any file type. Columns, tables, unusual headings or dates in odd positions can confuse it.

What to do:

  • Correct each auto-filled field by hand; the form is often what recruiters search.
  • Check job titles, dates and employers are in the right boxes.
  • Keep the uploaded file as well, since some reviewers will open it directly.

If the parsing is badly jumbled, a simpler single-column file with standard headings ("Work Experience", "Education", "Skills") may read better next time, whether PDF or Word.

Do creative jobs need a different file format from other jobs?

The file format is usually the same: a PDF for your resume, unless the employer asks otherwise. What changes in creative roles is that you also share a portfolio, which may be a separate PDF, a website link or files requested by the employer.

Practical tips:

  • Keep your resume itself readable, with selectable text, even if the design is creative.
  • Send the portfolio as a separate, compressed PDF or a link, not inside the resume file.
  • Follow any size limits on the portal.

Some agencies still ask designers for an editable CV, so keep a simple version too.

What should I say if a recruiter asks for an editable CV and I only have a PDF?

Say you will send one shortly, then make a clean Word version. It is fine to take a few hours to do it properly rather than sending a poor conversion.

Example reply: "Thank you. I will send my CV in Word format later today."

To make the Word version:

  • Copy the text from your PDF or resume builder into a new document, pasting as plain text.
  • Apply simple headings, bullets and bold job titles.
  • Check spelling, dates and line breaks carefully.
  • Save as .docx with your name in the file name.

Do not send a file produced by an automatic converter without checking it, as the layout often breaks.

Does the file format affect whether my resume gets read by a human?

Not directly. A recruiter reading your resume cares about content and clarity. The format matters indirectly: if a file will not open, is unreadable by the employer's system, or looks broken, a person may never see it properly.

So focus on:

  • Using the format the employer asked for.
  • Sending a text-based file, not a scan or image.
  • Checking it opens correctly on a phone as well as a computer, since many people read applications on their phones.

Once the file opens cleanly, PDF and Word are equal; the writing does the work.

My Word resume looks perfect on my laptop. Why should I bother with a PDF?

Because the employer's computer is not your laptop. Word redraws the document using the fonts, settings and version on the reader's device, so line endings, spacing and page breaks can change. A PDF stores the layout, so it looks the same everywhere.

Typical surprises with Word files:

  • A font you used is missing, so a different one is substituted.
  • A one-page resume spills onto a second page.
  • The file opens in a phone app that ignores some formatting.

If the employer has no preference, sending a PDF removes those risks. Keep your Word file for editing and for anyone who asks for it.

An agency asked me to send my CV "without contact details" in Word. Is that OK?

It is a common request, as agencies present candidates anonymously to clients so the client contacts them, not you. It is generally fine if the agency is genuine and you understand where your CV will go.

To handle it well:

  • Remove your phone, email, address and links, but keep your name if they ask for it.
  • Keep everything else accurate and unchanged.
  • Name the file clearly, for example "Omar-Khalid-CV-agency.docx", so you know which version it is.
  • Ask the agency which employers will receive it.

Keep your full version for direct applications.

Is it better to paste my resume into the email body or attach a PDF?

Attach the file, normally as a PDF, unless the employer asks for the resume in the email body. Attachments keep your formatting and are easy to forward and store.

Pasting into the email body can make sense when:

  • The employer says "no attachments" or asks you to paste your CV.
  • You are writing a short networking message and want to share a few lines of background.

In that case, use plain text with simple dashes for bullets, and keep it short. For a full application, write a brief message and attach the PDF.

Do I need Adobe Acrobat to make a good resume PDF?

No. Most modern tools create good, text-based PDFs for free: Word, Google Docs, LibreOffice, Apple Pages and online resume builders all do. ResumeBuilder.ae generates its PDF in your browser.

What matters is that the PDF:

  • Contains real text you can select, not an image of text.
  • Uses the page size you want (A4 or US Letter).
  • Opens correctly in a common PDF reader.

You also do not need Acrobat to read PDFs; your browser can open them. Paid PDF software is only useful if you need advanced features, which a resume rarely does.

Is it a problem if my PDF has been "Print to PDF"-ed several times?

It can be. Each round of printing to PDF can change fonts, flatten text or, in some setups, turn pages into images. Repeatedly converting also risks blurry text and larger files.

Best practice:

  • Create the PDF once, directly from your source (builder, Word, Google Docs).
  • When you need a change, edit the source and export a fresh PDF.
  • Test the final PDF by selecting text and copying it into a plain text editor.

If the copied text comes out empty or garbled, recreate the PDF from the original rather than converting the converted file again.

Should freshers send their first CV as PDF or Word to campus recruiters?

Follow whatever the placement cell or company asks, and use a text-based PDF when no instruction is given. Campus drives often use a common form or portal with fixed rules, such as a file type, size limit or naming pattern.

Checklist for campus applications:

  • Read the placement office's instructions before preparing the file.
  • Use the required naming format, often including your roll number or name.
  • Keep both PDF and Word versions ready, with identical content.
  • Do not send a photo of your CV taken with your phone.

Ask the placement coordinator if anything is unclear; they deal with these questions every year.

Can I lock my Word resume so the recruiter can't edit it?

You can, but it is usually a bad idea. If a recruiter asks for Word, it is because they need to edit or reformat it; locking it defeats the purpose and may irritate them.

If you do not want your CV edited, send a PDF instead and explain politely if Word is requested:
Example: "I can send a Word version if you need it for formatting. Could you share the final version before it is sent to the client?"

Restrictions and passwords can also stop systems reading your text, so avoid them on any resume file you upload.

Resume File Format: PDF or Word?

A job portal converted my Word upload into its own PDF. Is that normal?

Yes, some portals and applicant tracking systems create their own copy or preview of your file so reviewers can view it in a browser. The look may differ slightly from your original.

What to check:

  • Open the preview, if available, and look for missing sections or broken characters.
  • If the preview looks badly wrong, upload a PDF instead (if allowed) so the layout is fixed from the start.
  • Keep your original file for your records.

You cannot control how each system displays files, but a simple layout with common fonts survives conversion best.

Resume File Format: PDF or Word?

Is a .pages or Google Docs file acceptable instead of PDF or Word?

No, convert it first. Employers usually cannot open a .pages file without Apple software, and a Google Docs file is a link, not a file you can attach.

Convert before sending:

  • Apple Pages: File, Export To, PDF (or Word if requested).
  • Google Docs: File, Download, PDF Document (.pdf) or Microsoft Word (.docx).

After converting, open the new file and check fonts, bullets and page breaks. Pages and Google Docs sometimes substitute fonts during export to Word, so look closely if you send a .docx.

Which format should I use for an executive search firm?

Send a polished PDF first, and keep a well-formatted Word version for when they ask. Search firms often prepare a candidate profile or report for their client and may want an editable version of your CV for that.

For senior roles:

  • Make sure both versions match exactly, including dates and titles.
  • Keep the Word version simple so their team can reformat it easily.
  • Ask how your information will be presented and whether you can review it.

The firm represents you to the client, so a clear, accurate file helps them present you well.

What is a "text-based" PDF and how do I know mine is one?

A text-based PDF stores the actual letters of your resume, so they can be selected, searched and copied. An image-based PDF stores a picture of the page, like a photo, so software sees no words.

Quick tests:

  • Click and drag over a sentence. If it highlights word by word, it is text-based.
  • Press Ctrl+F (Cmd+F on Mac) and search for your surname. If it is found, the text is there.
  • Copy everything into a plain text editor and see what comes out.

PDFs made by exporting from a word processor or builder are normally text-based. Scans and phone photos are not.

Should I send my resume in the format the recruiter's own template uses?

If a recruiter or employer gives you a template, use it and return it in the format they supplied, usually Word. Templates exist so every candidate's information is presented the same way.

Tips:

  • Fill every field honestly; do not delete required sections.
  • Keep their fonts and layout rather than restyling it.
  • Save a copy with your name in the file name.
  • Attach your own resume too only if they ask for it.

If the template does not have space for something important, ask whether you can add a short extra section or send a separate document.

Does sending Word make me look less tech-savvy than sending PDF?

No. Format choice is not a skills test, and employers who ask for Word are not judging you for sending it. What can look careless is ignoring instructions or sending a file with broken formatting.

What does make a good impression:

  • Following the requested format.
  • A clean file that opens without warnings, with a sensible file name.
  • Consistent fonts, spacing and dates.

If you work in a technical field and want to show your skills, do it through the content, such as projects and tools, not the file type.

Resume File Format: PDF or Word?

Is there any situation where a plain text resume is better than PDF or Word?

Yes, in a few cases. Plain text is useful when a form asks you to paste your resume into a text box, when an employer says "no attachments", or when an older system rejects formatted files.

Plain text drops bold, columns and bullet symbols, so prepare it carefully:

  • Use simple dashes for bullets.
  • Put each heading on its own line in capitals, such as "WORK EXPERIENCE".
  • Keep dates and job titles on clear separate lines.

For most uploads, though, a text-based PDF or a Word file is the better choice because a person reading it sees a properly formatted document.

How can I tell which format an employer prefers when the advert is vague?

Look for clues beyond the main advert, and default to PDF if you find none.

Places to check:

  • The text near the upload button or in the application form's help notes.
  • The employer's careers page or FAQ.
  • The email address or recruiter name: recruitment agencies more often prefer Word.
  • Any previous emails from the same recruiter.

If you still cannot tell and you are emailing someone directly, attach the PDF and add one line offering Word. That covers both possibilities without sending two files.

Resume File Format: PDF or Word?

The portal only accepts Word but I want to keep my PDF design. What can I do?

Upload the Word version the portal requires, and keep your designed PDF for situations where you send files directly. A portal's rule usually exists because its system processes Word files.

To make a Word version that still looks good:

  • Use one column, standard headings and simple bullets.
  • Use a common font such as Calibri, Arial or Georgia.
  • Avoid text boxes, tables for layout, headers that hold contact details, and images.

If the portal also has a field for additional documents, check whether a PDF is allowed there. If not, bring the designed version to interviews instead.

What's the best way to keep my PDF and Word versions in sync?

Make every change in one master version first, then update the other immediately. Version drift, where the PDF and Word files say different things, is a common and avoidable mistake.

A simple routine:

  • Choose one master: your builder resume or your Word file.
  • After any edit, export a new PDF and update the Word copy straight away.
  • Put the date or version in your own folder notes, not necessarily in the file name you send.
  • Delete or archive old copies so you cannot attach them by mistake.

Before sending, compare the most recent job's dates in both files as a quick check that they match.

Will a PDF keep my Arabic or Hindi text correct better than Word?

Usually yes. A PDF stores the shaped letters and their direction, so Arabic reads right to left and Hindi conjuncts appear correctly even on a computer without those fonts. A Word file depends on the reader having suitable fonts and language settings.

ResumeBuilder.ae can create PDFs in English, Arabic (laid out right to left), French, Spanish, German, Hindi and Malayalam. If a character cannot be included, the builder warns you before payment.

If an employer asks for Word for a non-English resume, open the file on another device after saving to check that letters, direction and punctuation still look right.
